You will work with global and regional legal leads, internal stakeholders and external partners across entities and time zones.
The role suits experienced paralegals, legal assistants (asistentes jurídicos), corporate secretarial and legal operations professionals, and executive or administrative assistants with legal exposure.
What You Will Do
Documentation & Data Hygiene
Template and Contract Management:
Maintain, update and organize standard regional legal templates and demand letters in designated folders and within the agreement management system.
Signature Lifecycle Management:
Oversee the end-to-end execution of legal documents, including active tracking, obtaining signatures and rigorous follow-ups with internal and external signatories.
Information Management:
Manage digital filing systems and shared directories, performing periodic audits to ensure strict data hygiene and consistent naming conventions.
Entity Data Maintenance:
Keep a master record of corporate entities (jurisdictions, directors, registered addresses, filing deadlines) up to date.
KYC, Finance, Billing & Vendor Support
Bank and Regulatory KYC/KYB Support:
Support the KYC/KYB processes required by banks and regulatory authorities for the group's own companies, including gathering and submitting corporate documentation (certificates of incorporation, UBO information, director details, proof of address, etc.) and coordinating with internal stakeholders to respond to bank and regulator requests.
PO and Invoice Management:
Handle the end-to-end Purchase Order (PO) process within internal ERP systems, validating invoices against engagement letters and following up on outstanding payments or billing discrepancies.
External Counsel Liaison:
Act as the primary operational point of contact for external law firms on invoicing, billing updates, conflict checks and routine document follow-ups.
Certificate Requests:
Handle routine requests from clients and vendors for certificates of good standing, insurance certificates and similar documents.
Operations, Logistics & Governance
Legalization and Logistics:
Coordinate specialized legal document processes, including public notarization, apostille certifications and secure regional courier logistics.
Regulatory Status Tracking:
Liaise with local and regional corporate registries and regulatory authorities to monitor application statuses, filing updates and compliance requirements.
Contract Repository Reporting:
Produce periodic reports on contract status, KYC completion rates and outstanding signatures for global leads, and obtain those outstanding signatures directly.
What We Are Looking For
A degree in Law, Business Administration or a related field.
Minimum 3–5 years of relevant work experience; experience in a law firm, in-house legal or corporate administration, or in an executive or administrative support role is a plus.
A highly organized, detail-oriented approach, with the ability to manage high volumes of documentation across multiple jurisdictions without anything slipping through the cracks.
Proficient English, both written and verbal (essential); additional languages relevant to the regions covered are a plus.
Experience working in a global or regional setting, managing competing priorities across multiple entities, time zones and stakeholders.
A proactive, self-starting mindset: you chase outstanding items and flag issues before they become problems, without needing to be prompted.
A genuine interest in administrative, operational and process-oriented legal work, with a clear wish to build and grow in this type of role over the long term.
Why Join Aleph
Real impact:
You become the operational backbone of the legal function, keeping contracts, signatures, entity records and bank KYC/KYB requests moving across multiple entities and jurisdictions.
Room to grow:
This is a long-term path into legal operations, a discipline that is growing quickly in Spain, with direct exposure to global legal leads, ERP processes and external law firms.
A collaborative team:
You will work with colleagues and stakeholders across regions and time zones, in a role that rewards ownership, initiative and clear communication.

ABOUT THIS JOB
We're looking for a Head of Marketing Strategy & Operations to run the business side of marketing. Our marketing team went from two people to 25 this year, organized around four functions: product marketing, brand and consumer, enterprise, and growth. This is the first operations hire on that team. You'll own the marketing budget with Finance, run our planning cycle and operating cadence, keep hiring aligned with the plan, and partner directly with the CMO on how marketing sets priorities and tells its story to the executive team and the board.
It's a role for someone who has sat close to a CMO and a CFO, likes turning ambiguity into a plan people can execute, and is comfortable building the function themselves before building a team.
