Role Description
As a Real Estate Analyst at Checkout.com, you will provide dedicated administrative, data management, and operational support to the Head of Real Estate, focusing on mitigating risk and increasing efficiency across the global portfolio. This role is essential for managing high-risk operational tasks, such as lease event tracking, lease administration, budgeting and data reporting to ensure a structured approach and prevent critical errors.
Key Responsibilities
1. Lease Administration & Governance
- Proactively track, monitor, and manage critical dates for all lease events, including renewals and break clauses, acting as the primary conduit for populating and managing the tools that host our Real Estate data.
- Support the execution of Real Estate contracts by coordinating with Brokers, Procurement, Legal etc. to finalise signing, updating project budgets, and archiving completed agreements.
- Manage operational risk by ensuring all key details related to lease obligations are accurately recorded, tracked and action is taken.
- For business case generation, gather comparable evidence, property valuations, and market data to drive strategic negotiations.
- Liaise with regional, business and central teams to capture the justification and data necessary for business case approval.
- Manage subleasing activities, including monitoring sub-tenant compliance, tracking sublease income and key milestones, and coordinating with legal and property management teams.
2. Financial and Procurement Reporting
- Coordinate with Finance, Tax and Procurement teams for Real Estate budgets, including updating and managing the Real Estate OPEX and CAPEX budget tracking tools.
- Act as the central point of contact for all property-related budget reporting, preparing quarterly reviews in a clear, digestible format that includes Real Estate and Workplace costs - giving an all inclusive cost per desk / square foot / head.
- Assist in reporting refurbishment or new office delivery costs, against business as usual spend for operational office locations.
- Support the coordination of financial and legal documentation required for transactions, such as preparing group structure charts and financials for external parties (e.g., landlords).
3. Corporate Social Responsibility (CSR) Data Collation
- Lead the coordination and collection of energy, water, and utility consumption data across the global portfolio to support future CSR reporting requirements.
- Manage the challenge of obtaining utility data in co-working and serviced spaces where direct meter readings are complex, including liaising with local teams, operators and landlords to gather the necessary information.
- Act as the conduit between the CEO Office and ESG/CSR teams to ensure our portfolio meets the needs of Sustainability policies and or regulatory requirements.
4. Departmental Administrative Support
- Assist in due diligence and preparation of business cases by researching and reporting on regional office statistics (e.g., desk counts, utilisation, attendance, capacity & commercials).
- Act as a key liaison for business case presentation and refinement.
- Maintain dynamic headcount forecasts to ensure space planning aligns with evolving business needs, particularly for high-growth regions.
- Monitor and document team shift patterns to inform workspace strategy (e.g., HVAC service requirements, after-hours access, and desk rotation models).
- Monitor and manage utilisation reports for Serviced Offices, along with onboard and offboard leaves to locations where we do not directly manage access control.
- Maintain the central digital repository for all property documentation (leases, contracts, floor plans, and insurance certificates), ensuring strict naming conventions, accessibility, and version control are met to ensure 100% audit-readiness.
- Schedule and prepare agendas, collate pre-read materials, and document meeting minutes for key real estate governance forums, proactively tracking action items to ensure timely closure by stakeholders.
- Managing the administrative aspects of the "joiner/leaver" process for office access where no assigned Workplace / People person is assigned.
- Act as the primary administrator for processing property-related invoices, performing the initial "first-pass" review to flag discrepancies against purchase orders (POs) and ensuring all costs are accurately coded before final submission to Finance.
5. Health, Safety & Physical Security Management
- Coordinate the global H&S audit schedule in partnership with SMEs, managing the central audit database, evidence library, action log, and training records to track progress and compliance.
- Support the weekly, monthly, quarterly, and annual reporting framework to surface risk trends and audit completion status, allocating audits to regional teams for execution.
- Own the scheduling, chasing, and evidence trail for the audit lifecycle, acting as the primary administrative point of contact to ensure smooth execution.
