Are you a friendly, organised, and outgoing individual who thrives in a fast-paced environment? - Maintain a polished, organised Front of House and reception area, including oversight of office supplies and mail distribution.
- Manage all incoming and outgoing mail and courier requirements with accuracy and care.
- Prepare, issue, and manage visitor access passes in line with company security procedures.
- Respond to emails, service desk requests, and general correspondence promptly, professionally, and within agreed SLAs.
- Manage the London office inbox and internal workplace calendar, ensuring clear communication and timely updates.
- Maintain and administer Visitor Management Systems, including Envoy and Brivo.
- Provide administrative and operational support to teams across the business to enable smooth day-to-day office operations.
- Support purchase order and invoice processes related to office and workplace operations.
- Act as a trained First Aider and Fire Warden (training provided if required).
- Maintain and continuously improve the Front of House playbook.
- Respond to London based Slack queries in a timely, helpful, and professional manner.
Requirements
- Full time, Onsite role 08.30-17.30 (Reception opening hours)
- Proven experience in a front-of-house or reception role, preferably in a professional setting.
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities.
- Friendly and approachable demeanour, with a passion for customer service.
- Proficiency in Google Office Suite.
- Previous experience utilising Visitor Management Software
- Ability to work independently and as part of a team.
- High attention to detail and a proactive approach to problem-solving.

- Plan and run post-onboarding sessions and check-ins, coordinating with managers, IT, and People Ops so new hires stay supported through their first weeks
- Prepare presentations and training materials for onboarding and compliance programs.

About the Role
We're hiring an Ops & Marketing Project Manager to be the organization backbone of a small, fast-moving team. Plans get made in Slack, work gets briefed in Notion, and the gap between those two is where things quietly die. You're the person who closes that gap.
This role sits primarily on the operations side of our home fragrance brand. You'll own wholesale operations end to end, and you'll be the one keeping product development, inventory, and production moving: chasing suppliers, holding timelines, building the project boards, and making sure nothing sits waiting on an answer nobody asked for.
You'll also own the marketing calendar and the project flow behind it. Our marketing team moves fast across website, paid, email, and creator work, and it needs someone who makes sure that once something is decided it has an owner, a date, a dependency map, and someone chasing it. You're not deciding what we launch. You're the person who knows the status of everything, without being asked.
We're an AI-forward company, and this is an AI-forward role. Claude is part of how this team works every day, not a side experiment. We expect you to build your systems, SOPs, trackers, and reporting with AI in the loop, and to keep finding the places where it takes busywork off your plate and off the plates of the people around you. You don't need a technical background. You do need real curiosity and the willingness to make it part of how you work.
What You'll Do
Own wholesale day to day: processing orders, charging payments, creating shipments and inbounds, and the customer service that comes with it
Create 3PL orders for suppliers, samples, and anything else needed
Write the SOPs as you go, so the function can be handed to a dedicated coordinator over time. Designing your own replacement here is part of the job, not a threat to it
Product Development, Inventory, and Production
Supplier follow-up, cost comparisons, timelines, and project boards across new products and packaging
Stay closely on top of production status and timelines, and flag slippage early enough that we can do something about it
Support inventory operations and learn the fundamentals of production from the team, with room to take on more here over time
The Marketing Calendar
Own a single calendar across brands and channels: website, paid creative, email and SMS, creator and UGC, promotions, and product launches
Hold the dates. Work backwards from the launch date rather than forwards from today, so creative, approvals, and builds land in the right order
Turn strategy into briefed work. When a plan arrives as ten line items with five names attached, you break it into owned tasks with real dates and confirm who has what
Catch collisions before they cost a day: duplicate briefs, two designers on the same asset, work blocked on an approval nobody requested
Run the weekly cadence. What shipped, what slipped and why, and what's at risk next week, published without being asked for it
Systems, Notion, and AI
Own Notion as the system of record for these areas: structure, templates, status hygiene, and getting people to actually use it
Build real systems where only informal structure exists today, then keep them alive. A board nobody updates is worse than no board
Use AI to build and run those systems, from drafting SOPs and briefs to pulling together reporting and tracking what's outstanding
Keep creator and partnership records, contracts, and payments accurate and moving, in step with finance and the partnerships team
Requirements
What We're Looking For
Exceptional organization. This is the single most important quality for this role
3+ years managing multiple concurrent projects across teams
Operations experience in e-commerce, consumer brands, wholesale, or supply chain
Direct marketing experience, ideally owning or running a marketing calendar across channels
You already use AI seriously in your own work, and you can show us how. We care more about how you think with it than which tools you've touched
Hands-on Notion experience. You've built databases and views that other people relied on, not just filled in someone else's
Experience working inside a CRM and keeping it clean and current (Folk, HubSpot, Salesforce, Klaviyo, or similar)
Strong follow-through. You're persistent with suppliers, vendors, and teammates until you get an answer
The instinct to surface problems early, with a recommendation attached
Strong written communication. Most of this job happens in writing, across time zones
Strong English communication skills
Strong Excel and Google Sheets skills, and comfort across Word, PowerPoint, and Google's suite of tools
Nice to Have
Wholesale or B2B operations experience, including basic customer service
Familiarity with Shopify, Cin7, Klaviyo, or Figma
Experience with product development or packaging timelines
Benefits
💰 Competitive salary in USD
🕒 Flexible working schedule
🌎 100% remote, long-term career opportunity

