Who You Are
The Data Center Business Operations Manager is responsible for building, implementing, and continuously improving the operating frameworks, processes, and services that enable the business to operate consistently and effectively across locations and functions. This role owns the development of enterprise-level business operations standards, including processes, procedures, governance, taxonomy, naming conventions, documentation standards, tools, and operating expectations that teams use across the organization. The Business Operations Manager partners closely with Finance, Procurement, Legal, HR, IT, and other corporate functions to translate company requirements into practical processes that meet the needs of the business and can be effectively implemented at the site and functional level.
The Business Operations Manager also leads the development and management of Workplace Services programs that require consistency and coordination across the organization, including vehicle fleet, uniforms, transportation services, culinary programs, and other shared operational services. The Business Operations Manager establishes the program strategy, standards, processes, and expectations, while onsite Program Managers and local teams are responsible for implementing and managing those programs at the site level.
This role requires someone who can move fluidly between strategy and execution: designing scalable enterprise processes, partnering with corporate functions, building operational programs, and ensuring those programs can be successfully implemented in the field.
What You’ll Do
Business Operations & Enterprise Standards
Design, implement, and continuously improve enterprise-level business operations processes, procedures, workflows, governance standards, templates, tools, and operating expectations.
Establish and maintain consistent standards for how information is organized and managed, including taxonomy, naming conventions, documentation standards, project structures, reporting conventions, and other common ways of working.
Develop scalable frameworks and playbooks that teams can use to execute work consistently across departments, projects, and locations.
Identify recurring friction, process gaps, unclear ownership, inefficient handoffs, and inconsistencies across the business and implement scalable solutions.
Monitor adoption and effectiveness of business operations processes and standards, identifying gaps and driving continuous improvement as business needs evolve.
Cross-Functional Process & Project Support
Partner closely with Finance, Procurement, Legal, HR, IT, and other corporate functions to translate company-wide requirements into practical processes that appropriately support the needs of the business.
Partner with Finance and Procurement on the development and rollout of processes related to budgeting, forecasting, purchasing, vendor management, financial controls, and other requirements.
Support Legal with project management and cross-functional coordination for initiatives requiring structured planning, ownership, milestones, dependencies, and follow-through.
Workplace Services Programs
Build and oversee enterprise Workplace Services programs that support consistent, efficient operations across locations.
Establish the strategy, standards, processes, service expectations, and governance for programs such as vehicle fleet, uniforms, transportation services, culinary services, onsite office space and other shared workplace or operational services.
Partner with Procurement, Finance, Legal, and other stakeholders to establish appropriate vendor strategies, contracts, budgets, controls, and service-level expectations for Workplace Services programs.
Develop enterprise playbooks and implementation standards for Workplace Services programs, providing clear direction to onsite Program Managers and local teams responsible for execution.
Monitor program performance, service quality, cost, compliance, and business needs across locations and continuously improve programs as the organization evolves.
Identify opportunities to standardize services, improve the employee experience, reduce operational friction, create efficiencies, and appropriately leverage enterprise scale.
Standards & Governance
Establish enterprise program management standards, methodologies, tools, templates, and expectations that the team can apply across the organization.
Develop and maintain standards for work management systems, ensuring information is structured consistently and provides meaningful visibility across projects, departments, and locations.
Partner with PMO to establish appropriate reporting standards, dashboards, KPIs, portfolio reporting, and operating reviews to provide visibility into business priorities, execution, risks, dependencies, and capacity.Establish effective meeting, communication, and operating rhythms, including portfolio reviews, leadership updates, cross-functional operating reviews, and escalation mechanisms.
Establish priorities, expectations, and operating standards for regional Program Managers and ensure their work aligns with broader business priorities and enterprise operating practices.
Provide coaching, guidance, and development to regional Program Managers while creating accountability for execution and results.
Ensure regional Program Managers effectively support sites within their respective regions by coordinating cross-functional initiatives, resolving operational issues, implementing enterprise programs, and maintaining visibility into local priorities, risks, and dependencies.