WHAT YOU'LL DO:
Budget & Financial Operations
- Own the marketing budget end to end with Finance: allocation across teams and channels, tracking against plan, forecasting, variance flags, and the tradeoff conversations that follow
- Build the layer of visibility leadership needs (spend by team, channel, and program) on top of the spend-tracking tools we already have, so decisions get made with numbers
- Run quarterly, half-year, and annual budget planning, and make marketing's case to Finance and the executive team
- Own marketing's vendor and agency contracts end to end: evaluations, procurement, renewals, and a clear view of what we pay for and why
Planning & Operating Cadence
- Own marketing's planning cycle: translate company goals into marketing objectives, OKRs, and resourced plans, and keep them current as priorities shift
- Bring a point of view. Pressure-test plans, frame the tradeoffs, and help the CMO decide where marketing places its bets
- Design the lightweight processes and internal tools (planning, intake, reporting) that let a 25-person team operate like a much bigger one
- Run the operating rhythm for the marketing leadership team: meetings, all-hands, team-wide readouts, agendas, decisions, and follow-through
- Keep the marketing functions connected so plans, launches, and budgets move together
Executive Partnership
- Partner directly with the CMO on board materials, executive readouts, and strategy documents. Own first drafts and make them data-backed and on-message
- Extend the CMO's reach across the team: surface risks early, chase decisions to closure, and keep priorities clear week to week
- Represent marketing in cross-functional planning with Finance, Sales, and Product
Hiring & Org Operations
- Partner with Talent Acquisition and marketing leads on headcount planning, requisition tracking, and interview process, and keep hiring plans aligned with budget and org design
- Standardize the basics across sub-teams (job descriptions, interview loops, scorecards) and help new leaders land well
WHAT WE'RE LOOKING FOR:
- 10+ years in marketing strategy and operations, business operations, strategic finance, management consulting, or a similar role supporting a CMO, GM, or business unit leader
- You've owned a sizable marketing or departmental budget end to end and can talk about spend, forecast, and variance the way Finance does
- You've built or run a planning cycle (annual or half-year, OKRs) and an operating cadence for a leadership team
- You've drafted board or executive materials for a senior leader and know the difference between a readout and a narrative
- Experience with headcount planning and hiring operations alongside a Talent team
- You've run vendor evaluations and procurement alongside Finance and kept a clean view of contracts and renewals
- Comfortable as an individual contributor. This is the first ops hire; you'll do the work before you have a team
- You scope light and move fast. We plan in weeks, not quarters, and you build just enough process to keep a fast team aligned
- You build trust quickly, from individual contributors to the C-suite
- Bonus: you're comfortable building your own tools with AI. We use Replit to run Replit
This is a full-time role that can be held from our Foster City, CA office. The role has an in-office requirement of Monday, Wednesday, and Friday.
Full-Time Employee Benefits Include:
💰 Competitive Salary & Equity
💹 401(k) Program with a 4% match (US Only)
⚕️ Health, Dental, Vision and Life Insurance
🩼 Short Term and Long Term Disability
🚼 Paid Parental, Medical, Caregiver Leave
🏝 Flexible Time Off (FTO) + Holidays
🚗 Commuter Benefits (In-Office & US Only)
📱 Monthly Wellness Stipend
🧑💻 Autonomous Work Environment
🖥 In Office Set-Up Reimbursement (In-Office Only)
🚀 Quarterly Team Gatherings
☕ In Office Amenities (In-Office Only)

We're looking for a proactive, resourceful, and AI-forward Tech & Marketing Operations Specialist to manage our technology projects, keep our learning platforms running seamlessly, and power the marketing engine that brings students to them
This role suits someone with a broad technical fluency who thrives on coordination, troubleshooting, and hands-on building. You don't need to be a professional developer, but you do need to be comfortable using tech tools to design, prototype, and ship real solutions.
The position will be based at the Madrid office with a hybrid work model.