- Drive the audit lifecycle by ensuring all actions are identified, triaged, and managed to resolution, proactively identifying blockers and managing overdue items.
- Ensure regional teams interpret and apply the central H&S framework in accordance with local laws while maintaining the global baseline standards.
- Manage the integration of the H&S framework with wider Real Estate RACI to ensure clear accountability and prevent overlaps in responsibilities.
- Implement and maintain physical security policies and standards across all global office locations.
- Instruct periodic physical security risk assessments and audits to identify vulnerabilities and ensure compliance with security protocols.
- Oversee visitor management processes and physical security measures to safeguard personnel and assets.

ABOUT RAMP
Ramp is building the smart infrastructure for finance teams, embedded in the transaction flow of every dollar a business spends. We automate how over $275B in annualized spend flows in and out of 85,000+ companies: authorizing payments, flagging risk, categorizing spend, and closing books.
The problems are high-stakes, data-dense, and unforgiving.
We hire people with high agency and high urgency. We look for slope over intercept. We care less about where you trained and more about what you’ve built. At Ramp, everyone is a builder who owns problems end to end and makes consequential decisions that shape the outcome.
The median Ramp customer saves 7.5% and grows revenue 16% in their first year – far in excess of businesses operating without Ramp. We believe every ambitious company deserves the same.
If you want to build systems that directly shape how companies move and manage billions, Ramp is the place to do it.
ABOUT THE ROLE
Ramp is hiring its first dedicated Physical Security Lead to build and run the program that protects our people, our leaders, our events, and our offices. Our footprint now spans a multi-floor New York headquarters, Ramp-managed offices, and a growing set of hubs across North America and Europe. Our leaders are increasingly visible on public stages.
You'll own three areas in roughly equal measure: executive protection, event security, and office security (access control, cameras, guards, and building security). Your job is to turn a set of strong vendors and partner teams into one measurable, risk-based program.
This is a high-ownership IC role on the Corporate Security team. It reports to the Director of IT & Corporate Security and is based at our NYC HQ. This is a physical security role; cybersecurity and information security are owned by other Ramp security teams. We aren't looking for a guard supervisor or a box-checker. We want someone who makes it safe for Ramp to move fast, host great events, and keep our leaders accessible.
WHAT YOU'LL DO
- Build and run Ramp's executive protection program:
- Protective risk assessments and residential security reviews.
- Domestic and international travel security.
- Advance work for high-visibility appearances.
- Selecting, standing up, and managing our executive protection provider.
- Turn threat intelligence into protective action. Partner with Detection & Response to move from online threat and exposure monitoring to threat assessments, personal-information exposure reduction, and clear escalation playbooks.
- Own security for internal and external events, from all-hands and offsites to conferences, customer events, and executive dinners:
- Risk-tiered intake and written security plans.
- Coordination with venues and vendors.
- On-site leadership for the highest-risk events.
- After-action reviews.
- Set Ramp's global physical security standards for access control, video surveillance, intercoms, visitor management, and alarm monitoring. Tier them for headquarters, Ramp-managed offices, and flexible or serviced hub spaces.
- Build security into every new office, move, and expansion:
- Write the security design requirements and review drawings.
- Manage integrators through installation and acceptance testing.
- Partner with IT on network and identity integration.
- Manage the guard program and security vendors end to end: scope, post orders, SLAs and KPIs, budget, and quarterly business reviews. Own the security relationship with landlords and building management.
- Lead emergency preparedness and physical incident response:
- Emergency notifications, evacuation and shelter-in-place plans, and drills.
- Liaison with local law enforcement.
- Workplace-violence prevention, in partnership with People and Legal.
- Run physical access governance with IT. Tie access to joiner/mover/leaver events, run regular access reviews, and keep audit-ready evidence for physical security controls.
- Measure and report program health to leadership. Use AI and automation to scale the program without scaling headcount.
WHAT YOU NEED
- 6+ years in corporate or physical security, including 3+ years owning a security program or major workstream at a multi-site company. Executing someone else's program doesn't count toward this.
