Synthesia is the world’s leading AI video platform for business, used by over 90% of the Fortune 100. Founded in 2017, the company is headquartered in London, with offices and teams across Europe and the US.
As AI continues to shape the way we live and work, Synthesia develops products to enhance visual communication and enterprise skill development, helping people work better and stay at the center of successful organizations.
Following our recent Series E funding round, where we raised $200 million, our valuation stands at $4 billion. Our total funding exceeds $530 million from premier investors including Accel, NVentures (Nvidia's VC arm), Kleiner Perkins, GV, and Evantic Capital, alongside the founders and operators of Stripe, Datadog, Miro, and Webflow.
Location: Europe remote or London hybrid
THE ROLE:
Synthesia is used by over 90% of the Fortune 100. The largest deployments now run thousands of creators across dozens of markets, languages, and compliance regimes. What decides whether those accounts expand or stall is not another avatar - it's whether admins, legal teams, and programme owners can actually stay in control.
We're looking for a Staff (L6) Product Designer to own that layer end-to-end: workspace setup and governance, the content lifecycle, and the analytics and integrations that close the loop. This is the work that turns a proof of concept into a seven-figure renewal, and right now it is wide open.
You'll operate as a senior IC: setting direction, influencing roadmap decisions (not just contributing), shaping bets with Product and Engineering leaders, and raising the bar on how we think about enterprise design problems.
WHAT YOU'LL BE DOING:
- Own the Enterprise surface end-to-end, from problem framing to shipped outcomes and iteration - often dealing with ambiguity. You'll reach out to the right stakeholders, get the right eyes in the room, and make decisions independently.
- Design complex governance and compliance systems that give admins, legal teams, and compliance officers genuine control and transparency. Examples include:
- Permission models and role hierarchies that scale across thousands of creators without collapsing into chaos.
- Audit log experiences that make compliance auditable - not just for the system, but for the humans who need to understand what happened.
- Workspace setup and identity workflows that integrate with real enterprise infrastructure (SSO, SCIM, MCP).
- License and billing models that admins can actually understand and manage at scale.
- Analytics and reporting that tell admins whether their deployment is working as intended.
- Work with technical constraints and possibilities. You'll develop fluency in APIs, widget architectures, developer hub patterns, and how backend systems shape what's actually achievable in the UX. You're not designing in isolation from engineering - you're designing in partnership with it.
- Drive pragmatic iteration. You'll scope ruthlessly, build POCs to get signal early, and iterate based on what you learn from enterprise customers.
- Set a design vision for our Enterprise surface and influence adjacent product areas to stay coherent. As things scale across SSO, compliance, analytics, and billing, you're keeping the mental model consistent.
YOU SHOULD APPLY IF YOU BRING:
- Significant experience designing complex, large-scale product surfaces - ideally admin dashboards, governance layers, analytics platforms, or other domains where system thinking matters.
- Technical fluency. You understand APIs, integrations, how services communicate, how widgets and developer hubs work. You can read a technical architecture doc and understand the constraints it creates for design. You don't need to be an engineer, but you think like one.
- Systems thinking: not just about interaction flows, but about enterprise systems. You understand how identity systems, compliance regimes, and scale constraints shape what's actually possible in the UX. You think in mental models and multi-step workflows, not single screens.
- Comfort operating in ambiguity: you can turn unclear and fast-moving problem spaces into crisp direction, and you do not wait for perfect clarity.
- Excellent communication in design reviews and cross-functional decision-making contexts.
- Experience designing workflows where trust, transparency, and user control are central - helping users feel confident in AI-driven outputs rather than confused or excluded.
- The ability to leverage feedback from users and customers to ensure the product continues to meet real needs - including enterprise users with high stakes around quality, compliance, and scale.
AT SYNTHESIA WE EXPECT EVERYONE TO:

ABOUT US
Ruby Labs is a leading tech company that creates and operates innovative consumer products. We offer a diverse range of opportunities across the health, education, and entertainment industries. Our innovative teams are driving the future of consumer-led products, and we're always looking for passionate individuals to join us. Learn more about our story at: https://rubylabs.com/about-us/
ABOUT THE ROLE
At Ruby Labs, we are looking for a Senior Desktop Engineer to own and drive a new cross-platform desktop product from first commit to production.