Partner with site and functional leaders to ensure regional Program Manager resources are deployed against the highest-priority business needs.
What We’re Looking For
6+ years of experience in business operations, strategy and operations, program management, PMO operations, workplace operations, or a similar cross-functional role.
Demonstrated experience designing and implementing scalable operating processes across multiple teams, functions, or locations rather than simply administering existing processes.
Experience developing enterprise standards, operating procedures, governance frameworks, playbooks, taxonomies, documentation standards, and common ways of working.
Strong understanding of how business operations interact with Finance, Procurement, Legal, HR, IT, and other corporate support functions.
Experience translating corporate policies, controls, and functional requirements into practical operating processes that meet the needs of the business.
Experience building or managing shared operational or Workplace Services programs, such as fleet, transportation, food and beverage/culinary, uniforms, facilities-related services, or other enterprise services.
Strong program and project management capabilities, with experience establishing governance, accountability, reporting, and operating rhythms across complex organizations.
Experience with portfolio reporting, KPI development, dashboards, process documentation, and project/work management platforms.
Strong process-improvement mindset with the ability to identify root causes, simplify workflows, standardize where appropriate, and drive adoption of new ways of working.
Ability to influence and create accountability across teams without direct reporting authority.
Strong analytical, organizational, and communication skills with the ability to translate complex requirements into clear, executable processes.
Comfortable operating at both the strategic and detailed execution levels—able to design enterprise operating models and programs while remaining close enough to execution to ensure they work in practice.
PMP or equivalent project/program management certification preferred.

Our trailblaze together culture is what drives our success, powered by our people and the way they work. Using progressive technology, we drive cutting-edge innovation and improve how our customers discover, book and experience their holidays. You’ll have the opportunity to accelerate your growth through meaningful challenges, new experiences and the freedom to shape your own path. You’ll create impact for our future by taking ownership, contributing to shared goals and helping shape what comes next, all as part of our enhanced international community of talented, collaborative and passionate teams.
The difference you’ll make
You’ll sit within the Shopping team, reporting to the Lead Product Manager. The Shopping team turns travel supply into accurate, commercially optimised, bookable and payable holidays. It provides shared data and services that help customers, teams and partners make better selling decisions.
On the payments side, you’ll work closely with Engineering and Commercial Payments to own product strategy and delivery for the Payments platform. Together, the team will make it easier for other teams to offer, operate and improve payments without rebuilding the same logic in each customer journey. You will:
- Build a flexible international payments platform: Define the shared services, data and APIs that meet local customer and market needs, while allowing payment methods to be launched and managed consistently across markets and customer journeys.
- Create reliable foundations: Improve the payment data, provider integrations and fraud controls that keep payments secure, dependable and easier to manage.
- Make payment methods easier to launch: Help teams configure, test and release supported methods safely, with less engineering work and clearer ownership.
- Enable payment optimisation at scale: Provide shared data and platform capabilities that help teams improve payment success and offer relevant payment methods across markets and journeys. Apply AI to improve insight and enable responsible automation where it delivers measurable value.
Your day-to-day:
- Working with your lead engineer and stakeholders to set the Payments vision, roadmap and success measures.
- Working with market experts, commercial teams and Customer Product teams to understand payment needs. Provide data to inform their decisions and translate agreed requirements into reusable platform capabilities.
- Exposing reliable payment data and provider insights so teams can understand failures, drop-off, acceptance rates and customer pain points. Work with those teams to prioritise the platform improvements needed to improve payment performance.
- Leading delivery: Lead work across payment services, provider integrations, payment data, configuration and fraud controls. Keep the platform straightforward for other teams to use.
- Working directly with payment providers and aggregators to solve issues, evaluate new capabilities and hold partners to the standards customers need.
- Explaining trade-offs clearly to technical and non-technical stakeholders, and building agreement on decisions that span several teams.
Your skillset:
- Platform product experience: You have owned a technical, API-led, data-rich or internal platform product that is used by more than one team or customer journey and involves a payments ecosystem.
- Systems thinking: You can understand how payment data, provider integrations, customer journeys, commercial rules and operational processes fit together, then turn that into reusable product capabilities.