- Hands-on depth in at least two of the three areas (executive protection, event security, physical security systems such as access control and cameras) and solid working knowledge of the third.
- Experience administering or deploying enterprise access control and video platforms (e.g., Avigilon Alta/Openpath, Verkada, Genetec, LenelS2), and partnering with IT on networking and SSO.
- A track record of managing security vendors (guard, protection, integrator, event staffing) through contracts, SLAs, budgets, and performance reviews.
- Strong risk judgment. You size controls to the actual threat, explain the tradeoffs, and lead with "here's how we do this safely" rather than "no."
- Excellent writing. You can produce a crisp SOP, an event security plan, and a one-page executive brief.
- Willingness to work from our NYC office 4 days a week, travel 10–15%, support occasional evening and weekend events, and serve as primary on-call for physical security incidents (with the Director as backup and guard and vendor partners as on-site first response).
- Real, day-to-day use of AI tools in your work.
NICE-TO-HAVES
- ASIS CPP or PSP; formal executive protection training; first aid or Stop the Bleed certification.
- Experience at a high-growth tech, fintech, or financial services company with a high-profile founder or CEO.
- Experience writing security design standards for office buildouts and reading architectural or low-voltage drawings.
- Familiarity with physical and environmental control requirements in SOC 2, PCI DSS, or FedRAMP.
- A government protective, law enforcement, or military background, combined with corporate program ownership.
- An established network of protection, event security, and integrator vendors in NYC, SF, and internationally.
FAIR WARNING
- This is a builder role. Parts of the program exist today (vendors, a responsibility matrix, some SOPs). You'll turn them into a system.
- You're an IC who directs vendors and partner teams, not a manager of a security staff. You'll need to influence Workplace, Events, IT, Executive Assistants, People, and Legal without formal authority.
- Security at Ramp enables the business. Events still happen, offices stay welcoming, and executives stay accessible. Your job is to make that safe.
- Evenings, weekends, and travel come with the territory, especially around major events.
BENEFITS AVAILABLE TO ALL FULL-TIME RAMP EMPLOYEES (GLOBAL)
- Flexible PTO
- Centralized home-office equipment ordering
- Health and wellness stipend
- Budget for intra-office travel
- Weekly coffee stipend

- One Medical annual membership
- 401(k), including employer match on contributions made while employed by Ramp

About Anthropic
Anthropic’s mission is to create reliable, interpretable, and steerable AI systems. We want AI to be safe and beneficial for our users and for society as a whole. Our team is a quickly growing group of committed researchers, engineers, policy experts, and business leaders working together to build beneficial AI systems.
About the role
As a Senior Data Center Capacity Delivery Manager at Anthropic, you'll embed with project teams responsible for delivery of leased and partnered data center capacity. Your primary role will be to lead these partners to deliver on the fastest possible schedule while maintaining a safe construction site and protecting the finished quality of the data center.
Additionally, you'll validate deal readiness, coordinate complex stakeholder relationships, maintain regular reporting and status tracking, and ensure seamless transitions from project inception through operational readiness.
This role offers a unique opportunity to shape how Anthropic secures and activates the compute infrastructure needed to train and deploy frontier AI systems, working at the intersection of real estate, construction, and cutting-edge AI infrastructure.
Responsibilities
Lead. This is a role where leadership trumps management and process. You will be at one or more project sites 60% of the time or more and expected to shape the culture, approach, and aggressiveness that define those extended site teams. The goal is to impact outcomes in a favorable manner.
You are expected to be a force multiplier that develops and enhances the skillset that development partners, general contractors, and key trades bring to the project(s) you are overseeing. That means being a subject matter expert in the various cross functional elements of data center delivery and increasing the team's performance with that knowledge and commitment to alignment.
