You make sure our clients feel looked after from their first day to their last. You welcome them in, stay close to how they are doing, and step in when something needs fixing. Turning a frustrated client into a happy one is the best part of this job.
What you'll do
Resolve client escalations and disputes.
This is the heart of the role. When a client is unhappy, you take the lead. You get the full picture, recommend solutions, and talk the client through it with empathy.
Catch concerns early.
You keep a weekly pulse on every client and reach out when someone seems stuck or frustrated, before it grows.
Welcome new clients.
You run the onboarding call for every new client, so they know what to expect and where to find everything.
Help clients grow with us.
You check in at the midpoint and the end of the program to celebrate progress and talk about what comes next.
Keep the team in the loop.
You work closely with sales, project managers, and coaches so nothing falls through the cracks.
What you bring
Experience in customer success, account management, or client services.
Calm, warm, and confident when a conversation gets difficult.

Good judgment on when to step in and who to bring in.
Organized and comfortable in Slack and Asana.
E-commerce or influencer marketing experience is a plus.
How you'll get started
You start with onboarding calls and weekly client check-ins. You learn the program first and shadow experienced team members before leading any escalation on your own.

This role sits at the intersection of operational rigor and fast-paced agency delivery. You are organized and analytical in equal measure. You use data and team feedback to find bottlenecks, and you build systems that raise output without adding friction.
What You Will Own

Map, document and improve core business processes. Write clear SOPs and playbooks that teams actually use.
Cross-team coordination.
Align priorities across departments, resolve dependencies and keep projects moving when work crosses teams.

Define and track operational KPIs. Build dashboards and regular reports that give leadership an honest view of performance.
Tools and automation.
Select, implement and improve the tools and automations that remove manual work and speed up delivery.
AI fluency.
Use AI as a core part of your workflow, from process analysis to documentation to workflow automation.
What We Are Looking For
You have spent [3-5+] years in business operations, project or program management, ideally at an agency or fast-growing company managing multiple projects at once. You can juggle competing priorities without losing quality.
You have delivered operational projects with measurable results, such as time saved, cost reduced or output increased. You can point to them specifically and explain what you did to make them happen.
You are strong at process design. You can map a workflow, find where it breaks, and document a better one that people follow.
You are analytical. You can work with data, track KPIs and turn reporting into action. Spreadsheets and project management tools are second nature.
You are a clear communicator who works well with leadership and individual contributors alike, gives direct feedback, and keeps stakeholders informed.
You thrive in a fast-paced, deadline-driven environment. You stay organized and proactive, and you keep teams moving when priorities shift.
Nice to Have
Project management certification (PMP, Scrum or similar)
Experience building operations from scratch in a startup or scaling company
Experience with workflow automation or AI tools
Comfort in Google Suite (Gmail, Docs, Sheets, Slides)
