How we're different
We believe that the highest-impact AI research will be big science. At Anthropic we work as a single cohesive team on just a few large-scale research efforts. And we value impact — advancing our long-term goals of steerable, trustworthy AI — rather than work on smaller and more specific puzzles. We view AI research as an empirical science, which has as much in common with physics and biology as with traditional efforts in computer science. We're an extremely collaborative group, and we host frequent research discussions to ensure that we are pursuing the highest-impact work at any given time. As such, we greatly value communication skills.
The easiest way to understand our research directions is to read our recent research. This research continues many of the directions our team worked on prior to Anthropic, including: GPT-3, Circuit-Based Interpretability, Multimodal Neurons, Scaling Laws, AI & Compute, Concrete Problems in AI Safety, and Learning from Human Preferences.
Come work with us!
Anthropic is a public benefit corporation headquartered in San Francisco. We offer competitive compensation and benefits, optional equity donation matching, generous vacation and parental leave, flexible working hours, and a lovely office space in which to collaborate with colleagues.

About Anthropic

Our team is a quickly growing group of committed researchers, engineers, policy experts, and business leaders working together to build beneficial AI systems.
We are seeking an experienced Program Manager for a critical pillar of our Program Management function: Commercial Operations. This role will transform our commercial infrastructure into a revenue accelerator, building and executing the operational leverage that enables Anthropic to maintain velocity as we scale. You'll be responsible for managing and enhancing processes that support rapid product growth. The ideal candidate combines strategic thinking with operational excellence, someone who can both envision where we need to be in 12 months and build the infrastructure to get us there.
Responsibilities
Play a central role on the team that runs Anthropic's programs for Commercial Launches — helping evolve an established launch motion into a scalable, well-instrumented program that keeps pace with an accelerating product roadmap
Run launches end-to-end through the Commercial launch process: lead intake and scoping for your portfolio of launches, translate each into its commercial-readiness requirements (pricing, billing, tax, marketplace, compliance and selling motions), and collaborate with product teams to develop paths to launch
Identify where launches slow down today and drive resolution to prevent them from recurring: propose and implement process and system changes, clarify ownership, drive completion across partner teams like, Product, Engineering, Finance, Legal, and GTM.
Build specific program components that don't exist yet — launch tiering, readiness criteria, playbooks, templates, SLAs; and develop training that shifts programs from late-stage gatekeeper to early-stage partner
Take ownership of major program-improvement workstreams such as instrumentation (pipeline visibility, readiness scorecards, guides, throughput and cycle-time metrics) or workflow tooling and automation (intake, tracking, approvals, status) in partnership with Engineering and systems teams
Work cross-functionally with Product, Engineering, Finance, and GTM teams to design clear interfaces and processes that span multiple teams
You may be a good fit if you have
Experience building and running new product introduction processes
Experience building capabilities and solutions that enable launching in new ways, from pricing to geographies
10+ years of experience in operations, with demonstrated success in billing, payments, or commercial operations (high-volume SaaS experience a plus)
Strong working knowledge of billing systems, subscription management, and payments platforms
Proven track record of building and scaling operational programs in high-growth environments — taking things from 0-1 and then scaling beyond
Willing to roll up your sleeves and do the operational work of building while also leading a team
Experience with automation initiatives and partnering with engineering teams to build operational tooling
Strong analytical abilities, problem-solving skills, and the ability to demonstrate ROI on operational programs
Excellent cross-functional collaboration skills with the ability to influence stakeholders across GTM, Finance, Product, and Engineering
Adaptability and comfort working in fast-paced, ambiguous environments where you need to balance multiple priorities simultaneously
Excitement about building the operational backbone that enables Anthropic to stay on the exponential

ABOUT US:
AI NEEDS A NEW INFRASTRUCTURE LAYER. WE'RE BUILDING IT AT MODAL.
Every era of computing brought new workloads that previous infrastructure couldn't support: mainframes, databases, and the cloud. Each time, the company that rebuilt the layer underneath defined the decade. AI is no different, except it touches everything instead of one slice, and the window to build the layer underneath it is open right now.
Our customers include category-defining companies like Ramp https://modal.com/blog/how-ramp-built-a-full-context-background-coding-agent-on-modal, Cognition, DoorDash, and Suno. They rely on Modal for instant GPU access, sub-second container starts, and native storage, so it's simple to serve low-latency inference, fine-tune models, and access production-ready sandboxes at scale.
