About Wolt
At Wolt, we create technology that brings joy, simplicity and earnings to the neighborhoods of the world. In 2014 we started with delivery of restaurant food. Now we’re building the delivery of (almost) everything and you’ll find us in over 500 cities in 30 countries around the world. In 2022 we joined forces with DoorDash and together we keep on dreaming big and expanding across the globe.
Working at Wolt isn’t always easy, but it’s definitely exciting. Here you’ll learn more, build more, and ship more than in most other companies. You’ll be challenged a lot, but also have a lot of fun on the way. So, if you’re a self-starter with drive and entrepreneurial spirit, this could be the ride of your life.
Our Global Food Safety team exists to keep Wolt’s operations safe, compliant, and trusted across every market we’re in. We partner closely with the business on growth and operational excellence initiatives, building customer trust through clear standards, data-driven improvements, and food safety programmes that actually hold up on the ground.
We’re looking for an Associate Manager, Food Safety to help us build and run these programmes across our European markets. You’ll work closely with operations, legal, policy, and frontline teams to protect our customers and partners, and to keep our sites compliant as we grow. Expect regular travel across our European locations.
What you’ll be doing
This is a hands-on role that blends policy work with real, on-the-ground problem-solving. You’ll partner with country and area leaders, support external audits, and help translate global food safety standards into steps that actually work locally.
Day-to-day in this role you’ll:
Partner with country and area leaders to manage food safety compliance and find pragmatic solutions to emerging risks.
Support our external audit programme, coordinating schedules with third-party auditors and local food authorities.
Help develop and maintain our global food safety policies, procedures, and HACCP plans, translating them into concrete steps at country level.
Handle food safety issues, enquiries, and product recalls, guiding country and site teams through execution and customer communication.
Work with Legal and Policy to keep us ahead of food safety regulations across our European markets.
Track compliance metrics and use the data to spot trends and drive improvements
Our humble expectations*
Formal food safety qualification (e.g. Food Science, Microbiology, Public Health), or equivalent hands-on experience.
5+ years of progressive food safety or regulatory compliance experience in hospitality, retail, quick commerce, or manufacturing.
Strong working knowledge of HACCP and food safety standards such as FSSC 22000, ISO 22000, IFS, or BRC.
Proven experience managing food safety programmes across multi-country, multi-unit operations, with a pragmatic, solutions-focused approach.
Proven track record conducting internal/external audits, risk assessments, and gap analyses, with the ability to drive follow-up actions that deliver real compliance improvement.
Experience implementing policies and procedures in response to new business initiatives or evolving risk environments.
Fluent in English, given the multi-country scope of this role.
Willingness and ability to travel regularly across our European markets.
What we offer
The chance to build and shape food safety practices across a fast-growing set of European markets, with real ownership over how you get there.
A seat on a collaborative, supportive global team genuinely invested in your growth as a leader.
Cross-functional exposure — you’ll work directly with legal, policy, ops, and country teams, not from behind a desk.
Next steps*
Applications are reviewed on a rolling basis. If shortlisted, you’ll start with a screening call with our Talent Acquisition Partner, followed by an interview with the hiring team, a short take-home assignment, and a final debrief. We aim to move quickly and will keep you posted throughout.
Our Commitment to Diversity and Inclusion
We’re committed to growing and empowering a more inclusive community within our company, industry, and cities. That’s why we hire and cultivate diverse teams of people from all backgrounds, experiences, and perspectives. We believe that true innovation happens when everyone has room at the table and the tools, resources, and opportunity to excel.

About the role
We’re looking for an experienced, motivated Enterprise Account Executive to drive ElevenLabs’ growth across Healthcare: the health systems, hospitals, clinics, health plans, and life sciences companies people trust with their health and their families’ care. These organizations win or lose on trust and access at massive scale, under some of the most demanding regulatory standards anywhere.