OUR USE OF AI IN HIRING
We use AI tools to help manage our recruitment process efficiently and fairly. Specifically:
- Ashby and Brainerr help us review inbound applications by surfacing candidates who best match the role requirements we've defined. This tool does not make hiring decisions; it helps our team prioritize which applications to review first.
- Granola takes notes during our interview calls so our team can focus on the conversation with you.
All hiring decisions are made by humans. Our team reviews applications, conducts interviews, and makes final selections. AI tools assist us but never replace human judgment, and these practices are conducted in compliance with applicable data protection, AI governance, and labor laws. Your data is not used to train AI models.
In accordance with New York City Local Law 144, an independent bias audit has been conducted on "Automated Employment Decision Tools"; results are available for Ashby https://www.ashbyhq.com/downloadables/ashby-bias-audit-08-2024.pdf.

WHO WE ARE
Notion is the collaborative AI workspace where teams and agents think together https://www.youtube.com/watch?v=vkpYpWfEK5s. We're building one place where your knowledge, projects, meetings, and AI tools live side by side, so work is faster, clearer, and less fragmented. Millions of individuals, small teams, and large companies run their work on Notion.
Notinos (our employees) are customer zero in bringing this future of work to life. We care about craft, building things that last, and the belief that great work is still fundamentally human. Our goal isn’t to ship the next feature. Each and every team of Notinos is working to set the standard for how humans work together in the AI era. From building a business’s system of record to making and managing AI agents to automating away the busy work, we care deeply about giving our customers more time for their life’s work.
ABOUT THE ROLE:
The People Team at Notion exists to help build a generational company - one that enables people to do their best and most meaningful work. Hiring exceptional talent, at the right time and with care, is central to that mission.
We’re looking for a Recruiting Coordinator to partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process and plays an important role in how candidates experience Notion.
This role will be based in Dublin. We work from our offices on Mondays, Tuesdays and Thursdays (our Anchor Days) because we do our best thinking and building together in person. We’re looking for someone who’s excited to work alongside the team during those days.
WHAT YOU'LL ACHIEVE:
CREATE A CANDIDATE EXPERIENCE THAT REFLECTS NOTION
You’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes—so candidates leave feeling excited about what we’re building, regardless of the outcome.
COORDINATE INTERVIEWS WITH CARE AND PRECISION
You’ll manage and schedule a high volume of interviews across primarily GTM roles, balancing speed with attention to detail. You’ll anticipate needs, communicate clearly, and keep candidates and interviewers aligned - making the process feel smooth and predictable, even as things move quickly.
BUILD STRONG RECRUITING FOUNDATIONS
This role is designed for someone early in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you could take on light sourcing work, process improvements, and additional ownership as your skills grow - creating a strong foundation for future growth in recruiting, operations, or people-focused roles.
SKILLS YOU'LL NEED TO BRING:
- 2+ years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
- Strong organizational and prioritization skills - you’re proactive, reliable, and thoughtful about details
- A steady, calm approach in fast-moving environments
- Ability to navigate ambiguity with optimism
- Clear, kind, and professional communication skills - you’ll represent Notion to a large and diverse group of candidates
- You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results
NICE TO HAVES:
- Experience supporting both GTM roles, including remote and in-person interview scheduling
- Experience with Ashby, Workday, Slack
- Experience in a high-growth or startup environment
Notion is committed to providing highly competitive cash compensation, equity, and benefits. The compensation offered for this role will be based on multiple factors such as location, the role's scope and complexity, and the candidate's experience and expertise, and may vary from the range provided below. The estimated range for total on target earnings (including base salary and on target incentive pay) for this role is €68,000 - €76,000.
By clicking “Submit Application”, I understand and agree that Notion and its affiliates and subsidiaries will collect and process my information in accordance with Notion’s Global Recruiting Privacy Policy https://notion.notion.site/Notion-Global-Recruiting-Privacy-Policy-fc3eb4e829354a26a2bb6fd5e289b550. https://dev.notion.so/a3ce416456924276a59de91bca740028?pvs=21