We've passed $1B in annualized run rate, up 15x from a year ago. In October 2026 we raised a $750M Series D led by Accel at a $15.75B valuation.
Our team includes creators of popular open-source projects (e.g.,Seaborn https://github.com/mwaskom/seaborn,Luigi https://github.com/spotify/luigi), academic researchers, international olympiad medalists, and experienced engineering and product leaders with decades of experience.
THE ROLE:
We’re looking for a Legal Operations Lead to join us as the first dedicated legal operations hire at Modal. You’ll own the systems, records, and workflows that let a small legal team keep pace with a high-growth tech company, and you’ll have an opportunity to build most of them from scratch.
This is a great fit for a highly organized, systems-oriented operator who thrives in a fast-paced environment and wants to build operational foundations, not just maintain them. You’ll report to our General Counsel and collaborate closely with the Finance, BizOps, GTM, and People teams.
WHAT YOU’LL WORK ON:
- Build and maintain contract operations, including designing the contract lifecycle management workflows and approval logic, and continuing to iterate and improve those processes
- Design a legal intake process to support and route legal requests from internal stakeholders
- Make the legal function faster with AI, and build and configure tooling to make us more efficient
- Manage corporate administration and record-keeping, including Board and stockholder matters, signature coordination, and building a knowledge management system and database
- Be the point person for corporate compliance, including entity management, foreign and domestic qualifications and filings, and coordination with registered agents
- Support stock administration and cap table hygiene
- Manage outside counsel and legal spend
YOU MAY BE A FIT IF:
- You have 5+ years in legal operations, contract operations, or a corporate paralegal role, preferably at a high-growth technology company
- You’ve built and documented processes from the ground up, not just executed existing ones
- You have experience configuring workflows and templates within Ironclad or a similar CLM
- You have experience with AI tools and good instincts about where they help and where they quietly introduce risk
- You have sound judgment about what to handle and what to escalate
NICE-TO-HAVE:
- Exposure to corporate and equity administration
- Familiarity with Carta or a similar equity administration platform

Who You Are
The Data Center Business Operations Manager is responsible for building, implementing, and continuously improving the operating frameworks, processes, and services that enable the business to operate consistently and effectively across locations and functions. This role owns the development of enterprise-level business operations standards, including processes, procedures, governance, taxonomy, naming conventions, documentation standards, tools, and operating expectations that teams use across the organization. The Business Operations Manager partners closely with Finance, Procurement, Legal, HR, IT, and other corporate functions to translate company requirements into practical processes that meet the needs of the business and can be effectively implemented at the site and functional level.
The Business Operations Manager also leads the development and management of Workplace Services programs that require consistency and coordination across the organization, including vehicle fleet, uniforms, transportation services, culinary programs, and other shared operational services. The Business Operations Manager establishes the program strategy, standards, processes, and expectations, while onsite Program Managers and local teams are responsible for implementing and managing those programs at the site level.
This role requires someone who can move fluidly between strategy and execution: designing scalable enterprise processes, partnering with corporate functions, building operational programs, and ensuring those programs can be successfully implemented in the field.
What You’ll Do
Business Operations & Enterprise Standards
Design, implement, and continuously improve enterprise-level business operations processes, procedures, workflows, governance standards, templates, tools, and operating expectations.
Establish and maintain consistent standards for how information is organized and managed, including taxonomy, naming conventions, documentation standards, project structures, reporting conventions, and other common ways of working.
Develop scalable frameworks and playbooks that teams can use to execute work consistently across departments, projects, and locations.
Identify recurring friction, process gaps, unclear ownership, inefficient handoffs, and inconsistencies across the business and implement scalable solutions.
Monitor adoption and effectiveness of business operations processes and standards, identifying gaps and driving continuous improvement as business needs evolve.
Cross-Functional Process & Project Support
Partner closely with Finance, Procurement, Legal, HR, IT, and other corporate functions to translate company-wide requirements into practical processes that appropriately support the needs of the business.
Partner with Finance and Procurement on the development and rollout of processes related to budgeting, forecasting, purchasing, vendor management, financial controls, and other requirements.
Support Legal with project management and cross-functional coordination for initiatives requiring structured planning, ownership, milestones, dependencies, and follow-through.
Workplace Services Programs
Build and oversee enterprise Workplace Services programs that support consistent, efficient operations across locations.