Our ideal candidate learns fast, closes well from a warm introduction, and is passionate about AI voice technology. You’ll act as a strategic partner to organizations reimagining how they serve patients, members, and clinicians, safely and at scale.
In this role you will:
- Focus on prospecting and landing net-new customers to expand the market footprint that ElevenLabs has in the Healthcare industry
- Balance a diverse pipeline of large health systems that require a white-glove experience with community hospitals, clinics, and regional providers that require speed to close
- Identify where conversational AI can drive growth, automation, or cost efficiency in patient-facing and internal workflows, such as scheduling and reminders, after-hours coverage, benefits and claims status, patient intake and outreach, and HCP support
- Stay current on the conversational AI landscape, including competitive solutions, build-vs-buy dynamics, and emerging trends in healthcare AI governance
- Develop and execute account strategies across the whole buying group (Patient Access and Contact Center Operations, Digital and Product, IT and Clinical Informatics, and Compliance, Privacy, Legal, and InfoSec), landing with one high-impact use case and expanding across facilities and service lines
- Partner closely with Forward Deployed Engineers to solution high-impact use cases, manage a successful Proof of Value, scope integrations with the EHR, claims, and telephony systems customers already run, and set them up to scale in production
- Partner closely with Legal teams to drive strategic, fast-moving negotiations, including BAAs
- Serve as a trusted advisor on generative AI and voice, and share what you learn in the field to sharpen our Healthcare positioning, messaging, and references
Requirements
- 7+ years of quota-carrying enterprise sales experience in SaaS or technology, ideally with exposure to AI, generative AI, LLM-based products, or API-driven platforms
- Healthcare experience (health systems, hospitals, payers, life sciences, health tech) is preferred but not required. We weigh demonstrated adaptability and fast ramp in a new industry heavily
- Proven success closing six-and-seven figure deals and managing complex, multi-stakeholder sales cycles
- Proven ability to take a warm introduction through discovery, Proof of Value, and procurement to close
- Experience selling to both technical buyers (IT, product, and engineering) and business buyers (patient access, operations, digital), and to privacy and compliance gatekeepers, translating complex technology into business value
- Adept at deeply understanding a customer’s business and translating ElevenLabs’ capabilities into solutions that deliver against their needs
- Proficient in enterprise procurement, security review, and legal processes, including HIPAA, BAAs, and PHI data protection reviews, and able to work autonomously as a cross-functional partner
- Strong executive presence, the ability to build relationships with senior executives, and willingness to travel frequently for onsite client visits and conferences
- High EQ, self-aware, and curious. Low ego and hands-on, comfortable running your own prospecting and deals
- Comfort in an early-stage, high-growth environment, where ambiguity is the norm and the state of play changes rapidly
- Passion for voice and conversational AI and how it can unlock transformative value for customers

This role is remote-first, so it can be executed from anywhere in the United States, however the ability to operate in EST, CST, or PST timezones is required. There is a preference for candidates to be based in New York or San Francisco, with the option to work out of our office.

Location: Valencia
Workplace: OnSite
ROLE HIGHLIGHTS:
- Test Engineer
- Location: Valencia
- Reports to: Laboratory Lead and Test Architect
- Employment type: Permanent
- Workplace model: Onsite
- Employment is subject to applicable security screening (incl. SUPO, where required)
WHY THIS ROLE MATTERS:
As our Lab Test Engineer, you’ll plan, run, automate and document the lab’s tests across simulation, signal capture, playback and hardware in the loop, so results are repeatable and trusted. ICEYE is building a space-based RF constellation covering 100 MHz to 30 GHz alongside its SAR fleet, and the Experimentation Lab in Valencia is where we develop, simulate and validate that capability. We simulate the constellation and its emitters end to end, capture real signals from real hardware, and generate and play back signals through a channel simulator for end-to-end runs and algorithm validation.