Confirm deal readiness and serve as the gatekeeper to validate transaction viability from Letter of Intent (LOI) through lease execution, ensuring all predevelopment, planning, technical and business requirements are met before commitment
Partner with landlords and developers post-deal to serve as Anthropic's primary point of contact, coordinating across internal stakeholders, tracking construction progress, and facilitating critical information exchange between development partners and Anthropic stakeholders
Represent Anthropic in key technical and operational decisions required by partners during the development process, ensuring our infrastructure requirements are met while maintaining strong partnerships
Drive seamless handoffs to operational state with heavy focus on engagement across networking and deployment teams, enabling rapid workload turn-ups and minimizing time-to-production
Prepare and present regular executive reporting on progress versus plan for facility development, supporting forward capacity planning and strategic decision-making
Identify and mitigate risks throughout the delivery lifecycle, proactively addressing blockers that could impact timeline, cost, or technical requirements
Develop and refine standardized processes and playbooks for facility delivery, driving continuous improvement as Anthropic scales its infrastructure footprint
You may be a good fit if you
Have 10+ years of experience in the highest level of site leadership managing data center delivery, construction projects, or infrastructure deployment at scale. You won’t have a big direct team to delegate too but will instead be able to treat the entire cross functional organizations at a jobsite as your team.
Have a strong understanding of the end to end (dirt to delivery) data center development process to include entitlements and permitting, planning and supply chain, execution, commissioning, and handover. You are not an administrator but an active player in the arena comfortable making decisions and guiding delivery execution without the need to consult across multiple external parties.
You should understand data center design and construction as a simple and repeatable process that allows you to build and optimize delivery without a playbook and with minimal processes and tools handed to you. If you can think about building a data center the way kids might build a tree fort or construct a lego set, we want to talk.
In this role you will often be on an island and responsible for your own destiny. You will have free reign to develop your own approaches with the mission guidance being your only bounds. No one will be there to empower your efforts; you will create your own influence by building relationships at the site and diving in at all phases to deliver success.
You must thrive operating with ambiguity and have a willingness to own project outcomes, knowing that the buck stops with you.
In this role, it is imperative that you are as comfortable in boots on a job site working to solve productivity issues with a group of blue collar trades as you are working across executives at development and contractor partners to optimize contract and commercial structures that incentivize delivery speed.
It's a bonus if you
Understand AI/ML infrastructure requirements, including high-density power and advanced cooling systems
Have had leadership positions (General Superintendent, Project Manager) within a GC or EPC on hyperscale data center projects or in self performance of hyperscale data center development projects.
Prioritize extreme ownership and have the ability to create winning cultures across diverse job sites.
Are deeply familiar with lease negotiations, construction contracts, or real estate development processes and have strategies to move those arrangements from traditionally transaction and risk managed arrangements to collaborative efforts that align incentives around accelerated delivery of facilities
Logistics
Minimum education:
Bachelor’s degree or an equivalent combination of education, training, and/or experience
Required field of study:
A field relevant to the role as demonstrated through coursework, training, or professional experience
Minimum years of experience:
Years of experience required will correlate with the internal job level requirements for the position
Location-based hybrid policy:
Currently, we expect all staff to be in one of our offices at least 25% of the time. However, some roles may require more time in our offices.
Visa sponsorship:
We do sponsor visas! However, we aren't able to successfully sponsor visas for every role and every candidate. But if we make you an offer, we will make every reasonable effort to get you a visa, and we retain an immigration lawyer to help with this.
We encourage you to apply even if you do not believe you meet every single qualification.
Not all strong candidates will meet every single qualification as listed. Research shows that people who identify as being from underrepresented groups are more prone to experiencing imposter syndrome and doubting the strength of their candidacy, so we urge you not to exclude yourself prematurely and to submit an application if you're interested in this work. We think AI systems like the ones we're building have enormous social and ethical implications. We think this makes representation even more important, and we strive to include a range of diverse perspectives on our team.
Your safety matters to us.