This is a high-ownership role with an unusually deep systems component. The application is not a wrapped web app: it captures system and microphone audio in real time, renders an always-on-top overlay across the user's workspace, registers global shortcuts, and integrates with the operating system at a level that requires native code on both macOS and Windows.
Our architecture is Electron for the application and UI layer, with native modules and helper processes in Swift and C++ where the platform requires it. You will own that boundary, deciding what belongs in TypeScript, what belongs in native code, and making the two halves behave as one reliable product.
You will also own everything that happens after the build: code signing, notarization, entitlements, permission onboarding, auto-update, and crash reporting. On this product, those are not an afterthought; they are a significant share of the engineering work, and getting them wrong is what stops users from ever running the app.
You will operate as the senior technical voice for desktop within your team, setting the engineering standard for the platform.
KEY RESPONSIBILITIES
DESKTOP APPLICATION & ENGINEERING QUALITY
- Own the Electron architecture end to end — main, renderer and helper processes, IPC design, context isolation, process lifecycle — and deliver major features within agreed timelines.
- Build transparent, frameless, always-on-top overlay windows that behave correctly across full-screen spaces, multiple displays and mixed-DPI setups, alongside global shortcuts, tray presence and low-latency UI under continuous background load.
- Design a clean platform abstraction in TypeScript so the macOS and Windows implementations stay isolated and independently testable, and write idiomatic Swift and C++ in the native layer.
- Keep the product reliable: defensive handling of unstable platform APIs, tests and code reviews, performance, memory and battery budgets, and remediation of security-review and penetration-test findings within agreed severity SLAs.
NATIVE PLATFORM INTEGRATION
- Build and maintain the native layer: Node addons (N-API / node-addon-api) and out-of-process helpers in Swift and C++.
- Implement real-time system audio capture — Core Audio process taps and ScreenCaptureKit on macOS, WASAPI loopback on Windows — including device change handling, format negotiation and graceful recovery from driver-level failures.
- Integrate with the Accessibility API (AXUIElement) on macOS and UI Automation on Windows to read application context reliably.
- Own the IPC protocol and lifecycle between Electron and the native helpers, and keep the application working as Apple and Microsoft change their platforms.
DISTRIBUTION, PERMISSIONS & RELEASE RELIABILITY
- Own code signing and notarization on macOS — hardened runtime, entitlements, nested binary signing, provisioning profiles — and Authenticode signing, SmartScreen reputation and antivirus false positives on Windows.
- Design the permission onboarding flow — microphone, system audio, screen recording, accessibility — so that grant rates stay high and failure states are recoverable.
- Build and maintain the release pipeline: CI matrix builds, signing from CI with HSM-backed certificates, auto-update, staged rollout and rollback.
- Own crash reporting and production telemetry for the desktop client, and act on what it tells you.
QUALIFICATIONS
- 6+ years of software engineering experience, including production-grade TypeScript/Node.js.
- 3+ years building and shipping Electron applications to real end users, not internal tools or proofs of concept.
- Hands-on native macOS development in Swift and/or Objective-C, with AppKit and at least one system-level framework such as Core Audio, AVFoundation, ScreenCaptureKit, or the Accessibility API.
- Practical experience writing native Node addons (N-API / node-addon-api) or bundling and communicating with out-of-process native helpers.
- Demonstrated experience with macOS code signing, notarization, entitlements, and the TCC permission model — you have debugged a rejected notarization and know how to read the log.
- Working knowledge of the Windows desktop platform: Win32 APIs, Authenticode signing, and the practical realities of SmartScreen and antivirus reputation.
- Strong grasp of multi-process architecture, IPC, and debugging issues that only reproduce on a user's machine.
NICE TO HAVE
- Real-time audio pipelines — buffering, resampling, mixing multiple sources, or streaming to speech-to-text services.