Establish the strategy, standards, processes, service expectations, and governance for programs such as vehicle fleet, uniforms, transportation services, culinary services, onsite office space and other shared workplace or operational services.
Partner with Procurement, Finance, Legal, and other stakeholders to establish appropriate vendor strategies, contracts, budgets, controls, and service-level expectations for Workplace Services programs.
Develop enterprise playbooks and implementation standards for Workplace Services programs, providing clear direction to onsite Program Managers and local teams responsible for execution.
Monitor program performance, service quality, cost, compliance, and business needs across locations and continuously improve programs as the organization evolves.
Identify opportunities to standardize services, improve the employee experience, reduce operational friction, create efficiencies, and appropriately leverage enterprise scale.
Standards & Governance
Establish enterprise program management standards, methodologies, tools, templates, and expectations that the team can apply across the organization.
Develop and maintain standards for work management systems, ensuring information is structured consistently and provides meaningful visibility across projects, departments, and locations.
Partner with PMO to establish appropriate reporting standards, dashboards, KPIs, portfolio reporting, and operating reviews to provide visibility into business priorities, execution, risks, dependencies, and capacity.Establish effective meeting, communication, and operating rhythms, including portfolio reviews, leadership updates, cross-functional operating reviews, and escalation mechanisms.
Establish priorities, expectations, and operating standards for regional Program Managers and ensure their work aligns with broader business priorities and enterprise operating practices.
Provide coaching, guidance, and development to regional Program Managers while creating accountability for execution and results.
Ensure regional Program Managers effectively support sites within their respective regions by coordinating cross-functional initiatives, resolving operational issues, implementing enterprise programs, and maintaining visibility into local priorities, risks, and dependencies.
Partner with site and functional leaders to ensure regional Program Manager resources are deployed against the highest-priority business needs.
What We’re Looking For
6+ years of experience in business operations, strategy and operations, program management, PMO operations, workplace operations, or a similar cross-functional role.
Demonstrated experience designing and implementing scalable operating processes across multiple teams, functions, or locations rather than simply administering existing processes.

Strong understanding of how business operations interact with Finance, Procurement, Legal, HR, IT, and other corporate support functions.
Experience translating corporate policies, controls, and functional requirements into practical operating processes that meet the needs of the business.
Experience building or managing shared operational or Workplace Services programs, such as fleet, transportation, food and beverage/culinary, uniforms, facilities-related services, or other enterprise services.
Strong program and project management capabilities, with experience establishing governance, accountability, reporting, and operating rhythms across complex organizations.
Experience with portfolio reporting, KPI development, dashboards, process documentation, and project/work management platforms.
Strong process-improvement mindset with the ability to identify root causes, simplify workflows, standardize where appropriate, and drive adoption of new ways of working.
Ability to influence and create accountability across teams without direct reporting authority.
Strong analytical, organizational, and communication skills with the ability to translate complex requirements into clear, executable processes.
Comfortable operating at both the strategic and detailed execution levels—able to design enterprise operating models and programs while remaining close enough to execution to ensure they work in practice.
PMP or equivalent project/program management certification preferred.

ABOUT SUPABASE
Supabase is the Postgres development platform, built by developers for developers. We provide a complete backend solution including Database, Auth, Storage, Edge Functions, Realtime, and Vector Search. All services are deeply integrated and designed for growth.
About the Role
We are looking for a Head of AI Native Operations to build the autonomous systems that run Supabase.
Supabase is building an AI-native internal operating system, where agents carry the operational load end to end. We are standing up a new central team to build that platform and run it in production. This is the role that leads it, and it is hands-on. You design the architecture, build the first versions of the critical pieces, and are accountable for whether every agent we run is correct, safe, and improving over time. We build rather than buy, and there are no settled best practices for most of this yet, so you will be setting them.
You will lead a team of senior individual contributors extending the platform and driving adoption across teams.
What You’ll Be Responsible For
In this role, you’ll:
- Own the agent platform architecture: The harness and orchestration layer and connectors into company systems, shared context and memory, and the path from prototype to production.
- Catch regressions before they ship: Model, prompt, and tool changes can’t ship until they pass the evals. When a new model comes out, you know within hours whether to adopt it.
- Make every agent observable: Every run and every decision is traced. For any agent at any time, you can answer what it did, why, what it cost, and how its quality is trending.