A lab that only its builders can operate becomes shelfware. Specialists will build the simulation, the capture system and the playback chain, and you’ll turn those into tests that run reliably, on schedule, with traceable results. The role covers the full breadth of the lab: setting up hardware, running campaigns, automating procedures, keeping equipment calibrated and inventoried, and producing evidence that engineers and customers can rely on.
You’ll have an early seat in a new lab, with direct influence on how ICEYE builds and proves this capability.
WHO WE ARE
ICEYE is the world leader in sovereign intelligence from space. We deliver persistent monitoring capabilities to detect and respond to changes in any location on Earth.
ICEYE owns the world's largest and most advanced SAR (synthetic aperture radar) satellite constellation. To our customers we provide intelligence with unmatched quality, latency and revisit times, in any weather, day or night. To governments who choose to operate their own constellation we provide this proven capability as a sovereign system.
ICEYE-built constellations serve customers in defence and intelligence, environmental monitoring, insurance and emergency management. We enable fast decisions that contribute to a safer future.
Founded and headquartered in Finland, ICEYE operates globally with over 1000 employees across Europe, North America, the Middle East, and Asia-Pacific.
YOUR DAY-TO-DAY RESPONSIBILITIES
- Plan and run tests across all three lab missions: end-to-end simulation runs, emitter capture sessions, playback and channel simulator campaigns, flatsat and receiver tests, and algorithm validation.
- Write procedures and automate them: turn manual setups into scripted, repeatable test sequences, and add them to regression so each software or firmware build is checked.
- Set up and maintain the lab: instruments, SDRs, cabling, fixtures, the screened enclosure and emitter bays, network and compute. Track calibration, configuration and inventory so every result records what produced it.
- Manage test data: keep recordings, run outputs and metadata organised, searchable and backed up, with the provenance to reproduce a result.
- Analyse and report: compare results to expectations and to previous runs, flag regressions and anomalies, write concise test reports, and log issues with the evidence needed to fix them.
- Support campaigns in the field and in the air, customer and partner demonstrations, and the reproduction of on-orbit anomalies on the ground.
- Run the lab safely: RF safety, ESD, equipment handling, access control and the handling rules for controlled material.
WHAT WE’RE LOOKING FOR
Must haves:
- Hands-on test experience in an electronics, RF, space or comparable hardware lab: test setups, procedures, execution and reporting
- Comfort with lab instruments (oscilloscopes, spectrum analysers, signal generators, power supplies) and basic RF practice (connectors, attenuators, cable loss)
- Scripting for test automation and data analysis, typically Python
- An organised and rigorous way of working: you write things down, version them, and can reproduce last month’s result
- Clear written English
Nice to haves:
- Satellite AIT, flatsat or hardware-in-the-loop testing
- SDR experience, RF capture or signal analysis
- Test automation frameworks, CI pipelines, instrument control (SCPI/VISA)
- Test data management, databases, dashboards
- Verification under a formal process (ECSS or similar)
- Experience setting up a lab from scratch: equipment selection, layout, safety, calibration programme
- Spanish, for working with local suppliers and facilities
- Eligibility for national security clearance (an advantage)
What success looks like
- 6 months: lab equipment is inventoried, calibrated and configuration-tracked, and capture and playback sessions run from written procedures, with data stored and findable.
- 12 months: core tests are automated and running in regression, test reports are produced routinely, and you’ve supported the first field campaign.
- 24 months: the lab runs as a service. Other teams book and run tests with your procedures, and results arrive with the evidence attached.
APPLICATION PROCESS
- Application Screening
- TA call
- Hiring Manager call
- Onsite interview

WHO WE ARE
Notion is the collaborative AI workspace where teams and agents think together https://www.youtube.com/watch?v=vkpYpWfEK5s. We're building one place where your knowledge, projects, meetings, and AI tools live side by side, so work is faster, clearer, and less fragmented. Millions of individuals, small teams, and large companies run their work on Notion.