- Signing from CI with hardware-backed certificates (Azure Key Vault, DigiCert KeyLocker, or similar), and antivirus whitelisting or SmartScreen reputation building for a new product.
- Auto-update infrastructure such as Squirrel, electron-updater or Sparkle, including staged rollouts.
- Crash reporting and symbolication for native code (Crashpad, Sentry, or similar).
- Prior experience shipping a consumer desktop product at meaningful scale.
LOCATION
Ruby Labs operates within the CET (Central European Time) zone. Applicants from any country are welcome to apply for the position as long as they are located within approximately ± 4 hours of CET. This ensures optimal collaboration and communication during working hours.

Our Engineering, Product, and Design teams are thoughtfully integrating AI across the full software and product development lifecycle to move faster without sacrificing quality or security. In practice, that looks like engineers using AI-assisted coding tools to accelerate reviews and catch bugs earlier, product managers synthesizing user research at scale, and designers rapidly prototyping and iterating with AI-generated mockups. We approach AI the same way we approach security: with clear principles, human accountability at every consequential decision point, and rigorous evaluation before anything ships to customers.

About 1Password
At 1Password, we’re building the foundation for a safe, productive digital future. Our mission is to unleash employee productivity without compromising security by ensuring every identity is authentic, every application sign-in is secure, and every device is trusted. We innovated the market-leading enterprise password manager and pioneered Unified Access Management, a new cybersecurity category built for the way people and AI agents work today. As one of the most loved brands in cybersecurity, we take a human-centric approach in everything from product strategy to user experience. What You Can Expect:

- Participate in planning by identifying tasks and breaking down, estimating, and planning work.

Bonus points for:
- Experience with a modern backend language (e.g. Go, Node.js, Ruby, or Python).
- Understanding of authentication, authorization, and identity concepts (OAuth, OIDC, scoped access, policy enforcement)
- Experience working with distributed systems, demonstrating best practices around monitoring, observability, performance and reliability
Our culture
At 1Password, we prioritize collaboration, clear and transparent communication, receptiveness to feedback, and alignment with our core values: keep it simple, lead with honesty, and put people first.
You’ll be part of a team that challenges the status quo, and is excited to experiment and iterate in search of the best solution. That said, 1Password is not for everyone. Our work is demanding, we strive for excellence, and the pace is fast. We need people who are keen to take on challenging problems, who seek feedback to grow, and who are driven to make an impact. If you're looking for a place where you can settle into a comfortable routine, this might not be the right fit for you. We’re looking for individuals who are proven experts in their fields, as well as those who are highly adaptable, can thrive in ambiguity and through change, are curious, and above all deliver results.
We are committed to leveraging cutting-edge technology—including AI—to achieve our mission. We also understand that thinking critically about AI in its current forms will help us create better solutions for our customers and ourselves with its future forms, which will help us continue to close the gap between security and privacy and achieve our mission. We want team members at all levels to take the approach of actively learning AI best practices, identifying opportunities to apply AI in meaningful ways, and driving innovative solutions in their daily work. Embracing the future of AI isn't just encouraged at 1Password—it's an essential part of how we will be successful at 1Password.
Our approach to remote work
We believe in the power of remote work, but recognize that in-person connection is important to help us achieve our mission. We are looking for an Associate HR Analyst, to join the Human Resources team in Manila, supporting our APAC markets. This is an early-career position that plays a key operational role supporting our Regional HR Business Partners (HRBPs), ensuring our people processes run smoothly across multiple markets.
You will work closely with the Regional HRBP, Total Rewards, Talent Acquisition (TA), People Service Delivery (PSD), and business leaders across the region, contributing to a seamless employee experience and helping turn people priorities into action. You will support key HR processes, provide insights and follow-up, and help ensure that our people practices are consistently and effectively delivered across the region in line with global guidelines.
This role is designed for someone who thrives in fast-paced, ambiguous environments and is energized by problem-solving. It is a permanent, hybrid position based in Manila, with three days per week in the office.