- Technical fluency: You can work closely with engineers on APIs, integration patterns, data models, reliability, observability, security and migration work. You do not need to be an engineer, but you can make sound product trade-offs with them.
- Payments and commercial judgement: You understand the payment ecosystem and how method availability, payment success, fraud, cost and customer trust affect growth.
- Data-led problem solving: You are comfortable using data to investigate problems, define useful measures and judge whether a change is improving payment performance.
- Customer empathy: You understand that payments can be stressful, especially when people are making high-value holiday purchases or managing payments after booking. You use this to advocate for clear, dependable journeys.
- Strong delivery and communication: You can lead complex work through ambiguity, make priorities clear and bring technical, commercial and operational stakeholders with you. You deliver iteratively, focusing each step on meaningful value while keeping the team aligned to a clear long-term direction.
- AI literacy: You use AI tools confidently and can demonstrate their impact. You understand their strengths and limitations and can apply them responsibly to improve your work and payment capabilities.
The interview journey:
- Talent intro, 30 minutes
- First stage with the hiring manager, 45 minutes
- Final stage with key stakeholders, including a platform case to present, 1 hour
- Behavioural and culture conversation with the Director of OTA Platform (Shopping’s pillar), 45 minutes
Perks of joining us:
- Company pension contributions at 5%
- Individualised training budget for you to learn on the job and level yourself up
- Discounted holidays for you, your family and friends
- 25 days of holidays per annum (plus 8 public holidays) increases by 1 day for every second year of service, up to a maximum 30 days per annum
- Ability to buy and sell annual leave
- Access to our electric vehicle salary sacrifice scheme
- Cycle to work scheme, season ticket loan and eye care vouchers
Our commitment to inclusion
At loveholidays, we focus on creating an inclusive environment where everyone can contribute, grow and succeed. We value the different perspectives, experiences and ideas each person brings, because they help us work better together, challenge our thinking and make stronger decisions.
As we continue to grow and evolve, we want everyone to feel supported and able to do their best work. We’re also committed to making our hiring process accessible, so please let our Talent Acquisition team know if you need any adjustments at any stage.

ABOUT SUPABASE
Supabase is the Postgres development platform, built by developers for developers. We provide a complete backend solution including Database, Auth, Storage, Edge Functions, Realtime, and Vector Search. All services are deeply integrated and designed for growth.
About the Role
We are looking for a Head of AI Native Operations to build the autonomous systems that run Supabase.
Supabase is building an AI-native internal operating system, where agents carry the operational load end to end. We are standing up a new central team to build that platform and run it in production. This is the role that leads it, and it is hands-on. You design the architecture, build the first versions of the critical pieces, and are accountable for whether every agent we run is correct, safe, and improving over time. We build rather than buy, and there are no settled best practices for most of this yet, so you will be setting them.
You will lead a team of senior individual contributors extending the platform and driving adoption across teams.
What You’ll Be Responsible For
In this role, you’ll:
- Own the agent platform architecture: The harness and orchestration layer and connectors into company systems, shared context and memory, and the path from prototype to production.
- Catch regressions before they ship: Model, prompt, and tool changes can’t ship until they pass the evals. When a new model comes out, you know within hours whether to adopt it.
- Make every agent observable: Every run and every decision is traced. For any agent at any time, you can answer what it did, why, what it cost, and how its quality is trending.
- Own safety and trust: Design the controls that let agents act without a human in the loop: least-privilege credentials, hard policy limits, escalation thresholds, audit logs, sandboxing, and prompt-injection defenses.
- Replace workflows, don’t assist them: Pick the workflows agents can fully own today and take them to production.
- Turn wins into a platform: Package what works into reusable components, templates, and eval harnesses so other teams can ship their own production agents without starting from scratch.
- Build and direct the team: Hire and grow senior ICs, review their designs and pull requests, and hold the quality bar.
- Measure what matters: Track workflows automated, eval pass rates, cost per run, and work absorbed against the hiring plan.
