We are looking for a Senior Associate, Technical Operations to act as a hands-on workflow builder and quality owner within our Operations ecosystem. You will not just analyze bottlenecks, you will actively build, test, and maintain automated workflows that power our AI Chat Platform. You will bring a rigorous QA mindset to operational workflows: designing resilient logic, catching edge cases, monitoring failure queues, and deprecating outdated processes before they create friction.
If you are a structured problem solver who loves writing clean SQL, automating workflows via orchestration tools and Python, and treating operational pipelines with engineering-grade quality standards, this role is for you.
What You’ll Do
- Build & Orchestrate Workflows: Design, configure, and maintain automated operational workflows using orchestration platforms (such as n8n or Workato) and custom scripting.
- Own Workflow QA & Lifecycle Hygiene: Apply software QA discipline to operational systems. Define test cases, validate release readiness, monitor regression risks, and systematically "unship" or refactor legacy workflows that no longer serve the ecosystem.
- Investigate & Optimize Pipeline Data: Dig into raw logs and database tables using advanced SQL and Python to identify failure patterns, isolate edge cases, and execute root-cause fixes on failed transactions.
- Leverage Applied AI Pragmatically: Actively utilize modern LLM tools for structured data parsing, regex generation, error-log classification, and accelerating operational investigation.
- Bridge Ops and Architecture: Partner closely with senior engineering and operational stakeholders to translate complex process requirements into scalable technical implementations. Challenge existing processes with data-backed technical arguments.
What You Bring
- 1–3+ Years of Relevant Technical Experience: Background in Technical Operations, Systems Analysis, Data QA, Software QA, or Workflow Automation where you were directly responsible for building, troubleshooting, and maintaining data-driven processes.
- Solid Data Literacy (SQL & Scripting): Demonstrated ability to write performant SQL beyond basic queries (experience with CTEs, window functions, and query optimization). Foundational familiarity with Python or scripting for data manipulation.
- Workflow Automation Mindset: Practical experience working with workflow engines, API integrations, or orchestration platforms (e.g., n8n, Workato, Make, Retool, or equivalent native workflow tools).
- Engineering-Minded QA Instincts: You understand that shipping a workflow is only half the job. You instinctively think about edge-case handling, monitoring, rollback plans, and system dependencies.
- Applied AI Fluency: You go beyond using LLMs for writing copy; you leverage AI tools to parse unstructured error strings, structure disparate datasets, and validate logic.
- Clear Technical Communication: Able to engage deeply with software engineers on architecture while clearly explaining operational impacts to business partners.

This is a hands on engineering role focused on turning emerging AI capabilities into practical, reliable solutions that drive meaningful business impact. You'll partner closely with teams across the organization to identify opportunities, build AI powered workflows, and establish the technical foundations that make AI accessible, secure, and scalable.
We're looking for someone who enjoys building, experimenting, and shipping, with a strong understanding of modern LLM technologies and the engineering fundamentals required to bring AI solutions into production.
RESPONSIBILITIES
- Build AI Solutions: Design, develop, and deploy AI powered tools, agents, and automation that streamline workflows and solve real business problems across the organization.
- Develop AI Integrations: Connect LLMs and AI applications with internal systems, APIs, and enterprise tools to enable seamless, intelligent workflows.
- Own AI Infrastructure: Build and maintain the underlying infrastructure, services, and integrations that support reliable AI applications across teams.
- Enable AI Adoption: Partner with stakeholders to identify opportunities for AI, translate business needs into technical solutions, and empower teams to leverage AI tools effectively.
- Build for Scale: Develop reusable components, frameworks, and tooling that make it easier for teams to build, customize, and maintain their own AI workflows.
- Ensure Security & Reliability: Implement appropriate access controls, monitoring, observability, and operational safeguards to ensure AI solutions are secure, reliable, and maintainable.
- Optimize AI Usage: Monitor model performance, usage, and costs while identifying opportunities to improve efficiency, quality, and business outcomes.
- Drive Innovation: Stay current with emerging AI technologies, evaluate new models and frameworks, and identify practical opportunities to bring new capabilities into the organization.