What You Will Do
Hiring and Selection
Support the Regional HRBP in submitting hiring requests to TA through Workday
Share regular updates with the Regional HRBP on hiring status and flag any potential hiring risks or challenges
Onboarding and Offboarding
Coordinate and facilitate welcome meetings and inductions for new hires
Ensure hiring managers take an active role in a standardized onboarding and induction template, and contribute to the onboarding process where necessary
Conduct the scheduled check-in meetings with new employees and their managers; document key findings and flag risks to the Regional HRBP
Track onboarding and offboarding processes: documentation, system updates, coordination with legal providers, and final payment follow-up
Conduct the exit interview for voluntary resignations and analyze exit surveys to flag risks or challenges to the Regional HRBP
Ensure all people movement events are processed accurately and on time in Workday
HR Employee Support
Act as a point of contact for complex HR queries related to employee relations, policies and procedures, performance, and compensation from employees and managers across APAC
Collaborate with PSD on complex employee queries related to other HR topics such as time-off requests and balances, Workday challenges, and more
Liaise with PSD on open Jira tickets and ensure timely resolution and follow-up
Actively contribute to the FAQ and knowledge base for recurring questions to reduce query volume over time, in partnership with the broader HR team
Engagement Plan Execution Support
Support the execution of the APAC Engagement Plan (Career Path Program, Recognition Program, AI and Automation initiatives)
Coordinate logistics for engagement activities: communications, scheduling, materials, and tracking
Assist in collecting and organizing data for engagement surveys and post-program follow-ups
HR Systems and Data Integrity (HRIS)
Own the accuracy of Workday organizational structures: positions, attributes, reporting lines, and job profiles
Perform regular audits to ensure all people movements (new hires, transfers, promotions, terminations) are correctly reflected in the system
Cross-check open positions in Workday against workforce planning data and flag discrepancies to the Regional HRBP
Coordinate with HR teams globally to resolve data inconsistencies
Prepare HR reports on demand: headcount, open positions, engagement metrics, and data sanity checks
Support the Regional HRBP with data preparation for leadership presentations and business reviews
Maintain data hygiene across HR tracking tools (spreadsheets, Workday exports, dashboards)
What We Are Looking For
Background
A degree in Human Resources (Human Resource Management), Labor Relations, Organizational Psychology, or a related field
Experience
1 to 3 years of HR experience in dynamic, fast-moving environments (for example HR operations, HR generalist, or HRIS support)
Experience with HRIS platforms (Workday experience is a strong plus, not a requirement)
Exposure to multi-country HR operations is valued but not mandatory
Skills
Advanced English, written and spoken; most team communication is in English
Google Workspace (Google Sheets, Docs, Slides): advanced level required
AI tools literacy (familiarity with Claude or similar tools is a plus)
Analytical mindset: comfortable working with data, spotting inconsistencies, and building clean reports
What Will Set You Apart
High tolerance for ambiguity: you don’t need everything to be defined to take action
Dynamism: you shift context quickly and don’t lose quality when the pace picks up
Comfort with uncertainty: you see change as the norm, not the exception
Proactive communication: you flag issues before they become problems
Discretion: you handle sensitive information with care and sound judgment
Why Join Aleph
Real impact across APAC:
Your accuracy in Workday and your follow-through keep hiring, onboarding, and people movements running smoothly across multiple markets, and your insights help the Regional HRBP and business leaders decide what to do next.
A clear path into HR business partnering:
Learn the HRBP craft from the inside (employee relations, workforce planning data, leadership business reviews) with day-to-day exposure to the Director, HR Business Partners.
Collaborative, supportive team culture:
Work alongside Total Rewards, Talent Acquisition, and People Service Delivery colleagues in an English-speaking team that values proactive communication, discretion, and flagging issues early.
Modern tools and AI-forward work:
Build hands-on experience with Workday, Google Workspace, Jira, and AI tools, and help deliver AI and Automation initiatives as part of the APAC Engagement Plan.

We’re scaling fast and staying true to what makes us different: an open-source legacy, a global collaborative culture, and a passion for meaningful work. Our team thrives in an innovation-driven environment where transparency, autonomy, and trust fuel everything we do.