How You’ll Think
A Point of View on Where Automation Wins
You have a thesis about how AI and automation change the way a company operates, and it comes from building, not reading. You can look at a business and say which workflows agents can own today, which they will own in 12 months as models improve, and which still need people, and why. You defend that view with evidence from systems you have shipped, and you update it when the evals tell you to.
Eval-Driven
You don’t trust an agent because the demo looked good. You trust it because it passes a test set of real cases, and you know which cases it fails. When anything changes, your first question is “what do the evals say?”
Inversion Thinking
Left alone, an autonomous system tends to fail quietly, or people route around it. So the first question about any agent isn’t “does it work on the happy path?” but “how will this break, and how will we know?” The design follows from that answer: what the agent is never allowed to do, what it escalates, and which alert fires when quality drifts.
Recursive Thinking
Every system you build should produce the evidence that grades it. An agent isn’t done when it works. It’s done when it tells you, without you in the loop, that it has stopped working.
Must Have
- Hands-on agent building: Have personally designed and built autonomous agent or LLM systems that ran in production and that others depended on. Prototypes, demos, and configuring a vendor tool don’t count. You don’t need to be a career software engineer, but you must have built these systems yourself.
- Architecture depth: Can explain how the pieces fit together (orchestration, tool and data access, context and memory, tracing, evals, guardrails, deployment), with opinions on current frameworks.
- Security judgment: Have shipped agents that take real actions with real permissions, and designed the controls that made that safe.
- A tested point of view: Can argue, with examples from your own builds, where autonomous systems create real business leverage and where they don’t yet.
- Technical leadership: Have led senior builders and set the quality bar through design and code review.
Strong Signal
- Have replaced a human-run business workflow (finance, operations, support, release management) end to end with an autonomous system.
- Are native to Git, Markdown, and pull requests, and comfortable reading and writing Python or TypeScript.
- Have taken an internal platform from zero to adoption by teams you did not control.
- A software engineering background is a plus, but not required.
What Success Looks Like
- Six months: 20+ autonomous agents in production on the shared platform, each with an eval suite, tracing, and a named owner.
- Regressions get caught, not discovered: Quality problems surface in an alert or dashboard before a user reports them.
- Workflows replaced, not assisted: Multiple high-volume workflows are fully owned by agents, with humans handling only escalations.
- Trusted by default: No agent causes material financial, security, or customer harm, and every agent’s permissions and actions can be audited.
- Teams ship their own: At least three teams outside the core team run production agents built on the platform.
- Autonomous team: Your two reports work independently, and you spend your time on architecture and review rather than execution.
WHAT WE OFFER
- Fully Remote
We hire globally. We believe you can do your best work from anywhere. There are no Supabase offices, but we provide a WeWork membership or co-working allowance you can use anywhere in the world.
- ESOP
Every team member receives ESOP (equity ownership) in the company. We want everyone to share in the upside of what we’re building together.
- Tech Allowance

- Health Benefits

- Annual Off-Sites
Once a year, the entire company gathers in a new city for a week of connection, collaboration, and fun. It’s a highlight of our year.
- Flexible Work
We operate asynchronously and trust you to manage your own time. You know what needs to be done and when.
- Professional Development
Every team member receives an annual education allowance to spend on learning—courses, books, conferences, or anything that supports your growth.

- ~400 team members

Patreon is a media and community platform where over 300,000 creators give their biggest fans access to exclusive work and experiences. We offer creators a variety of ways to engage with their fans and build a lasting business including: paid memberships, free memberships, community chats, live video, and selling to fans directly with one-time purchases.
Ultimately our goal is simple: fund the creative class. And we're leaders in that space, with:
- $10 billion+ generated by creators since Patreon's inception
- 100 million+ free memberships for fans who may not be ready to pay just yet, and
- 25 million+ paid memberships on Patreon today.
We're continuing to invest heavily in building the best creator platform with the best team in the creator economy and are looking for a Strategy Lead to support our mission.
This role is based in San Francisco or New York and open to those who are able to be in-office 3 days per week on a hybrid work model.