What You’ll Do
Platform & Systems Management
Tech project management:
Manage technology-related projects end to end — defining requirements, building timelines, tracking progress, and identifying improvements that serve broader project goals.
LMS management (WordPress & LearnDash):
Own the day-to-day health of our WordPress-based LMS and LearnDash plugin — user administration, course administration, email flows, bulk imports, new features, configuration, and troubleshooting.
CRM & Marketing Automation (Salesforce & Salesforce Marketing Cloud):
Act as first point of contact for Salesforce and SFMC — build and test journeys, landing pages, and lead magnets; investigate and resolve issues the Operations team can't solve; escalate and follow up when needed.
System integration:
Serve as the architect making sure LMS, CRM, Marketing Cloud, and Power BI talk to each other correctly — designing and implementing the technical architecture for data flows between platforms, including low-code integrations.
Data integrity & reporting:
Review data integrity across LearnDash, Salesforce, and Power BI; execute queries and build reports/extracts for non-technical stakeholders; handle large-scale data reviews (including million-row datasets) when needed.
Website support:
Provide general technical support for the website and coordinate with relevant resources to resolve issues.
Compliance & security:
Help bring the LMS environment up to the organization's IT and security standards, acting as liaison between the Education team, developers/cloud providers, and Security/Legal/IT.
Marketing Operations & Growth
Campaign execution:
Build, test, and launch email and lifecycle campaigns in Salesforce Marketing Cloud — segmentation, audience building, A/B tests, send scheduling, and deliverability hygiene.
Landing pages & lead capture:
Build and ship landing pages and forms based on designs provided by the internal design team; ensure correct lead routing into Salesforce, field mapping, deduplication, and follow-up automation.
Tracking & attribution:
Own the measurement layer — GA4, Google Tag Manager, conversion pixels, UTM taxonomy and enforcement — so that every campaign, source, and channel is measurable end to end.
Lifecycle & retention automation:
Design automated flows across the student lifecycle (onboarding, course progress nudges, re-engagement, certification, upsell) connecting LMS events to CRM and Marketing Cloud triggers.
Martech stack & compliance:
Own the marketing technology stack and its integrations; keep consent management, cookie compliance, and data handling aligned with privacy requirements and company policy.
AI for marketing:
Apply the same builder mindset to marketing — AI-assisted copy and creative variants, campaign localization at scale, automated performance summaries, and audience insight tooling.
Technical Bridge & Coordination
Stakeholder liaison:
Serve as a primary point of contact between internal stakeholders (especially the development team) and business operations, translating business needs into functional technical specifications.
Specification writing & QA:
Write clear technical specs, replicate scenarios, and fully test in QA and production before rollout.
Documentation:
Keep the operations manual and technical documentation current and useful for the team.
Cross-functional project leadership:
Lead multi-month initiatives (e.g., new catalog builds, platform redesigns, global/language expansions, migrations) from scoping through to launch — defining KPIs, coordinating between design/development/vendors, and testing at every step.
AI Development & Innovation
AI builder mindset:
Go beyond being “AI-savvy” — actively explore, prototype, and build AI-powered solutions that improve how the team works and how students learn (e.g., translation tools, automation of repetitive data tasks, AI-assisted reporting).
Tool development:
Design and build practical AI tools and workflows (e.g., custom Gemini/Claude “gems”/assistants, scripts, or low-code automations) to solve real operational bottlenecks — not just use off-the-shelf AI features.
Exploration & evaluation:
Stay current on emerging AI tools and platforms relevant to EdTech operations, and proactively propose where they could create value (efficiency, personalization, translation, content scaling, etc.).
AI project ownership:
Take end-to-end ownership of AI-driven initiatives — from investigating alternatives and setting up integrations, to testing and rolling out to production (as previously done with AI-powered course translation tooling).
Responsible use:
Use AI tools in a way that's compliant with company confidentiality and data-security standards, and only with company-approved systems.
What You Need For This Role
You have a solid, broad understanding of technology and digital platforms, and you're comfortable getting hands-on rather than just directing others.