To protect yourself from potential scams, remember that Anthropic recruiters only contact you from @anthropic.com email addresses. In some cases, we may partner with vetted recruiting agencies who will identify themselves as working on behalf of Anthropic. Be cautious of emails from other domains. Legitimate Anthropic recruiters will never ask for money, fees, or banking information before your first day. If you're ever unsure about a communication, don't click any links—visit

How we're different
We believe that the highest-impact AI research will be big science. At Anthropic we work as a single cohesive team on just a few large-scale research efforts. And we value impact — advancing our long-term goals of steerable, trustworthy AI — rather than work on smaller and more specific puzzles. We view AI research as an empirical science, which has as much in common with physics and biology as with traditional efforts in computer science. We're an extremely collaborative group, and we host frequent research discussions to ensure that we are pursuing the highest-impact work at any given time. As such, we greatly value communication skills.
The easiest way to understand our research directions is to read our recent research. This research continues many of the directions our team worked on prior to Anthropic, including: GPT-3, Circuit-Based Interpretability, Multimodal Neurons, Scaling Laws, AI & Compute, Concrete Problems in AI Safety, and Learning from Human Preferences.
Come work with us!
Anthropic is a public benefit corporation headquartered in San Francisco. We offer competitive compensation and benefits, optional equity donation matching, generous vacation and parental leave, flexible working hours, and a lovely office space in which to collaborate with colleagues.

About GiveDirectly
What if the most effective way to fight poverty was also the simplest: give people money and trust them to decide what they need?
Since 2011, GiveDirectly has proven that idea at scale. We’ve delivered more than $1B in cash directly to 2+ million people living in poverty and crisis across 15 countries, and rigorous research shows the results: healthier kids, stronger businesses, sturdier homes, and more resilient families and local economies. Cash is now widely recognized as one of the most scalable, cost-effective, and dignified forms of aid.
Our ambition goes beyond our own programs. We want cash to become the benchmark for aid, much as the index fund became the benchmark for investing, so that every aid dollar is held to one question:
is this doing more good than giving the money directly to people living in poverty?
We’re growing fast, and this is a rare and important moment to join.
We expect to hit $1B in revenue in 2026 with significant growth forecast for 2027. At the same time we are building a new technology stack and operating model designed for a roughly 10x change in scale, and we are actively pursuing partnerships with major funders to move even more money in bigger ways, to people who need it. We are known for our extensive integration of technology into field processes; our quantitative approach to performance measurement; and our commitment to rigorous, independent, experimental evaluation of our impact, with multiple Randomized Control Trials completed and others in progress.
How we work
Our team spans 20+ countries and 69 languages. Our culture is candid, analytical, and non-hierarchical. We expect high ownership and give people real responsibility early. Our values are central to how we hire, work, and grow, and they are deliberately opinionated:
Recipients first.
Recipients’ preferences come before those of donors or ourselves.
Team next.
We optimize for organizational success, not individual success.
Be proactively candid.
We say what we believe and share information openly.
Create positive energy.
We aim to be a source of energy for colleagues, not a drain.
Think rigorously; act quickly.
We reason from first principles, then act rather than debate.
Know yourself and grow.
We own our imperfections and seek feedback to grow.
Accept reality. Propose solutions.
We focus on what can change and bring solutions, not just problems.
Be productively ambitious.
We take risks for step-change impact, not incremental progress.
If they describe how you like to work and they energize you, this could be a great fit.

Role overview:
GiveDirectly Malawi has grown steadily since its introduction in 2019 and in 2025 launched our most ambitious program and research agenda yet, delivering funds across an entire district alongside the largest-ever randomized trial on unconditional cash.
The Admin. Operations Manager runs the administrative engine of the country office. They are accountable for the functions every team depends on but few see: vendor and casual labour payments, petty cash, office premises and security oversight, field and office assets management, transport and logistics, visitor coordination, and regulatory compliance. When these work, programs move. When they slip, the cost lands on recipients, staff and vendors alike.