Notinos (our employees) are customer zero in bringing this future of work to life. We care about craft, building things that last, and the belief that great work is still fundamentally human. Our goal isn’t to ship the next feature. Each and every team of Notinos is working to set the standard for how humans work together in the AI era. From building a business’s system of record to making and managing AI agents to automating away the busy work, we care deeply about giving our customers more time for their life’s work.
ABOUT THE ROLE:
The People Team at Notion exists to help build a generational company - one that enables people to do their best and most meaningful work. Hiring exceptional talent, at the right time and with care, is central to that mission.
We’re looking for a Recruiting Coordinator to partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process and plays an important role in how candidates experience Notion.
This role will be based in Dublin. We work from our offices on Mondays, Tuesdays and Thursdays (our Anchor Days) because we do our best thinking and building together in person. We’re looking for someone who’s excited to work alongside the team during those days.
WHAT YOU'LL ACHIEVE:
CREATE A CANDIDATE EXPERIENCE THAT REFLECTS NOTION
You’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes—so candidates leave feeling excited about what we’re building, regardless of the outcome.
COORDINATE INTERVIEWS WITH CARE AND PRECISION
You’ll manage and schedule a high volume of interviews across primarily GTM roles, balancing speed with attention to detail. You’ll anticipate needs, communicate clearly, and keep candidates and interviewers aligned - making the process feel smooth and predictable, even as things move quickly.
BUILD STRONG RECRUITING FOUNDATIONS
This role is designed for someone early in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you could take on light sourcing work, process improvements, and additional ownership as your skills grow - creating a strong foundation for future growth in recruiting, operations, or people-focused roles.
SKILLS YOU'LL NEED TO BRING:
- 2+ years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
- Strong organizational and prioritization skills - you’re proactive, reliable, and thoughtful about details
- A steady, calm approach in fast-moving environments
- Ability to navigate ambiguity with optimism

- Experience supporting both GTM roles, including remote and in-person interview scheduling
- Experience with Ashby, Workday, Slack
- Experience in a high-growth or startup environment

A NOTE ON AI
You don’t need deep AI expertise for every role, but we do expect every Notino to be intellectually curious, drawn to tinkering and discovery, and excited to use AI as a real collaborator in their work. For some roles, AI fluency is a core requirement — when that’s the case, we'll say so explicitly in the qualifications. People who thrive here don’t treat AI as a novelty. They use it to think better, and make their work easier for others to build on.

You are highly organized, proactive and enjoy owning processes from beginning to end.
You are comfortable speaking with candidates, conducting structured interviews and making decisions about who should progress through the hiring process. At the same time, you enjoy the operational side of People work — coordinating stakeholders, keeping systems accurate and making sure things happen when they should.
You are particularly interested in early-career talent and enjoy identifying potential in candidates who may not yet have extensive professional experience.

- Maintain accurate candidate information and hiring stages in our ATS.
- Track internship hiring pipelines, conversion rates, candidate quality and other relevant hiring metrics.
- Identify bottlenecks and recommend improvements to sourcing, assessment and the overall internship hiring process.
- Coordinate internship offers, preboarding and handover into onboarding.
- Build strong candidate experiences throughout the internship recruitment process.
- Support onboarding activities for new employees, including schedules, documentation, equipment and internal coordination.
- Support employee data administration and other People Operations activities when internship hiring demand is lower.
- Help maintain People documentation, trackers and internal process guides.
- Support additional People projects depending on team priorities and capacity.
WHAT YOU’LL BRING
- Experience in recruitment, People Operations, HR, talent coordination, project coordination or another people-facing role.
- Confidence conducting structured candidate interviews and making first-stage assessment decisions.
- Strong judgment when evaluating junior or early-career talent.
- Ability to recognize potential beyond simply looking at years of experience.
- Strong organizational skills and the ability to manage multiple candidates, stakeholders and deadlines simultaneously.
- Strong communication and interpersonal skills.