You may not meet every requirement, and that’s okay. If this role excites you, we’d love you to raise your hand for what could be a truly career-defining opportunity.
About Grafana Labs:
There are more than 700,000 active installations of Grafana around the globe, monitoring everything from beehives to climate change in the Alps. The instantly recognizable dashboards have been spotted everywhere from a SpaceX launch and Minecraft HQ to Wimbledon and the Tour de France. Grafana Labs also helps companies including Bloomberg, JPMorgan Chase, and eBay manage their observability strategies with full-stack offerings that can be run fully managed with Grafana Cloud, or self-managed with Grafana Enterprise Stack. The Grafana stack has grown to include more open-source projects, including Grafana Loki (for logs) and Grafana Tempo (for traces) and Grafana Mimir (for metrics).
Description of Duties
We’re looking for a Staff Technical Writer to create documentation and learning content that helps people adopt and master Grafana’s observability products. You’ll work with engineers, product managers, and the Grafana writing team to produce content for a range of products and audiences, from first-time users to experienced practitioners. Because our products and priorities evolve, we’re looking for someone who learns new technical domains quickly.
AI is part of how this team works. We use AI-assisted workflows and tools throughout the content lifecycle, from research and drafting to review, validation, and maintenance. You’ll use these tools every day and help the team get better at using them.
Key Responsibilities
Plan, research, write, and maintain documentation and learning content (concepts, tasks, tutorials, references, and in-product learning) that supports adoption and long-term product mastery.
Use AI tools and workflows to work faster and at a higher quality: drafting, structuring, technical validation, consistency checks, and keeping content current. You apply human judgment to everything AI produces and take responsibility for its accuracy.
Contribute to the team’s shared AI workflows and skills, and look for ways to improve and automate how we create and maintain content as tools and models evolve.
Partner with engineers, PMs, and other stakeholders to understand product requirements, interview subject matter experts, and turn complex technical detail into clear, accurate content.
Test what you document. Run the software, follow your own procedures, and flag product and UX gaps you find along the way.
Let data guide your priorities. We have strong docs and learning analytics. You’ll use them, along with user feedback, to find content gaps, prioritize your work, and show the impact of what you ship.
Work with the documentation manager and other writers to improve information architecture, voice, and consistency across our docs, and to make information easy to find for both people and AI-driven search and assistants.
Manage several projects at once, using judgment to prioritize and communicate clearly when the plan changes.
Mentor teammates and share practices that raise the quality of the team’s work.
Requirements
What experience would make someone be successful in this role?
Experience writing or documenting enterprise or developer-facing software, with a portfolio or writing samples that show technical depth.
Hands-on experience using AI tools and models in your writing workflow (such as LLM assistants, agentic coding tools, or custom prompts and skills), and the ability to explain how you evaluate and verify their output.
Experience working with docs-as-code: command-line Git, GitHub (pull requests and reviews), Markdown, and common IDEs.
Comfort working in technical environments. You can set up, run, and troubleshoot software yourself to verify what you write (for example, command line, containers, or Kubernetes, or a willingness to learn quickly).
Experience collaborating with engineers and product managers to get accurate technical information.
Experience working remotely and asynchronously on a distributed team.
What you’ll bring to the role
Curiosity about AI as a craft. You treat AI workflows as a professional skill. You experiment, share what works, and know where AI helps and where it doesn’t.
Technical credibility. You care about accuracy, you learn new technical domains quickly, and you ask questions until you understand them.
Strong judgment and editing skills. You can tell good content from plausible-sounding content, and you hold the line on quality.
Ownership. You manage multiple projects and work well both independently and collaboratively.
Clarity. You write concisely and plainly for readers of all experience levels.
Bonus: Experience with observability, monitoring, or cloud-native tooling, or contributing to open source documentation.

Figma is growing our team of passionate creatives and builders on a mission to make design accessible to all. Figma’s platform helps teams bring ideas to life—whether you're brainstorming, creating a prototype, translating designs into code, or iterating with AI. From idea to product, Figma empowers teams to streamline workflows, move faster, and work together in real time from anywhere in the world. If you're excited to shape the future of design and collaboration, join us!