The Admin. Operations Manager is a people manager first. They lead a cross-site team of associates and support staff, and they are expected to build capability, not just allocate tasks. They work in close partnership with the Procurement & Warehousing Manager, with Finance on payments and reconciliations, and with the Programs team on the logistics that field operations require. They advise the Operations Director and Country Director on administrative planning, budget and process improvement.
Responsibilities:
Payments, petty cash and expense management
Own the end-to-end payment cycle for vendors, contractors and casual labour: validate invoice and timesheet authenticity, match each to goods or services actually received, assemble the full documentation pack, check the ledger for duplicates, and submit through the agreed payment request workflow.
Hold the team to a standing target of no overdue supplier invoices.
Apply the correct withholding and statutory tax treatment to each payment, and share filing proof with the payments team.
Follow payments through to settlement with Finance, maintain the payables tracker, and reconcile vendor accounts and payment discrepancies.
Run the petty cash cycle end to end — float request, retirement with receipts and memo, review and complete documentation — and produce the month-end cash count certificate.
Train staff across the country office on the payment and expense systems and on documenting expenditure correctly.
Office premises, facilities and security
Oversee upkeep of the country and field offices, liaising with landlords on maintenance, and maintain the utilities, connectivity and supplies the office needs to operate without interruption.
Scope and secure field office locations as programs require, furnish them to standard within the agreed lead time, and manage relocation and closure.
Manage office access and guard services, holding providers to the agreed scope of service.
Act as the office focal point for day-to-day safety and security practice, and escalate incidents in line with policy.
Provide and maintain a safe work environment, including adequate first aid facilities and protective equipment for field staff, as per GD standards or national regulations.
Office and field asset management
Maintain a complete register of office and field assets — equipment, furniture, IT hardware and general supplies — updated monthly with new purchases, movements and disposals, with all assets tagged, allocated and tracked.
Conduct quarterly asset verification against the register and report exceptions.
Enforce staff protocols on handling and safe storage of GD property, and recover and reallocate assets when staff exit or projects close.
Forecast asset replacement, run the annual disposal cycle, and manage disposal of obsolete, damaged, lost or stolen assets with the required documentation and approvals.
Procure and maintain insurance coverage for office assets and vehicles, and manage claims.
Transport, logistics and visitor coordination
Oversee the office vehicle fleet and the Logistics Officers who operate it, including scheduling, maintenance, fuel management and cost control against the field transport budget.
Coordinate staff travel — flights, accommodation and ground transport — and oversee logistics for high-priority visitors.
Lead on visas and permits for GiveDirectly visitors and employees, and prepare supporting and invitation letters for visa applications.
Coordinate transport of materials and staff to field locations.
Support office functions and team events, including retreats and field-site logistics.
Team leadership and capability building
Lead the administration team across the country office and every field base: coordination, prioritisation, coaching, and quality assurance of deliverables.
Supervise office facilities and support staff — cleaners, catering staff and Logistics Officers — to maintain an orderly and functional office.
Hire, onboard and performance-manage direct reports, including verifying timesheets, leave and attendance.
Complete Quarterly Development Discussions (QDDs) for all direct reports on the global performance cycle, using them to set development goals and track progress.
Ensure SOPs and templates are in place, understood and used consistently across all sites.
Enable rapid scale-up: for each new field office, recruit and orient the Field Admin Associate, cleaners and transport support needed for the site to open on time.
Systems, risk and compliance
Improve back-office systems — payments workflow, records, office administration — so they support delivery at scale rather than constraining it.
Assess resource and capacity gaps across the administration function on an ongoing basis and plan ahead to fill them.
Maintain compliance with GiveDirectly policy, donor requirements, the code of conduct and Malawian regulation, implementing preventive controls and fixing process weaknesses before they become findings.
Build expertise within the team on the national and local regulatory environment and compliance requirements.
Support Finance and Internal Audit through review processes, providing payment and asset documentation, reconciling discrepancies and closing out findings.
Lead development of the annual administration budget under the guidance of the Operations Director, review actual against planned spend, and flag variances early.