About the Team
Patreon’s Strategy & Operations team drives decision-making on the company’s most important priorities. We tackle business-critical problems, shape initiatives that move the company forward, and make sure our growth levers, investments, and opportunities are clearly understood and acted upon.
We translate data into insights, insights into strategy, and strategy into action — partnering closely with the executive team and leaders across the business to turn ideas into business outcomes.
We’re a small, high-impact team known for our curiosity, clarity, and collaboration. Joining us means exposure to the full breadth of Patreon’s business and the opportunity to help shape its next phase of growth.
About the Role
In this role, you will:
- Lead major strategy workstreams: Own strategies like fan community, international expansion, and new monetization methods, from diagnosing what's working and where we're exposed to defining the strategy, then supporting teams as they execute and tracking progress against it.
- Ground every strategy in rigorous analysis: Size opportunities with models, desk research, and data, using AI tools to move quickly and work autonomously, and pressure-test quantitative work from Finance, Data Science, and Research.
- Drive alignment and delivery: Bring executives and cross-functional leaders to clear decisions on high-stakes questions, and keep large teams moving from strategy to shipped outcomes.
- Own company-level strategic narratives: Translate company performance and strategy into clear, decision-ready narratives, and shape recurring forums like All Hands, Business Reviews, and Board meetings.
What you'll need:
- Strategy Experience: 8+ years in consulting and corporate strategy, helping companies make high-stakes decisions. You're energized by untangling complex problems and turning analysis into real-world impact.
- Structured Thinking: You break down ambiguous problems with first-principles thinking, challenge assumptions, and land on well-reasoned recommendations, balancing speed and accuracy.
- Analytical Rigor: You can build and stress-test models (market and opportunity sizing), and you have a sharp eye for flaws in others' analysis. You're comfortable with both quantitative and qualitative data, and you use AI tools to move faster.
- Influence Without Authority: You build trust and drive outcomes across executives and cross-functional teams (Finance, Data Science, Research, Product, GTM), even when priorities compete.
- Executive Storytelling: You distill complexity into clear, compelling narratives for audiences from partner teams to the board.
- Execution: You connect strategy to shipped outcomes and keep large cross-functional efforts moving.
- Ownership: You thrive on a small team with a large scope, minimal structure, and real accountability.
- Mission Alignment: You are deeply energized by Patreon's mission to fund the creative class and our vision of building an internet that rewards human creativity.
Bonus if you have:
- Experience with creator-economy, marketplace, subscription, or consumer platform businesses
- Background in strategic finance, FP&A, or data analytics
- Prior ownership of board or investor materials at a growth-stage company
- Experience with international expansion
We hire talented and passionate people from different backgrounds because workplace diversity and inclusion is critical to our ability to serve creators worldwide. If you’re excited about a role but your past experience doesn’t match with every bullet point outlined above, we strongly encourage you to apply anyway. If you’re a creator at heart, are energized by our mission, and share our company values, we’d love to hear from you.
About Patreon
Patreon powers creators to do what they love and get paid by the people who love what they do. Our team is passionate about making this mission and our core values come to life every day in our work. Through this work, our Patronauts:
- Put Creators First | They’re the reason we’re here. When creators win, we win.

Patreon is proud to be an equal opportunity employer. We provide employment opportunities without regard to age, race, color, ancestry, national origin, religion, disability, sex, gender identity or expression, sexual orientation, veteran status, or any other protected class. If you need a reasonable accommodation during the interview process, please let us know via email at accommodations@patreon.
Patreon offers a competitive benefits package including and not limited to salary, equity plans, healthcare, flexible time off, company holidays and recharge days, commuter benefits, lifestyle stipends, learning and development stipends, patronage, parental leave, and 401k plan with matching.
Patreon operates under a hybrid work model, where employees based in office locations are expected to come into the office three days per week, excluding sick time and paid leave. The goal of this policy is to be intentional about the in-person time we spend together to strengthen the feeling of community at Patreon. Candidates hired into remote-eligible roles are not expected to meet the same requirements.