- Own safety and trust: Design the controls that let agents act without a human in the loop: least-privilege credentials, hard policy limits, escalation thresholds, audit logs, sandboxing, and prompt-injection defenses.
- Replace workflows, don’t assist them: Pick the workflows agents can fully own today and take them to production.
- Turn wins into a platform: Package what works into reusable components, templates, and eval harnesses so other teams can ship their own production agents without starting from scratch.
- Build and direct the team: Hire and grow senior ICs, review their designs and pull requests, and hold the quality bar.
- Measure what matters: Track workflows automated, eval pass rates, cost per run, and work absorbed against the hiring plan.
How You’ll Think
A Point of View on Where Automation Wins
You have a thesis about how AI and automation change the way a company operates, and it comes from building, not reading. You can look at a business and say which workflows agents can own today, which they will own in 12 months as models improve, and which still need people, and why. You defend that view with evidence from systems you have shipped, and you update it when the evals tell you to.
Eval-Driven
You don’t trust an agent because the demo looked good. You trust it because it passes a test set of real cases, and you know which cases it fails. When anything changes, your first question is “what do the evals say?”
Inversion Thinking
Left alone, an autonomous system tends to fail quietly, or people route around it. So the first question about any agent isn’t “does it work on the happy path?” but “how will this break, and how will we know?” The design follows from that answer: what the agent is never allowed to do, what it escalates, and which alert fires when quality drifts.
Recursive Thinking
Every system you build should produce the evidence that grades it. An agent isn’t done when it works. It’s done when it tells you, without you in the loop, that it has stopped working.
Must Have
- Hands-on agent building: Have personally designed and built autonomous agent or LLM systems that ran in production and that others depended on. Prototypes, demos, and configuring a vendor tool don’t count. You don’t need to be a career software engineer, but you must have built these systems yourself.
- Architecture depth: Can explain how the pieces fit together (orchestration, tool and data access, context and memory, tracing, evals, guardrails, deployment), with opinions on current frameworks.
- Security judgment: Have shipped agents that take real actions with real permissions, and designed the controls that made that safe.
- A tested point of view: Can argue, with examples from your own builds, where autonomous systems create real business leverage and where they don’t yet.
- Technical leadership: Have led senior builders and set the quality bar through design and code review.
Strong Signal
- Have replaced a human-run business workflow (finance, operations, support, release management) end to end with an autonomous system.
- Are native to Git, Markdown, and pull requests, and comfortable reading and writing Python or TypeScript.
- Have taken an internal platform from zero to adoption by teams you did not control.
- A software engineering background is a plus, but not required.
What Success Looks Like
- Six months: 20+ autonomous agents in production on the shared platform, each with an eval suite, tracing, and a named owner.
- Regressions get caught, not discovered: Quality problems surface in an alert or dashboard before a user reports them.
- Workflows replaced, not assisted: Multiple high-volume workflows are fully owned by agents, with humans handling only escalations.
- Trusted by default: No agent causes material financial, security, or customer harm, and every agent’s permissions and actions can be audited.
- Teams ship their own: At least three teams outside the core team run production agents built on the platform.
- Autonomous team: Your two reports work independently, and you spend your time on architecture and review rather than execution.
WHAT WE OFFER
- Fully Remote
We hire globally. We believe you can do your best work from anywhere. There are no Supabase offices, but we provide a WeWork membership or co-working allowance you can use anywhere in the world.
- ESOP
Every team member receives ESOP (equity ownership) in the company. We want everyone to share in the upside of what we’re building together.
- Tech Allowance
Use this budget to set up your ideal work environment—laptop, monitor, headphones, or whatever helps you do your best work.
- Health Benefits
Supabase covers 100% of health insurance for employees and 80% for dependents, wherever you are. Your wellbeing and your family’s health are important to us.
- Annual Off-Sites
Once a year, the entire company gathers in a new city for a week of connection, collaboration, and fun. It’s a highlight of our year.
- Flexible Work
We operate asynchronously and trust you to manage your own time. You know what needs to be done and when.
- Professional Development
Every team member receives an annual education allowance to spend on learning—courses, books, conferences, or anything that supports your growth.
ABOUT THE TEAM
Supabase was born-remote and open-source-first. We believe our globally distributed team is our secret weapon in building tools developers love.
- ~400 team members
- 60+ countries
- 20+ languages spoken
- Over $1B raised (including our $500M Series F)
- 540,000+ community members
We move fast, build in public, and use what we ship. If it’s in your project, we probably use it in ours too. We believe deeply in the open-source ecosystem and strive to support—not replace—existing tools and communities.