Advise the Operations Director and Country Director on administrative planning and process improvement.
Desired qualifications:
5-7 years of work experience in office administration, operations or business support roles, including experience owning a payments or financial administration function.
Bachelors/Masters in business administration, management or a relevant field.
Strong alignment with GD values, and active demonstration of our core competencies: emotional intelligence, problem solving, project management, follow-through, and fostering inclusivity.
Experienced people manager with demonstrated ability to deliver results through others and set up strong management processes, ideally across multiple sites.
Sound working knowledge of payment processing, invoice validation, statutory tax treatment and basic financial controls.
Exceptional ability to logic through complex operational questions & run robust analyses to inform management and programming decisions.
Exceptional written & verbal communication skills to be deployed for a range of audiences (field teams, local and global leadership teams, regulatory authorities, service providers etc.).
Excellent interpersonal skills and a collaborative management style.
Enthusiasm for fast-paced environments, which may lack a pre-defined playbook for success and involve significant "learning by doing".
Fluency in English and Chichewa, and willingness to travel to field sites within Malawi.

ClickHouse is hiring a Sr. Manager, Global Workplaces to build our workplace function from the ground up. This is a foundational role: there is no existing playbook to inherit, so you'll help design the policies, standards, and operating model that will support ClickHouse's workplace experience as we grow. You'll be responsible for a small but growing footprint of offices across multiple regions, and you'll need to balance our remote-first philosophy with the reality that in-person environments matter — for teams, culture, and moments that are hard to replicate over video.
This role reports to the Head of Procurement and will partner closely with People, IT, Security, Finance, and regional leaders. You should be comfortable operating with a high degree of autonomy, comfortable with ambiguity, and energized by building something new rather than maintaining something established.
What You Will Do:
• Workplace Function Build-Out: Design and stand up ClickHouse's global workplace function from scratch, including policies, standards, playbooks, and operating processes that can flex across regions and scale as we grow.
• Global Office Operations: Oversee day-to-day operations for ClickHouse's small offices across multiple regions, ensuring a consistent standard of experience while adapting to local norms, labor requirements, and regulations.
• Remote-First, In-Person-Enabled Strategy: Develop a workplace strategy that reflects our remote-first culture while creating high-value in-person environments — team hubs, offsites, and gathering spaces— that strengthen collaboration and connection.
• New Office Setup & Space Planning: Lead site selection, buildout, and launch of new small offices as ClickHouse expands into new regions, in partnership with Procurement, Finance, and Legal.
• Vendor & Facilities Management: Own vendor relationships across regions — broker, landlords, building management, facilities, food and beverage, and events — working closely with Procurement on sourcing and contract negotiation.
• Cross-Functional Partnership: Partner with People, IT, Security, and Finance on space planning,
onboarding logistics, workplace technology, and headcount-driven capacity planning across regions.
• Budget Ownership: Own the global workplace budget, track spend across regions, and identify
opportunities to optimize cost without compromising the employee experience.
• Policy & Process Development: Create scalable, well-documented workplace policies — health and safety, visitor management, workplace security, and office access — adaptable across jurisdictions.
• Events & Team Connection: Support company gatherings that reinforce culture and connection across a distributed team.
• Point of Contact & Escalations: Serve as the primary point of contact for office-related issues and emergencies across regions and time zones, establishing clear escalation protocols.
What You'll Bring to the Team:
• 7+ years of experience in workplace, facilities, corporate real estate, or global office operations, ideally including experience building a workplace function or program from the ground up.
• Experience supporting a globally distributed organization with multiple small offices across regions, and an understanding of the operational and regulatory differences that come with that footprint.
• Genuine enthusiasm for remote-first ways of working, paired with an appreciation for why in-person environments matter to teams — and the judgment to know when and how to invest in each.
• Strong vendor management and contract negotiation experience, with comfort partnering closely with a Procurement function.
• Experience managing a budget, with a track record of finding operational efficiencies.
• Proven ability to collaborate cross-functionally with People, IT, Security, and Finance teams.