QUALIFICATIONS
- Strong software engineering background with experience building and maintaining production applications, services, or internal platforms.
- Hands on experience developing applications using LLMs such as OpenAI, Anthropic Claude, or open source models.
- Proficiency in Python, TypeScript, or similar programming languages, with experience integrating APIs and building backend services.
- Experience building AI agents, workflow automation, or applications that leverage LLM orchestration frameworks.
- Familiarity with retrieval augmented generation (RAG), tool calling, structured outputs, prompt engineering, and modern AI application patterns.
- Experience integrating applications with enterprise tools, internal systems, and third party APIs.
- Understanding of cloud infrastructure, deployment practices, monitoring, and production reliability.
- Strong product mindset with the ability to translate ambiguous business problems into practical technical solutions.
- Ability to work independently, take ownership of projects, and collaborate effectively with both technical and nontechnical stakeholders.
- A genuine interest in AI and a bias toward experimentation, execution, and measurable impact.
NICE TO HAVE
- Experience building internal AI platforms or enterprise AI automation solutions.
- Familiarity with AI coding tools, agent frameworks, and orchestration platforms.
- Experience with technologies such as LangChain, LangGraph, Claude Agent SDK, or similar frameworks.
- Experience with MCP, enterprise connectors, and AI tool integrations.
- Familiarity with LLM observability, evaluation frameworks, cost optimization, and usage analytics.
- Experience implementing security, governance, and access controls for enterprise AI applications.
- Experience working in a fast growing technology company where speed, ownership, and adaptability are essential.
You'll help make AI a practical and valuable part of how Phantom operates. Success means delivering solutions that teams actively use, reducing manual work, accelerating execution, and creating a scalable foundation for continued AI adoption.
You'll have the opportunity to own projects from concept through production, influence our internal AI strategy, and help define how we leverage AI across the organization.

About the role
ElevenLabs moves fast - and behind every high-performing leader is someone who makes sure nothing slips. This is a high-trust, hands-on role for someone who thrives in dynamic environments, holds themselves to a high standard, and takes genuine pride in making their lead's life easier - down to the small, considered details that others overlook.
You'll be the operational backbone for senior leadership - managing calendars, coordinating across time zones, handling logistics, and owning the day-to-day administrative tasks that let leadership focus on what matters most.
In this role, you will:
- Manage complex, fast-moving calendars and provide scheduling and coordination support across multiple time zones and geographies
- Handle sensitive and confidential matters with discretion, acting as a trusted partner in both professional and operational contexts
- Coordinate seamlessly with internal stakeholders across teams, as well as external partners and senior leaders
- Work closely with other EAs across the organisation to align schedules, share context, and keep cross-functional coordination running smoothly
- Anticipate needs before they arise: managing follow-ups, flagging conflicts, and keeping the right people aligned
- Build structure, processes, and systems that scale with a fast-growing AI company
- Identify opportunities to automate and streamline repetitive work, using AI tools and productivity tooling to improve quality and speed
Requirements
- Proven experience supporting senior leaders and their broader teams in a fast-moving environment, including coordinating with other EAs across the organisation
- Strong organisational skills with the ability to manage competing priorities, shifting timelines, and multiple stakeholders
- Exceptional written and verbal communication skills, with the ability to communicate effectively with a wide range of stakeholders, from senior executives and partners to vendors and office guests
- High emotional intelligence and discretion - trusted with sensitive information
- Comfortable supporting not just an individual but a wider team at times - able to flex between high-priority senior leadership support and broader operational needs as the situation demands
- Personable and easy to work with - someone who builds genuine relationships across the organisation and is trusted by the people around them
- A natural reflex to reach for tooling and automation; fluency with AI tools such as Claude or ChatGPT and quick to adopt new systems
- High personal standards - the kind of person who cares about the quality of their output and holds the bar
- A valid passport and willingness to travel globally ~40% of the time
- Language requirement: Fluent in English and Spanish (written and spoken). Proficiency in Portuguese is a plus.
