We are a digital-asset infrastructure group. We build institutional custody technology and operate regulated entities in Cyprus (CySEC MiCA CASP licence), Switzerland (VQF SRO membership), the UK and the UAE. A new entity in Georgia is being set up now.
The first part of the role is executive support to the CEO: calendar, meetings, decisions and follow-ups. The second part is operations support across the group, working with the COO: keeping company documents in order, preparing document sets and KYB packs, and taking on practical tasks that need to be done, collected or coordinated.
Responsibilities
Executive support
Calendar and meetings.
Run the CEO's calendar: scheduling, priorities, conflicts, travel. Prepare materials before meetings and make sure the right people and documents are in the room.
Decisions and follow-up.
Record decisions, assignments and deadlines from meetings. Follow up with owners and report status back to the CEO. Nothing agreed in a meeting gets lost.
Personal matters.
Handle personal administration for the CEO within an agreed scope: appointments, documents, travel, payments.
Operations support
Company documents in order.
Keep an up-to-date set of documents for each legal entity: certificates, constitutional documents, licences, structure chart, registers of directors, shareholders and UBOs, lists of accounts and signatories. Keep the folder structure and naming rules and make sure the latest version is easy to find.
KYB packs and questionnaires.
Keep a ready KYB pack for each entity and answer requests from banks, EMIs, exchanges and partners within an agreed time. Fill in KYC, KYB and KYT questionnaires from counterparties.
Deadlines.
Keep a calendar of documents and contracts with an expiry date and flag them in time so nothing lapses. Order new certificates, apostilles and translations when needed.
Tasks and coordination.
Take practical tasks from the CEO and COO and get them done: prepare a document set, collect signatures, find information, coordinate between teams and providers, track to completion.
Drafting.
First drafts of letters, memos and replies to counterparties from agreed templates.
Weekly status.
A short weekly status to the CEO and COO: open items, upcoming deadlines, expiring documents, problems.
Requirements
3+ years as an executive assistant, ideally in a group with several companies or a regulated financial company.
Experience with company documents and KYB packs for banks and EMIs. Cyprus is a strong advantage.
Very organised and self-directed: calendars, registers and follow-up lists are your normal way of working.
Good written English: you can draft a letter or a memo that needs little correction.
Able to move tasks forward through people who do not report to you, including senior ones.
Absolute discretion: you will see the CEO's calendar, personal matters and confidential company data.
Comfortable with task trackers (ClickUp or similar) and shared document systems.
Strongly preferred: experience in a regulated environment (CySEC, MiCA or VQF); exposure to bank or EMI onboarding from the client side.
Benefits
Competitive salary;
Annual performance bonus;
Access to our Limassol offices, including daily drinks and snacks, as well as parking facilities;
Working hours are from 9:00 to 18:00, with a shorter day on Fridays until 16:30;

Artificial Intelligence. Actual Impact.
At Docebo, we’re using AI to change how people learn at work—and we mean actually change it. We’re an AI-powered learning platform that helps organizations create, deliver, and manage training all in one place. But our real mission goes deeper: we help teams move faster, work smarter, and focus on the work that truly matters. Our platform is built with intelligent, time-saving tools that personalize learning, eliminate busywork, and turn training from a checkbox into a superpower. The result? Better experiences for learners and real results for businesses.
We’re shaping the future of learning with a team that isn’t afraid to challenge the status quo. If you're excited by the idea of using AI to make work-life better for real people–you’ll feel right at home here. And it’s not just what we build, it’s how we show up. At Docebo, our values aren’t just posters on the wall—they guide how we work every day. We call it the Docebo Heart: trust by default, assume positive intent, and create space for different perspectives to thrive.
So… what are you waiting for? Join 900+ Docebians around the world and help us reinvent the way people learn, because learning never stops.
THE ADVENTURE AHEAD 🚀
Our Salesforce team is at the center of how Docebo sells, renews, and serves customers. We're investing in how it operates, and this is a net-new role we're adding to lead that change. We have strong senior technical talent on the team — what we're adding is a product owner who can set direction, manage stakeholders, and give that talent well-scoped work to build.
You'll own the backlog and the priorities. You'll define the intake and process the team runs on. And you'll work shoulder-to-shoulder with our senior architects and admins as an advisor and partner — not to out-engineer them, but to make sure the team is solving the right problems in the right order, with the business bought in.
THE DAY-TO-DAY 🛠️
- The product backlog and priorities. Turn business needs into clear problem statements, user stories, and acceptance criteria. Prioritize with stakeholders so the team always knows what's next and why.
- Stakeholder management. Be the connective tissue between the Salesforce team and the business — Revenue Operations, Marketing, and Finance. Manage expectations, negotiate trade-offs, and bring the team into solution design early instead of receiving pre-baked requests.
- Process and ways of working. Define and stand up how the team intakes, prioritizes, and delivers work. Set the standard for a good request and make it stick, so work enters the team ready to build.
- Partnership with senior technical leads. Work with the team's architects and admins as an advisor and thought partner. You bring the product and process lens; they own the technical design. Together you keep the org healthy and the roadmap realistic.
- AI-driven innovation. Champion how the team uses AI to work smarter — from AI-assisted ticket triage and intake scoring to identifying where automation and AI can improve how Docebo runs on Salesforce.
- A seat at the table. Represent the Salesforce team when the business evaluates new tools, so decisions that affect the platform are made deliberately, not discovered later.
YOUR SUPERPOWERS ⚡
- Platform Depth: Proven experience as a Salesforce Architect, Senior Admin, or Business Analyst with the hands-on expertise needed to speak fluent platform and earn instant respect with technical leads.
- Product Ownership Mastery: Strong track record of running backlogs, scoping airtight requirements, prioritizing high-value features, and confidently saying "no" with strategic reasoning.
- Stakeholder Diplomacy: Exceptional ability to align competing business priorities across departments, negotiate trade-offs with senior leadership, and keep everyone bought into the plan.
- Process Architecture: Demonstrated success building lightweight, effective operating frameworks that bring structure and clarity to team workflows without adding bureaucratic bloat.
- Impactful Communication: Talent for translating technical complexities into business-friendly language for executives while keeping developers clear on the mission and priorities.
- AI-Forward Mindset: Natural curiosity and drive to leverage emerging AI solutions to optimize team operations and CRM efficiency.
- Governance Savvy: Deep comfort navigating regulated environments, including SOX controls, structured deployment schedules, and strict UAT standards.
BONUS POINTS 🌟
- Certified Expertise: Holding active Salesforce certifications (e.g., Administrator, Platform App Builder, or Architect track credentials).
- RevOps Synergy: Direct experience acting as the designated product owner partnering with a fast-paced Revenue Operations organization.
- Revenue Cloud Knowledge: Hands-on familiarity with Salesforce Revenue Cloud (CPQ/Billing) or leading complex billing system migrations.
- Applied AI Experience: Practical background implementing AI-driven workflows or tools within CRM or delivery environments.