• Highly organized, proactive, and comfortable operating autonomously in a role with significant ownership and limited existing infrastructure.
• Strong written and verbal communication skills, with the cultural fluency to work effectively across regions, time zones, and languages.
• Based in the Americas or EMEA, with the flexibility to travel to regional offices as needed.
Nice to Have:
• Experience negotiating international leases or managing office buildouts outside your home country.
• Familiarity with health, safety, and workplace compliance requirements across multiple jurisdictions.
• Experience designing workplace programs specifically for hybrid or remote-first organizations (e.g., home office stipends, co-working allowances, hub-based gathering strategies).

WHY WORK AT HIGGSFIELD AI?
Higgsfield AI is the fastest-scaling generative AI company in history, hitting $700M in annual revenue run rate, 30M+ users worldwide, 6M+ generations per day, and powering 390 of Fortune 500 brands.
In 365 days we shipped 305 releases — roughly five years of work at most companies. New models, features and workflows land every week, and each one has to be explained to millions of users in a way that makes them understand it, want to try it, and remember it.
WHO WE'RE LOOKING FOR
Everyone at Higgsfield is an A-player. We're looking for teammates who bring:
- High IQ, energy, and agency.
- Extreme autonomy and ownership.
- The ability to move fast, experiment constantly, and learn even faster.
- Resilience under pressure and readiness for an always-on environment.
- A balance of data-driven judgment and creative intuition.
- The drive to raise the standard for the entire team, not just yourself.
WHAT YOU WILL WORK ON
FOOD & DAILY COMFORT
- Own everything the team eats: daily lunches, breakfasts, snacks, coffee, drinks. Choose vendors, place orders, manage delivery timing, and make sure food arrives hot and on schedule — every day, without reminders.
- Handle dietary needs and preferences, collect feedback, and rotate the menu so people actually look forward to lunch.
- Keep the kitchen and snack stock full at all times. Nobody should ever find an empty coffee machine or an empty fridge.
- Track food spend, compare vendors, and negotiate better terms as the team grows.
OFFICE MANAGEMENT
- Keep the office running end to end: cleaning, supplies, water, repairs, furniture, plants, lighting, temperature — all of it.
- Be the main point of contact for landlords, cleaning services, delivery couriers, repair crews, and other vendors. Escalate fast, follow up until things are actually resolved.
- Set up and improve workspaces: desks, meeting rooms, quiet areas, lounge zones. Make the space something people choose to be in.
- Run the logistics of team events, all-hands, and guest visits — space, food, setup, teardown.
SYSTEMS & IMPROVEMENT
- Build simple systems that make all of this repeatable: inventory trackers, vendor lists, order schedules, onboarding checklists.
- Spot recurring annoyances and eliminate them permanently instead of solving them one by one.
- Keep documents, invoices, and receipts from vendors organized and handed off to finance on time.
YOUR MUST-HAVES
- 1+ years as an Office Manager, Administrative Assistant, or Coordinator (flexible for high-potential candidates).
- Strong organizational skills and real attention to detail — you notice the empty water cooler before anyone mentions it.
- Ability to juggle many small tasks at once and react quickly when something breaks.
- Initiative to improve and systematize processes rather than firefight forever.
- Excellent communication skills for working with vendors, couriers, contractors, and internal teams.
- Proficiency in Excel, Google Sheets, Notion, Google Calendar, and Slack.
- Fluent English.
NICE TO HAVES
- Experience in startups or high-growth environments.
- Hands-on experience with laptop setup, IT inventory, or basic hardware troubleshooting.
- An existing network of reliable vendors — catering, cleaning, repairs, equipment.
- Interest in growing into Project Management, Workplace Operations, or IT Operations.
The deal
- Competitive salary in USD, reviewed as you grow;
- On-site role in our Almaty office;
- Access to Higgsfield products and the AI tools we use internally;
- Breakfast, lunch and good coffee on us;
- Full-time position with high ownership.