You have
5+ years
of experience managing Education and Marketing tech projects.
You are genuinely
curious about AI
and see it as a tool to build with, not just a topic to discuss — you've built something with AI before (a workflow, an automation, an integration, a tool).
You bring project management skills with a track record of leading initiatives from scope to delivery.
You're a strong communicator who moves comfortably between technical and non-technical audiences.
You're a proactive problem-solver, able to identify needs and find the right solutions, people, and tools without waiting to be asked.
You understand
marketing funnels
and growth metrics (CPL, CAC, conversion rate, LTV) and can translate them into technical requirements.
Hands-on experience with marketing automation and campaign tooling (Salesforce Marketing Cloud strongly preferred) is highly valued.
Familiarity with GA4, Google Tag Manager, and conversion tracking setups is a strong plus.
You are comfortable owning both the plumbing and the outcome — not just that the campaign sends, but that it performs.
Experience with WordPress and/or LMS platforms (ideally LearnDash) is a strong plus.
Familiarity with CRM systems (Salesforce/Salesforce Marketing Cloud preferred) and data/BI tools (Power BI) is highly valued.
You're highly organized, detail-oriented, and capable of managing multiple concurrent projects.
You're a self-starter, comfortable working independently.
What Will Make Us Really Love You
You bring a track record of success in a similar role, with hands-on experience.
You’re not afraid to challenge the status quo and bring fresh, out-of-the-box ideas to the table.
You anticipate challenges before they arise and take initiative to find effective solutions.
You have an eye for detail.
You thrive on teamwork but also bring a driven, goal-oriented spirit.
You’re genuinely enthusiastic about advertising, ad-tech, and staying ahead of industry trends.
You have the ability to engage and communicate with internal and external stakeholders in a positive and approachable way.
What You’ll Love About Us
We care about your individuality by giving you freedom to grow and create within the company, regardless of your position
Learn from the best: Our state of the art workshops guarantee the latest insights into digital advertising
Be part of a company with a truly global footprint, working with leading brands, platforms, and publishers across 90+ markets.
We foster a dynamic environment where creativity, collaboration, and bold ideas are encouraged and celebrated.
Join a diverse, multicultural team that values and embraces different perspectives, experiences, and talents.
At Aleph, your work directly contributes to connecting brands and consumers in meaningful ways, shaping the future of digital advertising.
In line with the EU Pay Transparency Directive, we are committed to fair and open compensation practices. For this role, the minimum gross annual base salary is EUR 32,800. In addition to base salary, this role includes a variable component, paid annually. The final offer will reflect your experience, skills, and the scope of the role.

About the Opportunity
We are building a scalable financial operations platform to support the accurate movement, recording, reconciliation and reporting of fiat and digital assets. The Head of Financial Operations Platform will define and deliver the architecture that connects our trading, payment, banking, custody, blockchain, wallet and finance systems.
This is a senior, hands-on platform leadership role. The successful candidate will establish trusted books and records, automate settlement and reconciliation, create effective exception workflows and give Operations and Finance the tools required to maintain accurate client and corporate asset records on a daily and, where feasible, near-real-time basis.
The role owns platform capability and delivery. Client Asset Operations and Finance retain responsibility for executing, reviewing and signing off the underlying operational and accounting controls.
What You Will Own
Product strategy and multi-year roadmap for the financial operations platform.
The canonical transaction and financial-event model across fiat and digital assets.
Client and corporate asset subledgers, balances, positions, journals and transaction histories.
Settlement and asset-movement workflows across banks, payment providers, custodians, wallets, blockchains and trading venues.
Multi-way transaction- and balance-level reconciliation across operational sources, internal records and the finance system.
Exception management, operational dashboards, control evidence, audit trails and management reporting.
Build-versus-buy assessments, strategic vendors, migration, backfilling, parallel runs and legacy-process retirement.
First Year Outcomes
Document the end-to-end transaction, asset and accounting architecture.