At Patreon, we believe in fair and transparent pay. In compliance with New York and California pay transparency laws, we are sharing the expected salary range for this role.
The posted salary range is dependent on the location and the level. This range may encompass multiple levels within the role’s job family. The final offer will be based on candidate’s experience, skills, competencies, and geographic location, aligning with the appropriate job level within Patreon’s leveling framework. For remote employees located outside CA and NY, salary may vary based on location and local market conditions.

About GiveDirectly
What if the most effective way to fight poverty was also the simplest: give people money and trust them to decide what they need?
Since 2011, GiveDirectly has proven that idea at scale. We’ve delivered more than $1B in cash directly to 2+ million people living in poverty and crisis across 15 countries, and rigorous research shows the results: healthier kids, stronger businesses, sturdier homes, and more resilient families and local economies. Cash is now widely recognized as one of the most scalable, cost-effective, and dignified forms of aid.
Our ambition goes beyond our own programs. We want cash to become the benchmark for aid, much as the index fund became the benchmark for investing, so that every aid dollar is held to one question:
is this doing more good than giving the money directly to people living in poverty?
We’re growing fast, and this is a rare and important moment to join.
We expect to hit $1B in revenue in 2026 with significant growth forecast for 2027. At the same time we are building a new technology stack and operating model designed for a roughly 10x change in scale, and we are actively pursuing partnerships with major funders to move even more money in bigger ways, to people who need it. We are known for our extensive integration of technology into field processes; our quantitative approach to performance measurement; and our commitment to rigorous, independent, experimental evaluation of our impact, with multiple Randomized Control Trials completed and others in progress.
How we work
Our team spans 20+ countries and 69 languages. Our culture is candid, analytical, and non-hierarchical. We expect high ownership and give people real responsibility early. Our values are central to how we hire, work, and grow, and they are deliberately opinionated:
Recipients first.
Recipients’ preferences come before those of donors or ourselves.
Team next.
We optimize for organizational success, not individual success.
Be proactively candid.
We say what we believe and share information openly.
Create positive energy.
We aim to be a source of energy for colleagues, not a drain.
Think rigorously; act quickly.
We reason from first principles, then act rather than debate.
Know yourself and grow.
We own our imperfections and seek feedback to grow.
Accept reality. Propose solutions.
We focus on what can change and bring solutions, not just problems.
Be productively ambitious.
We take risks for step-change impact, not incremental progress.
If they describe how you like to work and they energize you, this could be a great fit.

Role overview:
GiveDirectly Malawi has grown steadily since its introduction in 2019 and in 2025 launched our most ambitious program and research agenda yet, delivering funds across an entire district alongside the largest-ever randomized trial on unconditional cash.
The Admin. Operations Manager runs the administrative engine of the country office. They are accountable for the functions every team depends on but few see: vendor and casual labour payments, petty cash, office premises and security oversight, field and office assets management, transport and logistics, visitor coordination, and regulatory compliance. When these work, programs move. When they slip, the cost lands on recipients, staff and vendors alike.
The Admin. Operations Manager is a people manager first. They lead a cross-site team of associates and support staff, and they are expected to build capability, not just allocate tasks. They work in close partnership with the Procurement & Warehousing Manager, with Finance on payments and reconciliations, and with the Programs team on the logistics that field operations require. They advise the Operations Director and Country Director on administrative planning, budget and process improvement.
Responsibilities:
Payments, petty cash and expense management
Own the end-to-end payment cycle for vendors, contractors and casual labour: validate invoice and timesheet authenticity, match each to goods or services actually received, assemble the full documentation pack, check the ledger for duplicates, and submit through the agreed payment request workflow.
Hold the team to a standing target of no overdue supplier invoices.
Apply the correct withholding and statutory tax treatment to each payment, and share filing proof with the payments team.
Follow payments through to settlement with Finance, maintain the payables tracker, and reconcile vendor accounts and payment discrepancies.
Run the petty cash cycle end to end — float request, retirement with receipts and memo, review and complete documentation — and produce the month-end cash count certificate.
Train staff across the country office on the payment and expense systems and on documenting expenditure correctly.