- Ability to balance a positive candidate experience with maintaining a high hiring bar.

WHO WE ARE
Notion is the collaborative AI workspace where teams and agents think together https://www.youtube.com/watch?v=vkpYpWfEK5s.
The People Team at Notion exists to help build a generational company that enables people to do their best and most meaningful work. Hiring exceptional talent, at the right time and with care, is central to that mission.
We’re looking for a Recruiting Coordinator in our Tokyo office to partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process in Japan and plays an important role in how candidates experience Notion.
WHAT YOU’LL DO:
CREATE A CANDIDATE EXPERIENCE THAT REFLECTS NOTION
You’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes so candidates leave feeling excited about what we’re building, regardless of the outcome.
COORDINATE INTERVIEWS WITH CARE AND PRECISION
You’ll manage and schedule a high volume of interviews across multiple time zones, primarily supporting Go-To-Market teams, including remote interviews and onsite panels. You’ll balance speed with attention to detail, anticipate needs, and communicate proactively to keep candidates and interviewers aligned. You’ll ensure logistics, materials, and feedback loops are clear and on time, and troubleshoot day-of changes and scheduling conflicts with a calm, solutions-oriented approach, making the process feel smooth and predictable, even as things move quickly.
BUILD STRONG RECRUITING FOUNDATIONS
This role is designed for someone early in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you could take on light sourcing work, talent branding projects, process improvements, and additional ownership as your skills grow, creating a strong foundation for future growth in recruiting, operations, or people-focused roles.
WHAT YOU’LL BRING:
- At least 1–2 years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment
- Strong organizational and prioritization skills, with a proactive, reliable approach and thoughtful attention to detail
- A growth mindset, with a willingness to take ownership of mistakes, learn from feedback, and refine your processes to improve accuracy and consistency
- A steady, calm approach in fast-moving environments
- Ability to navigate ambiguity with optimism
- Clear, kind, and professional communication skills to represent Notion to a large and diverse group of candidates
- Fluency in Japanese and business-level English proficiency, with the ability to communicate effectively with candidates and colleagues in both languages
- You don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results
NICE TO HAVES:
- Experience supporting both technical and non-technical roles, including remote and in-person interview scheduling
- Experience with Ashby, Workday, Slack, and Notion
- Experience in a high-growth or startup environment

A NOTE ON AI
You don’t need deep AI expertise for every role, but we do expect every Notino to be intellectually curious, drawn to tinkering and discovery, and excited to use AI as a real collaborator in their work. For some roles, AI fluency is a core requirement — when that’s the case, we'll say so explicitly in the qualifications. People who thrive here don’t treat AI as a novelty. They use it to think better, and make their work easier for others to build on.

About the Role
What you'll do
Short-form editing (TikTok, Reels, Shorts, Facebook)
Edit a high volume of vertical short-form videos (roughly 30–90 seconds) built to stop the scroll in the first 1–3 seconds.
Cut for each platform's native style: pacing, captions, safe zones, aspect ratios, trending audio and formats.
Turn raw footage, founder content, creator clips and transformation shoots into multiple hook and format variations per concept.
Repurpose long-form episodes into clips, carousels-to-video and cutdowns without losing the story.
Long-form editing (YouTube and Facebook)
Edit 8–30+ minute YouTube videos with strong story structure, retention-driven pacing, B-roll, music and sound design.
Build intros, chapter breaks, lower thirds and end screens that keep viewers watching.
Collaborate on thumbnails and titles with an eye on click-through and retention.
Motion graphics and AI generation
Create motion graphics, animated text, transitions and branded templates in After Effects.
Stay current on new AI video tools and pitch ways to use them to ship faster or try new formats.
Workflow and ownership
Own projects from brief to delivery: organize footage, edit, self-QA, export platform-ready files and hand off on time.
Maintain and improve our editing systems: project templates, file naming, folder structures, presets, LUTs, caption styles and export settings.