Establish an approved platform roadmap and target operating model.
Define the canonical financial-event, subledger and reconciliation data model.
Deliver systematic reconciliation for the highest-risk fiat and digital asset flows.
Introduce centralized exception ownership, ageing, escalation and evidence.
Reduce spreadsheet dependency and engineering-dependent investigations.
Improve alignment between operational records, customer liabilities, external asset records and the finance system.
Deliver a credible path from daily controls to near-real-time monitoring for material flows.
What You’ll Be Doing
Product Strategy and Architecture
- Establish the target vision, operating principles and roadmap for ledger, settlement, reconciliation and client asset controls.
- Map end-to-end funds and asset flows across deposits, withdrawals, trades, fees, transfers, financing, staking and other relevant products.
- Partner with Architecture and Engineering to define scalable services, APIs, event schemas, data contracts, system boundaries and resilience requirements.
- Make evidence-based build-versus-buy decisions and prevent fragmented point solutions from becoming the operating model.
Ledger and Books and Records
- Define requirements for double-entry ledgering, journals, balances, positions and transaction traceability.
- Establish clear lineage from the originating operational event through the subledger and financial reporting environment.
- Ensure the platform handles reversals, corrections, fees, foreign exchange, internal transfers, failed transactions, duplicated events and delayed events.
- Work with Finance to maintain controlled alignment between operational books and records and the ERP or general ledger.
Settlement and Reconciliation
- Design workflows for fiat and digital asset settlement, including cut-offs, confirmations, status management, retries and failure handling.
- Build automated multi-way reconciliation across trading engines, payment systems, banks, custodians, wallets, blockchain records, subledgers and ERP systems.
- Define configurable matching rules, tolerances, materiality levels, frequencies and escalation thresholds.
- Create near-real-time detection for missing, duplicated, delayed or incorrectly recorded transactions where feasible and proportionate.
Operational Tooling and Controls
- Build operator interfaces that support investigation and resolution without routine dependence on engineering queries or spreadsheets.
- Incorporate maker-checker approvals, role-based access, segregation of duties, evidence retention and complete audit histories.
- Define monitoring and alerting for data completeness, balance integrity, settlement failures, reconciliation breaks and control execution.
- Support audit, regulatory examination and financial-reporting requirements with reproducible system evidence.
Delivery and Stakeholder Leadership
- Lead discovery, requirements definition, prioritization, testing, rollout and post-launch improvement.
- Write clear product requirements, workflow diagrams, data definitions, control requirements and acceptance criteria.
- Coordinate operational readiness across Product, Engineering, Operations, Finance, Treasury, Custody, Risk and Compliance.
- Lead data migration, backfilling and parallel-run validation before replacing existing controls or processes.
- Communicate roadmap priorities, risks, dependencies and measurable outcomes to senior management.
What We Look For In You
Eight or more years in fintech, financial services, digital assets, brokerage, custody, payments or capital-markets technology.
Five or more years of product-management, platform leadership, technical program leadership or comparable engineering experience.
Demonstrated delivery of a ledger, reconciliation platform, settlement system, payments infrastructure, brokerage books-and-records platform or digital asset back office.
Strong understanding of transaction lifecycles, balances, positions, journal entries, reconciliation and financial controls.
Technical fluency with APIs, event-driven systems, data schemas, batch and streaming pipelines, integrations, idempotency and failure handling.
Ability to work directly with transaction-level data; practical SQL proficiency is strongly preferred.
Track record of delivering mission-critical systems in regulated or control-intensive environments.
Strong written communication, structured problem-solving and senior stakeholder-management skills.
Nice to Haves
Experience with both fiat and digital asset transaction flows.
Knowledge of blockchain transactions, wallets, custodians and on-chain settlement.
Experience integrating with ERP systems such as Oracle, SAP, NetSuite or Microsoft Dynamics.
Familiarity with client asset segregation, safeguarding, books and records or comparable regulatory requirements.