At Ledger, we’re proud to be the global platform for digital assets and Web3, with over 20% of the world’s crypto assets secured through our Ledger devices. With our headquarters in Paris, and offices in Vierzon, Grenoble, Montpellier, London, Portland, Geneva, Zurich and Central Singapore, we have a team of around 600 professionals developing a variety of products and services to enable individuals and companies to securely buy, store, swap, grow and manage crypto assets – including the Ledger hardware wallets line with more than 7.5 millions units already sold in 200 countries.
The team:
You're joining as we reshape the People & Operations Experience team, which brings together ops, payroll, people tech, engagement and internal comms. That makes this a build-and-run role. You'll run payroll from day one and help design how the function works going forward, from processes to tooling to documentation.
THE ROLE
You'll take ownership of French payroll, starting with a proper handover from the colleague who runs it today and building towards running it independently. Alongside it, you'll look after the employee lifecycle: joiners, leavers and everything in between. It's real responsibility, with a team around you.
Your development goes in two directions: continuous improvement of how People Ops works, and a progressive move into Global Payroll (US, UK, Singapore) as your confidence and scope grow. Your arrival also creates room for the whole team to take on bigger things, and that includes you.
WHAT YOU'LL DO
OWN FRENCH PAYROLL
- Run the full monthly cycle: data collection, absences and leave, inputs, controls, validation and payslip checks
- Prepare and submit statutory filings on time (URSSAF, DSN, IJSS/Net-entreprise and other mandatory declarations)
- Manage variable pay and contractual changes, and build the VPI file for ADP Decidium
- Work with Finance on transfer files, cost reporting, headcount tracking and variance analysis
- Handle day to day equity payroll declarations (stock options / BSPCE) as you slowly build your expertise
- Manage benefits, meal vouchers and provider relationships
- Track regulatory changes and turn them into better processes
RUN THE EMPLOYEE LIFECYCLE
- Handle joiners and leavers: contracts, health insurance and transport registration, visa and absence data
- Keep Workday data accurate and compliant
- Help document and improve the processes being rebuilt, and contribute to cross-functional People projects
- You'll work with Finance, Talent Acquisition, HRBPs, C&B and our provider ADP.
WHAT YOU BRING
- 2–3 years of French payroll experience, with hands-on exposure to the monthly cycle and a readiness to own it
- Solid knowledge of French social legislation (URSSAF, DSN) and experience with a payroll tool (ADP or similar)
- Rigour: you close the month on time, without being chased
- A builder's instinct: you document as you go and like making things work better
- Comfort working in English in a multicultural team
- Curiosity about international payroll and a real appetite to widen your scope
At Ledger, we are dedicated to continually investing in our employees which is why we offer more than just salaries; we provide comprehensive compensation packages that include a wide range of benefits. Here are some of the benefits you can look forward to:
- Flexible work options - Our hybrid policy allows employees to work from home up to 3 times per week
- Health & Wellness support - Health and Life Insurance.
- Financial growth opportunities - Employees can become shareholders in Ledger as well as other financial benefits depending on your country of work.
- Commuter allowance - Ledger offers a commuter allowance to contribute to your preferred means of transportation.
- Learning & Development - A comprehensive suite of training solutions providing a personalised learning experience for every employee.
For regionally specific benefits, your Talent Acquisition contact will be able to provide you with more information.
We’re committed to building an inclusive hiring process. If you need any adjustments or accommodations, just let us know, we’ll do our best to support you.

About GiveDirectly
What if the most effective way to fight poverty was also the simplest: give people money and trust them to decide what they need?
Since 2011, GiveDirectly has proven that idea at scale. We’ve delivered more than $1B in cash directly to 2+ million people living in poverty and crisis across 15 countries, and rigorous research shows the results: healthier kids, stronger businesses, sturdier homes, and more resilient families and local economies. Cash is now widely recognized as one of the most scalable, cost-effective, and dignified forms of aid.
Our ambition goes beyond our own programs. We want cash to become the benchmark for aid, much as the index fund became the benchmark for investing, so that every aid dollar is held to one question:
is this doing more good than giving the money directly to people living in poverty?
We’re growing fast, and this is a rare and important moment to join.