A NOTE ON AI
You don’t need deep AI expertise for every role, but we do expect every Notino to be intellectually curious, drawn to tinkering and discovery, and excited to use AI as a real collaborator in their work. For some roles, AI fluency is a core requirement — when that’s the case, we'll say so explicitly in the qualifications. People who thrive here don’t treat AI as a novelty. They use it to think better, and make their work easier for others to build on.
EQUAL OPPORTUNITY & ACCOMMODATIONS
We hire talented people from a wide range of backgrounds. If you’re excited about this role but don’t meet every bullet, we still encourage you to apply. Notion is an equal opportunity employer and does not discriminate on the basis of any legally protected characteristic. Consistent with applicable law, we will consider for employment qualified applicants with arrest and conviction records. Notion provides reasonable accommodations during the application process; if you need one, please let your recruiter know.

WHO WE ARE
Notion is the collaborative AI workspace where teams and agents think together https://www.youtube.com/watch?v=vkpYpWfEK5s.
The People Team at Notion exists to help build a generational company that enables people to do their best and most meaningful work. Hiring exceptional talent, at the right time and with care, is central to that mission.
We’re looking for a Recruiting Coordinator in our Tokyo office to partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process in Japan and plays an important role in how candidates experience Notion.
WHAT YOU’LL DO:
CREATE A CANDIDATE EXPERIENCE THAT REFLECTS NOTION
You’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes so candidates leave feeling excited about what we’re building, regardless of the outcome.
COORDINATE INTERVIEWS WITH CARE AND PRECISION
You’ll manage and schedule a high volume of interviews across multiple time zones, primarily supporting Go-To-Market teams, including remote interviews and onsite panels. You’ll balance speed with attention to detail, anticipate needs, and communicate proactively to keep candidates and interviewers aligned. You’ll ensure logistics, materials, and feedback loops are clear and on time, and troubleshoot day-of changes and scheduling conflicts with a calm, solutions-oriented approach, making the process feel smooth and predictable, even as things move quickly.
BUILD STRONG RECRUITING FOUNDATIONS
This role is designed for someone early in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you could take on light sourcing work, talent branding projects, process improvements, and additional ownership as your skills grow, creating a strong foundation for future growth in recruiting, operations, or people-focused roles.
WHAT YOU’LL BRING:
- At least 1–2 years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
- Strong organizational and prioritization skills, with a proactive, reliable approach and thoughtful attention to detail
- A growth mindset, with a willingness to take ownership of mistakes, learn from feedback, and refine your processes to improve accuracy and consistency
- A steady, calm approach in fast-moving environments
- Ability to navigate ambiguity with optimism
- Clear, kind, and professional communication skills to represent Notion to a large and diverse group of candidates
- Fluency in Japanese and business-level English proficiency, with the ability to communicate effectively with candidates and colleagues in both languages
- You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results
NICE TO HAVES:
- Experience supporting both technical and non-technical roles, including remote and in-person interview scheduling
- Experience with Ashby, Workday, Slack, and Notion
- Experience in a high-growth or startup environment

A NOTE ON AI
You don’t need deep AI expertise for every role, but we do expect every Notino to be intellectually curious, drawn to tinkering and discovery, and excited to use AI as a real collaborator in their work. For some roles, AI fluency is a core requirement — when that’s the case, we'll say so explicitly in the qualifications. People who thrive here don’t treat AI as a novelty. They use it to think better, and make their work easier for others to build on.