Office premises, facilities and security
Oversee upkeep of the country and field offices, liaising with landlords on maintenance, and maintain the utilities, connectivity and supplies the office needs to operate without interruption.
Scope and secure field office locations as programs require, furnish them to standard within the agreed lead time, and manage relocation and closure.
Manage office access and guard services, holding providers to the agreed scope of service.
Act as the office focal point for day-to-day safety and security practice, and escalate incidents in line with policy.
Provide and maintain a safe work environment, including adequate first aid facilities and protective equipment for field staff, as per GD standards or national regulations.
Office and field asset management
Maintain a complete register of office and field assets — equipment, furniture, IT hardware and general supplies — updated monthly with new purchases, movements and disposals, with all assets tagged, allocated and tracked.
Conduct quarterly asset verification against the register and report exceptions.
Enforce staff protocols on handling and safe storage of GD property, and recover and reallocate assets when staff exit or projects close.
Forecast asset replacement, run the annual disposal cycle, and manage disposal of obsolete, damaged, lost or stolen assets with the required documentation and approvals.
Procure and maintain insurance coverage for office assets and vehicles, and manage claims.
Transport, logistics and visitor coordination
Oversee the office vehicle fleet and the Logistics Officers who operate it, including scheduling, maintenance, fuel management and cost control against the field transport budget.
Coordinate staff travel — flights, accommodation and ground transport — and oversee logistics for high-priority visitors.
Lead on visas and permits for GiveDirectly visitors and employees, and prepare supporting and invitation letters for visa applications.
Coordinate transport of materials and staff to field locations.
Support office functions and team events, including retreats and field-site logistics.
Team leadership and capability building
Lead the administration team across the country office and every field base: coordination, prioritisation, coaching, and quality assurance of deliverables.
Supervise office facilities and support staff — cleaners, catering staff and Logistics Officers — to maintain an orderly and functional office.
Hire, onboard and performance-manage direct reports, including verifying timesheets, leave and attendance.
Complete Quarterly Development Discussions (QDDs) for all direct reports on the global performance cycle, using them to set development goals and track progress.
Ensure SOPs and templates are in place, understood and used consistently across all sites.
Enable rapid scale-up: for each new field office, recruit and orient the Field Admin Associate, cleaners and transport support needed for the site to open on time.
Systems, risk and compliance
Improve back-office systems — payments workflow, records, office administration — so they support delivery at scale rather than constraining it.
Assess resource and capacity gaps across the administration function on an ongoing basis and plan ahead to fill them.
Maintain compliance with GiveDirectly policy, donor requirements, the code of conduct and Malawian regulation, implementing preventive controls and fixing process weaknesses before they become findings.
Build expertise within the team on the national and local regulatory environment and compliance requirements.
Support Finance and Internal Audit through review processes, providing payment and asset documentation, reconciling discrepancies and closing out findings.
Lead development of the annual administration budget under the guidance of the Operations Director, review actual against planned spend, and flag variances early.
Advise the Operations Director and Country Director on administrative planning and process improvement.
Desired qualifications:
5-7 years of work experience in office administration, operations or business support roles, including experience owning a payments or financial administration function.
Bachelors/Masters in business administration, management or a relevant field.
Strong alignment with GD values, and active demonstration of our core competencies: emotional intelligence, problem solving, project management, follow-through, and fostering inclusivity.
Experienced people manager with demonstrated ability to deliver results through others and set up strong management processes, ideally across multiple sites.
Sound working knowledge of payment processing, invoice validation, statutory tax treatment and basic financial controls.
Exceptional ability to logic through complex operational questions & run robust analyses to inform management and programming decisions.
Exceptional written & verbal communication skills to be deployed for a range of audiences (field teams, local and global leadership teams, regulatory authorities, service providers etc.).
Excellent interpersonal skills and a collaborative management style.
Enthusiasm for fast-paced environments, which may lack a pre-defined playbook for success and involve significant "learning by doing".
Fluency in English and Chichewa, and willingness to travel to field sites within Malawi.