We expect to hit $1B in revenue in 2026 with significant growth forecast for 2027. At the same time we are building a new technology stack and operating model designed for a roughly 10x change in scale, and we are actively pursuing partnerships with major funders to move even more money in bigger ways, to people who need it. We are known for our extensive integration of technology into field processes; our quantitative approach to performance measurement; and our commitment to rigorous, independent, experimental evaluation of our impact, with multiple Randomized Control Trials completed and others in progress.
How we work
Our team spans 20+ countries and 69 languages. Our culture is candid, analytical, and non-hierarchical. We expect high ownership and give people real responsibility early. Our values are central to how we hire, work, and grow, and they are deliberately opinionated:
Recipients first.
Recipients’ preferences come before those of donors or ourselves.
Team next.
We optimize for organizational success, not individual success.
Be proactively candid.
We say what we believe and share information openly.
Create positive energy.
We aim to be a source of energy for colleagues, not a drain.
Think rigorously; act quickly.
We reason from first principles, then act rather than debate.
Know yourself and grow.
We own our imperfections and seek feedback to grow.
Accept reality. Propose solutions.
We focus on what can change and bring solutions, not just problems.
Be productively ambitious.
We take risks for step-change impact, not incremental progress.
If they describe how you like to work and they energize you, this could be a great fit.

Role overview:
GiveDirectly Malawi has grown steadily since its introduction in 2019 and in 2025 launched our most ambitious program and research agenda yet, delivering funds across an entire district alongside the largest-ever randomized trial on unconditional cash.
The Admin. Operations Manager runs the administrative engine of the country office. They are accountable for the functions every team depends on but few see: vendor and casual labour payments, petty cash, office premises and security oversight, field and office assets management, transport and logistics, visitor coordination, and regulatory compliance. When these work, programs move. When they slip, the cost lands on recipients, staff and vendors alike.
The Admin. Operations Manager is a people manager first. They lead a cross-site team of associates and support staff, and they are expected to build capability, not just allocate tasks. They work in close partnership with the Procurement & Warehousing Manager, with Finance on payments and reconciliations, and with the Programs team on the logistics that field operations require. They advise the Operations Director and Country Director on administrative planning, budget and process improvement.
Responsibilities:
Payments, petty cash and expense management
Own the end-to-end payment cycle for vendors, contractors and casual labour: validate invoice and timesheet authenticity, match each to goods or services actually received, assemble the full documentation pack, check the ledger for duplicates, and submit through the agreed payment request workflow.
Hold the team to a standing target of no overdue supplier invoices.
Apply the correct withholding and statutory tax treatment to each payment, and share filing proof with the payments team.
Follow payments through to settlement with Finance, maintain the payables tracker, and reconcile vendor accounts and payment discrepancies.
Run the petty cash cycle end to end — float request, retirement with receipts and memo, review and complete documentation — and produce the month-end cash count certificate.
Train staff across the country office on the payment and expense systems and on documenting expenditure correctly.
Office premises, facilities and security
Oversee upkeep of the country and field offices, liaising with landlords on maintenance, and maintain the utilities, connectivity and supplies the office needs to operate without interruption.
Scope and secure field office locations as programs require, furnish them to standard within the agreed lead time, and manage relocation and closure.
Manage office access and guard services, holding providers to the agreed scope of service.
Act as the office focal point for day-to-day safety and security practice, and escalate incidents in line with policy.
Provide and maintain a safe work environment, including adequate first aid facilities and protective equipment for field staff, as per GD standards or national regulations.
Office and field asset management
Maintain a complete register of office and field assets — equipment, furniture, IT hardware and general supplies — updated monthly with new purchases, movements and disposals, with all assets tagged, allocated and tracked.
Conduct quarterly asset verification against the register and report exceptions.
Enforce staff protocols on handling and safe storage of GD property, and recover and reallocate assets when staff exit or projects close.
Forecast asset replacement, run the annual disposal cycle, and manage disposal of obsolete, damaged, lost or stolen assets with the required documentation and approvals.
Procure and maintain insurance coverage for office assets and vehicles, and manage claims.
Transport, logistics and visitor coordination
Oversee the office vehicle fleet and the Logistics Officers who operate it, including scheduling, maintenance, fuel management and cost control against the field transport budget.
Coordinate staff travel — flights, accommodation and ground transport — and oversee logistics for high-priority visitors.
Lead on visas and permits for GiveDirectly visitors and employees, and prepare supporting and invitation letters for visa applications.