Track work in our project management tool (ClickUp), updating status as each piece moves through the pipeline.
Turn around revisions quickly and fold feedback into future edits without being told twice.
How we work
Fully remote, async-first. Briefs, footage and feedback live in shared drives, Frame.io and ClickUp, so work keeps moving across time zones.
Daily overlap. A short daily check-in during your overlap window with Pacific Time, plus written updates on what shipped and what's blocked.
Turnaround expectations. Short-form edits typically delivered within 24 hours of brief; revisions within one business day; long-form on an agreed schedule.
Volume. Expect a steady weekly output across short- and long-form. [15–25 short-form + 1–2 long-form per week.]
Requirements
What you bring
Must-haves
3+ years of professional video editing, with a portfolio showing both short-form and long-form work.
Advanced proficiency in Adobe Premiere Pro and After Effects..
Hands-on experience generating video with Higgsfield AI, with examples of AI-generated or AI-assisted footage used in finished edits.
Proven experience editing for Facebook, Instagram, TikTok and YouTube, and a clear understanding of how each platform's content differs.
A fast, repeatable workflow: you can show how you organize projects, use templates and presets, and ship multiple finished pieces per day.
Strong instinct for hooks, pacing, story and sound; you know why one edit holds attention and another doesn't.
Clear written English for async communication, briefs and feedback.
Reliable high-speed internet, a capable editing machine and your own Adobe Creative Cloud license.
At least 4 hours of daily overlap with Pacific Time (PT) for check-ins and fast revisions.
Nice-to-haves
Experience with other AI tools (Runway, Kling, Veo, ElevenLabs, CapCut AI features, Topaz).
Experience with brand, DTC, beauty, wellness or transformation/before-and-after content.
Thumbnail design skills for YouTube.
Familiarity with DaVinci Resolve for color grading.
Comfort reading organic analytics (retention curves, watch time, saves, shares) and editing toward them.
Experience with Frame.io and ClickUp or similar review and project tools.
Use Higgsfield AI to generate and extend shots, B-roll, product visuals, scene transitions and stylized effects that would be slow or costly to film.
Blend AI-generated assets seamlessly with live footage so the final piece feels on-brand, not obviously synthetic.

About Paired
Paired is a global staffing and recruiting agency that specializes in pairing remote work with top-tier talent!
We are dedicated to connecting talented individuals with remarkable companies in need of their skills. Our goal is to create fulfilling job opportunities for professionals around the world.
About our Client
Our client runs a fast-growing education and software business, and across their channels, his team and him, have built a platform of more than 1.5 million followers.
His job is to be the face of their content and to think about where the company goes next. That takes about forty hours a week of creating, plus long uninterrupted blocks for strategy. It leaves very little room for anything else.
Which is the problem. Projects need chasing. Follow-ups need sending. Hiring needs running. Reports need collecting. None of that happens on its own, and when he tries to do it, the content and the strategy suffer.
That is what this role is for. You'll protect his time, remove operational drag, and make sure the company actually executes.
The Role
A lot of roles with this title are a dead end: no access to the founder's inbox, no seat in the meetings, just a pile of disconnected projects nobody else wanted. If that is your experience of these jobs, he understands the scepticism.
This is not that. You will see his calendar, his inbox, his meetings, and his numbers. You will watch decisions get made in real time and understand why they went the way they did. Done properly, it is the fastest and most complete training in how to run a company that exists, which is why it comes with a defined path to
Chief of Staff over twelve to eighteen months.
The trade is simple, and he would rather be blunt about it. You get total context. In exchange, you do the work he genuinely does not want to do: the chasing, the reminding, the coordinating, the collecting, the repetitive things that protect my creative bandwidth.
If that trade sounds good to you, keep reading. If you want the access without the admin, this is not your role.