Experience with high-volume, continuously operating financial platforms.
Knowledge of double-entry accounting and financial-close processes.

BUILDING THE FUTURE OF OPEN FINANCE
Payward - the parent company behind Kraken, NinjaTrader, Breakout, xStocks, Payward Services and CF Benchmarks - has spent the last 15 years building one of the most modern and globally accessible financial infrastructure platforms in the industry, built to advance an open, global financial system.
THE TEAM
Founded in 2011, Kraken is one of the world's longest-standing crypto platforms, trusted by over 10 million individuals and institutions across the globe. It offers spot trading, margin, futures, staking, and OTC services, with products built for both individual investors and institutional clients.
Kraken's Compliance Operations teams, including the Financial Intelligence Unit (FIU), investigations and enhanced due diligence, are the front line of how Kraken detects and responds to financial crime. The systems they run on sit within Core Services Product, alongside the engineering teams who build them. That covers alert ingestion, case management, investigator tooling and a growing set of automation and AI tools.
This role owns the product for that investigation platform. That means how an alert is created, enriched, grouped and suppressed. How it becomes a case. How an investigator reaches and documents a decision. And how every step is evidenced to a regulator or auditor. You'll start with the FIU, where the workflows are most complex and the audit bar is highest, then extend the platform across Compliance Operations.
THE OPPORTUNITY
- Own the investigation-platform roadmap end to end. Sequence it and defend it, and re-sequence it when a regulator or the RCO raises a P0.
- Define "done" before build starts. Write phased deliverables and acceptance criteria that Compliance signs off, and hold the line when scope moves.
- Get requirements in before engineering starts. Build the intake between Compliance policy, monitoring rules and case management so that changes don't reach investigators before their workflows are ready.
- Understand the process before building. Reconcile policy and SOPs against what investigators actually do and what the system actually does. Know the difference between a process fix and a technical one, and say which requests are in scope for engineering.
- Understand the pipeline well enough to challenge it: ingestion, profile and transaction resolution, suppression and grouping logic, and reconciliation between vendor output and case management. Be able to walk an auditor through it with live examples.
- Make auditability a first-class requirement: audit trail, data lineage, evidence retention, reviewer attribution, change-management controls, and validation of filtering and suppression logic.
- Ship automation and AI into regulated workflows with controls that hold up in Compliance, IT and privacy audits. That means human-in-the-loop design, explainability and ongoing monitoring.
- Run the operating rhythm: a shared forum with engineering and adjacent product managers, a regular stakeholder update, and one delivery status that everyone reads the same way.
WHAT YOU BRING
- 4+ years of product management, including 2+ years on financial-crime systems such as transaction monitoring, investigations, case management, KYC/EDD or sanctions screening.
- Working knowledge of how an AML programme is examined, including the questions regulators, internal audit and model validation ask about monitoring, filing and control systems.
- The technical fluency to go deep on data flows and system design with engineers, and to spot when a design won't meet the requirement.
- A track record of shipping internal tools or operational platforms that measurably changed how an operations team works.
- Clear, concise writing, from PRDs and phase plans to audit walkthroughs and executive updates.
- The judgement to tell a senior stakeholder a timeline isn't realistic because the requirements aren't written yet, and to keep the relationship intact.
NICE TO HAVES
- Direct FIU experience, such as alert disposition, SAR/STR filing or leading investigators.
- Crypto or digital-asset experience, such as blockchain analytics, wallet-level transaction analysis or focal vs counterparty logic.
- Experience shipping AI or ML into a regulated investigative workflow, including the control design.
- Build-vs-buy and vendor evaluation for monitoring or case-management tooling.
- Experience with programmes that span jurisdictions (UK, EU/MiCA, US).
Unless a specific application deadline is stated in the job posting, applications are accepted on an ongoing basis.
Please note, applicants are permitted to redact or remove information on their resume that identifies age, date of birth, or dates of attendance at or graduation from an educational institution.