We are looking for an Account Executive, Federal - State & Local to drive new business and expand Figma’s presence across State & Local government agencies. Own RFP strategy and proposal execution, mobilizing internal stakeholders under tight deadlines to win competitive government bids
Make accessible citizen experiences central to the value story, showing how Figma helps agencies modernize digital service delivery and better serve their communities
We'd love to hear from you if you have:
8+ years of enterprise sales experience, including significant SaaS experience selling into State & Local government agencies
Consistent success acquiring new accounts, expanding existing relationships, and exceeding sales targets, supported by proactive outbound prospecting and strategic territory development
Experience managing complex sales cycles of six months or longer, with an understanding of SL budget cycles, procurement requirements, and reseller and channel partner ecosystems
Demonstrated ability to build trust with executives, technical teams, and agency or institutional leaders, aligning solutions to organizational priorities through effective discovery, qualification, and value-selling
Strong communication, negotiation, and account planning skills, with a structured sales methodology and the ability to manage competing priorities across a territory
While it’s not required, it’s an added plus if you also have:
Established relationships within the assigned SL territory and experience co-selling with resellers, systems integrators, or other public sector partners
Understanding of public sector requirements for data privacy, accessibility, and security
Demonstrated success in a changing environment or building an emerging sales motion, with certification or formal training in deal qualification and prospect discovery
At Figma, one of our values is Grow as you go. We believe in hiring smart, curious people who are excited to learn and develop their skills. If you’re excited about this role but your past experience doesn’t align perfectly with the points outlined in the job description, we encourage you to apply anyways. If you're looking for a place where you can settle into a comfortable routine, this might not be the right fit for you. Our approach to remote work
We believe in the power of remote work, but recognize that in-person connection is important to help us achieve our mission. While we are a remote-first company, travel for in-person engagement is a part of most roles. Frequency will depend on role and responsibilities, and may include, but is not limited to: annual department-wide offsites, team meetings, and customer/industry events.
How we’re using AI today
We are committed to leveraging cutting-edge technology—including AI—to achieve our mission. We also understand that thinking critically about AI in its current forms will help us create better solutions for our customers and ourselves with its future forms, which will help us continue to close the gap between security and privacy and achieve our mission. We want team members at all levels to take the approach of actively learning AI best practices, identifying opportunities to apply AI in meaningful ways, and driving innovative solutions in their daily work. Embracing the future of AI isn't just encouraged—it's an essential part of how we will be successful at 1Password.
This approach extends to our hiring process—candidates are welcome to use AI tools responsibly and thoughtfully during the application process. To us, this means we do ask that you join live interviews without using AI tools so we can get to know how you communicate, solve problems, and collaborate with others.

Today, we serve millions of users and thousands of businesses - from fast-growing startups to large enterprises like Deutsche Telekom and Meta. Our investors are some of the world's most prominent, including Andreessen Horowitz, ICONIQ Growth and Sequoia. We've raised $781M in funding and our last valuation was $22B - multiples of 11, always.
We have expanded from voice into three main platforms:
- ElevenAgents enables businesses to deliver seamless and intelligent customer experiences, with the integrations, testing, monitoring, and reliability necessary to deploy voice and chat agents at scale.
- ElevenCreative empowers creators and marketers to generate and edit speech, music, image, and video across 70+ languages.
- ElevenAPI gives developers access to our leading AI audio foundational models.
Everything we do is the result of the creativity and commitment of our team - builders doing the best work of their lives. We are researchers, engineers, and operators. IOI medalists and ex-founders. If you want to work hard and create lasting positive impact, we want to hear from you.
HOW WE WORK
- High-velocity: Rapid experimentation, lean autonomous teams, and minimal bureaucracy.
- Impact not job titles: We don’t have job titles. Instead, it’s about the impact you have. No task is above or beneath you.
- AI first: We use AI to move faster with higher-quality results. We do this across the whole company—from engineering to growth to operations.
- Excellence everywhere: Everything we do should match the quality of our AI models.
- Global team: We prioritize your talent, not your location.