What You'll Own
Calendar, first and above everything else
Protect deep work blocks, batch meetings, enforce priorities
Turn a chaotic week into an intentional one that matches company goals
Gate my time, never my people. You are not a human shield and you will never intercept someone who should be talking to me directly
The follow-up engine
Action items, owners, due dates, reminders, escalation
Nothing dies in Slack, WhatsApp or email because somebody got busy
Draft messages, emails and internal updates so I can approve them fast
Project management and accountability across the company
Build and run the company operating system, whether that lives in Trello, Asana or Notion
Every project carries an owner, a deadline, a next action and a definition of done
Hold department leaders to what they committed to, including when that means a difficult conversation
Hiring operations
Run hiring end to end for key roles: an Organic Content Director, a Senior DR Copywriter, an Instagram Copywriter and others
Pipeline, scheduling, scorecards, assignments, Loom reviews, references
Keep it moving fast without dragging me into logistics
Content operations oversight
You will not create content. You will make sure it ships
Track weekly output, deadlines and approvals across YouTube, Instagram and email so I am not chasing anyone
Metrics and reporting
Collect and analyse the monthly P&L, maintain KPI dashboards, run the weekly reporting rhythm
Review payroll, which means you will know what everyone earns, and come back with specific recommendations on raises, comp structure, inefficiency and where we are carrying people we should not be
Projects that do not fit anywhere else
Sometimes real-world and operational, such as managing the build-out of a home studio in Puerto Rico
Sometimes unglamorous. A real example: three or four hours going line by line through my AMEX statement to find software we are overpaying for, then contacting each vendor to cancel. The right answer is to do it once, then automate it, delegate it or own it monthly
AI across the workflow
Using ChatGPT instead of Google is the floor, not the bar
You should be good enough that you are advising other department leaders on how to use AI in their own work
How you will be trained
Nobody performs on day one in this role, and I do not expect you to. Context is the whole job, and context takes time to build.
Weeks 1 to 4, shadowing.
You sit in on everything: calendar, meetings, comms, priorities. You build your own model of how I think, what I care about and how I decide. You start taking small things off my plate immediately, mostly scheduling, notes and action items.
Days 30 to 60, execution and systems.
You take over the follow-up engine and the task system. You run a short structured weekly planning session with me. You start managing hiring operations and cross-functional projects, and you begin enforcing owners and due dates.
Days 60 to 90, Office of the CEO.
You run the operating cadence: reporting, follow-ups, meeting prep. You own major initiatives. You are my execution arm while I focus on content and strategy.
Months 3 to 18, Chief of Staff track.
As trust and competence compound, the work shifts from execution toward leverage: planning rhythms, decision memos, cross-functional problem solving, running high-priority initiatives. This is performance-based, not automatic.
Requirements
Who this is for
You are an operator. You like execution, structure, and turning mess into order
You have extreme ownership. You anticipate rather than wait
You can make good calls without asking me for permission every day
You are comfortable in the background while I am the one on camera
You are discreet, because you will see everything
You write clearly and in detail
You enjoy running a tight system and holding people to it
Who this is not for
You want a strategy-only role where you bounce ideas around without touching admin or follow-up
You need constant direction, reassurance or step-by-step instruction. You are here to protect my time, not to collect free mentorship from me
You avoid conflict and cannot hold someone accountable when they are late or underperforming
You are uncomfortable with high access and high confidentiality
Unglamorous tasks offend you
Tools
Google Workspace, Slack, Trello or Asana, Calendly, Zoom, Loom.
Benefits
Remote work
Flexible hours
USD compensation around $3k-5k/month (negotiable but dependable on seniority)
Fast-track to Chief of Staff
What success looks like
Twenty or more hours a week of my time handed back within 60 to 90 days
He stops doing project management, follow-ups, appointment setting, internal chasing and hiring logistics
The weekly operating rhythm runs without me pushing it
Projects move faster, with fewer dropped balls
The company gets calmer and more accountable, not more chaotic