We consider qualified applicants with criminal histories for employment on our team, assessing candidates in a manner consistent with the requirements of the San Francisco Fair Chance Ordinance.
OUR COMMITMENT
Payward is powered by people from around the world and we celebrate the diverse talents, backgrounds, contributions, and unique perspectives that everyone brings to the table. We hire based on merit, seeking out people with the right abilities, knowledge, and skills for the job. We encourage you to apply for roles where you don't fully meet the listed requirements, especially if you're passionate or knowledgeable about crypto.
We may ask candidates to complete job-related skills or work-style assessments as part of our hiring process. These assessments evaluate competencies relevant to the role and are applied consistently across candidates for similar positions. Results are considered alongside experience and interviews, and are not the sole basis for any employment decision.
As an equal opportunity employer, we don't tolerate discrimination or harassment of any kind, whether based on race, ethnicity, age, gender identity, citizenship, religion, sexual orientation, disability, pregnancy, veteran status, or any other protected characteristic as outlined by federal, state, or local laws.

ABOUT BASETEN
Baseten powers mission-critical inference for the world's most dynamic AI companies, like Cursor, Notion, OpenEvidence, Abridge, Clay, Gamma, and Writer. By uniting applied AI research, flexible infrastructure, and seamless developer tooling, we enable companies operating at the frontier of AI to bring cutting-edge models into production. We're growing quickly and recently raised our $1.5B Series F https://www.baseten.co/blog/announcing-our-series-f/, led by Altimeter Capital, Conviction Partners, and Spark Capital. Join us and help build the platform engineers turn to ship AI products.
THE ROLE
Baseten is growing fast, and how we hire shapes what we become. As our Recruiting Operations Program Manager, you'll find where the recruiting team is losing time or quality, confirm it with data, and build and run the program that fixes it. Some of that work is quick, like a data pull for leadership or an Ashby answer for a recruiter. Some of it spans months and needs executive buy-in.
You'll identify, build and own programs end to end, from redesigning core recruiting processes to building and shipping AI-powered tools that change how our recruiters work every day. You'll work across Ashby, Notion, Slack, and Claude, and treat AI as a core part of how recruiting runs.
RESPONSIBILITIES
- Break large, ambiguous problems into clear phases, owners, and deadlines, and drive them through to adoption, not just launch.
- Lead large-scale recruiting programs end to end: secure leadership buy-in, manage timelines across stakeholders, and use data to decide what to change and how to measure it.
- Analyze interview plans, pass-through rates, stage timing, and interviewer load in Ashby, and turn findings into concrete recommendations.
- Own data hygiene and job setup consistency across the pipeline so leadership can trust recruiting reporting, and build the dashboards and reports the team relies on.
- Support operational asks from recruiters and leadership, and turn repeated asks into self-serve tools or documented answers.
- Build, pilot, and iterate on Claude-powered tools and workflows that solve recurring pain points across the recruiting team.
- Keep recruiting documentation – including interview guides, playbooks, SOPs, and training material – current, monitored, and easy to find.
- Propose and roll out process changes that make recruiting faster and more consistent, including the comms and training that make them stick.
REQUIREMENTS
- 3+ years in recruiting operations, program management, or a related operations role at a fast-growing company.
- Track record of running cross-functional projects end to end, including getting buy-in from senior leaders.
- Comfort pulling, analyzing, and presenting data, and turning it into clear recommendations.
- Clear, concise writing, including for executive audiences.
- Strong prioritization skills, with the ability to balance long-running programs with day-to-day asks.
NICE TO HAVE
- Hands-on Ashby experience, especially reporting and dashboards, or deep experience with another ATS, including using data and metrics to drive decisions and set priorities.
- Experience building workflows or tools with AI (Claude, ChatGPT, or similar).
BENEFITS
- Competitive compensation, including meaningful equity
- (U.S. only) 100% coverage of medical, dental, and vision insurance for employee and dependents
