The ideal candidate has hands-on experience in a U.S. orthodontic office, is confident converting new patient leads into scheduled consultations, and can explain orthodontic treatment, insurance, and financing options clearly in both English and Spanish. This is a dedicated remote position working directly with the practice’s team.
Key Responsibilities:
Manage incoming leads:
handle all incoming patient inquiries, CRM leads, and new patient calls, responding to every new lead immediately.
Follow up and convert:
conduct high-volume outbound follow-ups by phone, text, and email, overcome objections, and convert inquiries into scheduled new patient consultations.
Schedule consultations:
book new patient consultations in the practice management system.
Confirm appointments:
personally confirm each appointment three days before and again one day before the visit to maximize attendance.
Educate patients:
build relationships with prospective patients and explain orthodontic treatment options (braces, clear aligners/Invisalign) in English and Spanish.
Explain coverage and payment:
answer questions about orthodontic insurance benefits, co-pays, lifetime maximums, third-party financing, and payment plans.
Keep the CRM current:
maintain accurate records, lead stages, and communication history so no follow-up is missed.
Track performance:
monitor and report monthly lead-to-consultation conversion metrics.
Requirements
Must Have:
Minimum of 2 years of experience in a U.S. orthodontic practice as a Treatment Coordinator, New Patient Coordinator, or in a similar patient-facing role. Only candidates with orthodontic experience will be considered; general dental experience alone is not enough.
Strong working knowledge of orthodontic treatment options, orthodontic insurance verification, third-party patient financing, and payment structures.
A proven track record of converting leads into scheduled consultations, and comfort discussing your past sales performance.
Hands-on experience using CRM software for lead and pipeline management.
Bilingual in English and Spanish, with excellent written and verbal communication skills. Professional English proficiency is required.
Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 9:30 AM – 6:30 PM PST.