Location: Japan (Tokyo)
Type: Contractor (12 months to start)
Hours: 40 hours/week
Role Summary:
We’re looking for a contractor based in Japan to support the development and growth of OpenAI’s student community efforts in Japan and Korea.
This role will focus on building strong relationships with students and campus communities, supporting locally relevant community activations, surfacing meaningful student stories and insights, and helping establish the foundations for sustained student engagement over time.
About the Team
OpenAI’s mission is to ensure that general-purpose artificial intelligence benefits all of humanity.
The Community team focuses on finding exceptional power users of our tools and turning real usage into stories and signals that shape both product direction and how the world understands OpenAI. We do that by learning directly from users, then working together to package up insights and use cases into formats that can travel: playbooks, webpages, launch assets, event series and clear “here’s how people actually use this” guidance.
About the Role
ChatGPT and OpenAI’s broader tools can help students learn, create, build and solve problems in new ways. But for many, discovering meaningful ways to use AI can still feel like navigating a black box without an instruction manual.
The OpenAI community exists to bridge that gap by working directly with the people using our technology every day.
Our role sits across three core areas:
- Build direct relationships and channels with student leaders and their communities
- Amplify how these cohorts are actually using AI, enabling peer-to-peer learning and accelerating adoption through real examples
- Channel insights and feedback from these communities into our product and research teams
Our current student engagements serve as a key entry point for building long-term relationships with students and priority campuses—helping us identify emerging power users and support growing communities through authentic, student-led engagement.
The goal is for every participant to leave not only with an “I wonder if…,” but with the confidence to build with AI—and a community to learn alongside.
This role will report to the Community Lead, APAC and work closely with cross-functional stakeholders and our external agency partner to support the growth of OpenAI’s student community efforts primarily in Japan, and selected engagement efforts in Korea.
In this role, you will:
- Support the development and growth of OpenAI’s student community efforts in Japan, with opportunities to support relevant engagement efforts in Korea
- Identify, recruit, and onboard students to participate in our global OpenAI Student Collective program
- Build partnerships with student clubs and campus communities to host Labs
- Build and maintain strong relationships with students, hosts, and campus partners
- Coordinate communications, scheduling, logistics, and event execution; resolve issues and remove blockers
- Represent OpenAI on Campus
- Develop and maintain dashboards and systems to track events, performance, and program scale - including student participation and event engagement.
- Collaborate cross-functionally with internal teams to ensure alignment and follow-through.
- Source, review, and curate stories and use cases across events and online communities
- Publish progress updates and monthly recaps, highlighting key insights, risks, and opportunities
- Collaborate with the Community team to improve, maintain community resources, including guides, templates and checklists.
Qualification
Must have:
- 5 years experience building, managing or growing communities, ideally student or campus-based communities.
- Excellent execution skills, with the ability to operate in ambiguous, fast-moving environments.
- Ability to manage multiple workstreams at once, from onboarding and event coordination to story capture and reporting..
- Experience coordinating across multiple stakeholders and driving follow-through.
- Strong communication skills and the ability to build trust quickly with students, partners and internal teams.
- Comfort with tools like Slack, Google Docs / Sheets, Airtable or similar workflow systems.
- Willingness to travel for student community activations across Japan, and occasionally Korea where relevant
- Japanese language proficiency
Bonus:
- Active participation in tech and AI communities, with a strong understanding of how these ecosystems operate beyond top-line metrics
- Strong interest in AI and familiarity with how the space is evolving, including emerging product and agent experiences.
- Experience working with agencies and external partners.
- Strong relationships with student communities, clubs or universities in Japan and Korea
- Korean language proficiency