Coordinate transport of materials and staff to field locations.
Support office functions and team events, including retreats and field-site logistics.
Team leadership and capability building
Lead the administration team across the country office and every field base: coordination, prioritisation, coaching, and quality assurance of deliverables.
Supervise office facilities and support staff — cleaners, catering staff and Logistics Officers — to maintain an orderly and functional office.
Hire, onboard and performance-manage direct reports, including verifying timesheets, leave and attendance.
Complete Quarterly Development Discussions (QDDs) for all direct reports on the global performance cycle, using them to set development goals and track progress.
Ensure SOPs and templates are in place, understood and used consistently across all sites.
Enable rapid scale-up: for each new field office, recruit and orient the Field Admin Associate, cleaners and transport support needed for the site to open on time.
Systems, risk and compliance
Improve back-office systems — payments workflow, records, office administration — so they support delivery at scale rather than constraining it.
Assess resource and capacity gaps across the administration function on an ongoing basis and plan ahead to fill them.
Maintain compliance with GiveDirectly policy, donor requirements, the code of conduct and Malawian regulation, implementing preventive controls and fixing process weaknesses before they become findings.
Build expertise within the team on the national and local regulatory environment and compliance requirements.
Support Finance and Internal Audit through review processes, providing payment and asset documentation, reconciling discrepancies and closing out findings.
Lead development of the annual administration budget under the guidance of the Operations Director, review actual against planned spend, and flag variances early.
Advise the Operations Director and Country Director on administrative planning and process improvement.
Desired qualifications:
5-7 years of work experience in office administration, operations or business support roles, including experience owning a payments or financial administration function.
Bachelors/Masters in business administration, management or a relevant field.
Strong alignment with GD values, and active demonstration of our core competencies: emotional intelligence, problem solving, project management, follow-through, and fostering inclusivity.
Experienced people manager with demonstrated ability to deliver results through others and set up strong management processes, ideally across multiple sites.
Sound working knowledge of payment processing, invoice validation, statutory tax treatment and basic financial controls.
Exceptional ability to logic through complex operational questions & run robust analyses to inform management and programming decisions.
Exceptional written & verbal communication skills to be deployed for a range of audiences (field teams, local and global leadership teams, regulatory authorities, service providers etc.).
Excellent interpersonal skills and a collaborative management style.
Enthusiasm for fast-paced environments, which may lack a pre-defined playbook for success and involve significant "learning by doing".
Fluency in English and Chichewa, and willingness to travel to field sites within Malawi.

The first part of the role is executive support to the CEO: calendar, meetings, decisions and follow-ups. The second part is operations support across the group, working with the COO: keeping company documents in order, preparing document sets and KYB packs, and taking on practical tasks that need to be done, collected or coordinated.
Responsibilities
Executive support
Calendar and meetings.
Run the CEO's calendar: scheduling, priorities, conflicts, travel. Prepare materials before meetings and make sure the right people and documents are in the room.
Decisions and follow-up.
Record decisions, assignments and deadlines from meetings. Follow up with owners and report status back to the CEO. Nothing agreed in a meeting gets lost.

Keep an up-to-date set of documents for each legal entity: certificates, constitutional documents, licences, structure chart, registers of directors, shareholders and UBOs, lists of accounts and signatories. Keep the folder structure and naming rules and make sure the latest version is easy to find.
KYB packs and questionnaires.
Keep a ready KYB pack for each entity and answer requests from banks, EMIs, exchanges and partners within an agreed time. Fill in KYC, KYB and KYT questionnaires from counterparties.
Deadlines.
Keep a calendar of documents and contracts with an expiry date and flag them in time so nothing lapses. Order new certificates, apostilles and translations when needed.
Tasks and coordination.
Take practical tasks from the CEO and COO and get them done: prepare a document set, collect signatures, find information, coordinate between teams and providers, track to completion.
Drafting.
First drafts of letters, memos and replies to counterparties from agreed templates.
Weekly status.
A short weekly status to the CEO and COO: open items, upcoming deadlines, expiring documents, problems.
Requirements
3+ years as an executive assistant, ideally in a group with several companies or a regulated financial company.
Experience with company documents and KYB packs for banks and EMIs. Cyprus is a strong advantage.

Able to move tasks forward through people who do not report to you, including senior ones.
Absolute discretion: you will see the CEO's calendar, personal matters and confidential company data.