WHAT WE OFFER
- Innovative culture: You’ll be part of a generational opportunity to define the trajectory of AI, surrounded by a team pushing the boundaries of what’s possible.
- Growth paths: Joining ElevenLabs means joining a dynamic team with countless opportunities to drive impact - beyond your immediate role and responsibilities.
- Learning & development: ElevenLabs proactively supports professional development through an annual discretionary stipend.
- Social travel: We also provide an annual discretionary stipend to meet up with colleagues each year, however you choose.
- Annual company offsite: Each year, we bring the entire team together in a new location - past offsites have included Croatia and Italy.
- Co-working: If you’re not located near one of our main hubs, we offer a monthly co-working stipend.
ABOUT THE ROLE
Our Talent Operations team runs the machinery behind hiring at ElevenLabs: the systems, workflows and data that help us hire exceptional people quickly. We’re hiring at pace, with 200+ open roles across 40+ countries, and Ashby sits at the centre of all of it. We're looking for a hands-on Ashby expert who can turn hiring priorities into clean, working setups, so recruiters and interviewers can focus on candidates rather than the tool. You’ll be the person the talent team trusts to get the system right, and to know when something is quietly going wrong.
Talent Operations works from first principles. We don’t ask how hiring has always been done. We ask how to make it the best possible experience for candidates, hiring managers, recruiters and everyone involved. Automation and AI drive everything we do, because we’re scaling our talent function without scaling headcount at the same rate. The goal is to maximize the impact each person on the team can have.
To start, your time will be split as ~60% Ashby build and administration, ~25% scheduling support and Talent Ops projects, and ~15% data and reporting.
WHAT YOU’LL OWN
- Ashby go-to: be the first point of contact for Ashby questions from recruiters, interviewers, and hiring managers. Write the how-tos so the same question doesn’t get asked twice.
- Interview plans: build and customize interview plans, stages, feedback forms and scorecards. Update them as roles and processes change, keeping structure consistent so data stays comparable across teams.
- Jobs and postings. End to end: take approved headcount to a live, accurate job and posting quickly. That covers hiring teams, approvals, custom fields, job boards and postings across locations. Keep every job accurate through to close and archive.
- Data quality: own ATS hygiene, including stage mapping, source attribution, rejection and archive reasons, department and team structure, and stale applications. Spot problems before they show up in a report.
- Process and projects: support Talent Ops on process changes, tooling rollouts and projects that help the function scale, plus interview scheduling support during busy periods (or until we roll out agentic scheduling).
IN YOUR FIRST 6 MONTHS, YOU WILL:
- Audit and standardize interview plans across ElevenLabs so pipeline data is comparable
- Cut job setup time by templating common role types
- Automate a manual workflow with AI or integration tooling
- Improve interviewer capacity and assist with automating scheduling
- Own 1-2 Talent Operations projects end to end
REQUIREMENTS
- Ashby Power User. Prior hands-on Ashby experience as an active, day-to-day user, including setting up jobs, postings, feedback forms, and interview plans.
- Fast-paced Operations. Experience in recruiting operations or coordination in a fast-moving team.
- Strong data hygiene instincts. Messy data bothers you, and you fix the root cause, not just the symptom.
- AI native. Comfortable using AI tools to cut manual work and move faster.
- Clear written communication. You can explain a system change to a hiring manager in two sentences.
- Timezone: Able to work in United States timezone hours.
BONUS:
- Strong analytical and reporting skills. You’re confident building reports in Ashby and working with exported data in spreadsheets (pivots, lookups, basic formulas), and you can turn the numbers into a clear story about what’s working and what isn’t.
- Scheduling at Scale. Interview scheduling at scale, including complex multi-timezone panels.
- Project Management. Organized and able to run projects end to end with multiple stakeholders.
YOU MIGHT BE A GREAT FIT IF:
- You enjoy being the person who knows how the system actually works
- You’d rather build a template once than do the same setup ten times
- You’re comfortable moving fast without letting accuracy slip
LOCATION
This role is remote and can be executed globally, with a preference for United States timezones. If you prefer, you can work from our offices in New York or San Francisco.
