We’re looking for a
Junior People Operations & Payroll Specialist
to join our People Operations team and build a strong foundation in Payroll.
Working closely with our Payroll Specialist and the wider People Operations team, you’ll get
hands-on exposure to the full payroll cycle, Spanish labour administration and our HR and payroll systems
, gradually taking on more responsibility and ownership as you develop in the role.
This is not a role where you’ll spend your time observing from the sidelines. From the beginning, you’ll work with real payroll processes, employee data and People Operations activities, learning how payroll works in practice within a fast-growing, international company.
You don’t need to arrive knowing everything. We’re looking for someone who is
curious, comfortable with numbers, highly attentive to detail and eager to learn
. We’ll give you the exposure and support to develop your expertise over time.
It’s a great opportunity for someone at the beginning of their career who wants to build a future in
Payroll and People Operations
and progressively become more autonomous in the role.
📍
Location & ways of working:
This role is based in
Barcelona
and follows our hybrid working model, typically
3 days per week in the office and 2 days working from home
. This is
not a remote position
, so please apply only if you are currently based in Barcelona or willing to relocate and can commit to this hybrid setup.
What challenges will you be solving
🚀
Learn the payroll cycle from end to end:
support the monthly payroll process, including the preparation, validation and review of payroll inputs and documentation.
Help us keep our payroll data accurate:
maintain employee and payroll information across our systems and make sure changes are correctly reflected and documented.
Support the employee lifecycle:
help manage the payroll and administrative side of hires, contract changes, leaves, absences and terminations.
Learn Spanish labour and Social Security administration:
support Social Security and other payroll-related administrative processes while developing your knowledge of Spanish payroll practices.
Help ensure payroll is right:
support payroll checks and reconciliations, identify discrepancies and learn how to investigate and resolve them.
Keep our payroll operations organised:
maintain payroll documentation, trackers and internal controls so that information is accurate, accessible and reliable.
Support our employees:
help respond to payroll-related questions and collaborate with People Operations, Finance and our external partners when needed.
Grow your ownership:
as your knowledge develops, progressively take responsibility for more complex payroll activities.
Help us work smarter:
bring curiosity and fresh ideas to how we operate, contributing to the improvement and automation of our payroll processes.
What you'll need
🤝
You’re at the beginning of your career and genuinely interested in developing your expertise in
Payroll and People Operations
.
You have studied or are currently studying
Labour Relations, Human Resources, Business Administration, Finance, Accounting
or a related field.
You’re comfortable working with
numbers, spreadsheets and detailed information
, and you naturally pay attention to accuracy.
You’re organised, proactive and curious, and you’re comfortable asking questions when you don’t know something.
You enjoy understanding
how and why things work
, rather than simply following a process.
You’re comfortable handling confidential information responsibly.
You can work professionally in
Spanish
and have a good level of
English
.
Previous exposure to
A3innuva or other payroll software
would be a plus.
Previous experience in Payroll or HR administration is welcome, but

By uniting applied AI research, flexible infrastructure, and seamless developer tooling, we enable companies operating at the frontier of AI to bring cutting-edge models into production. We're growing quickly and recently raised our $1.5B Series F https://www.baseten.co/blog/announcing-our-series-f/, led by Altimeter Capital, Conviction Partners, and Spark Capital. Join us and help build the platform engineers turn to ship AI products.
THE ROLE
As a Global Capacity Manager at Baseten, you will lead the "engine room" of the company, architecting, securing, and optimizing the global GPU fleet that powers our customers' AI workloads. You’ll own the end-to-end journey of capacity management, from securing multi-million dollar GPU clusters to building the automation that ensures 99.9% uptime across multi-cloud environments.
This role is a great fit for entrepreneurial engineers who want to bridge the gap between high-finance asset management and deep infrastructure engineering. You will act as the fleet orchestrator for the world's most advanced chips, ensuring Baseten never experiences a capacity outage while maintaining elite unit economics.
To be clear, this is a high-stakes engineering role. You will be hands-on with Kubernetes
orchestration while also leading specialized pods focused on the next generation of hardware, like NVIDIA’s Blackwell (B200) architecture.
EXAMPLE INITIATIVES
- The B200 Frontier: Architecting the infrastructure readiness and deployment strategy
for Baseten's first Blackwell GPU clusters.
Global Workload Orchestration: Building "Multi-cloud Capacity Management" systems
to move customer workloads seamlessly across regions to optimize cost and latency.

and repair unhealthy H100 nodes in under an hour.
- The Supply Chain of Intelligence: Partnering with leadership to secure and reserve
dedicated capacity for Baseten’s largest enterprise customers.
RESPONSIBILITIES
- Lead Specialized Pods: Act as the lead for specific GPU pods (e.g., H100 or B200),
managing the full lifecycle of acquisition, air traffic control, and maintenance for those
assets.
- Advanced Orchestration: Execute complex workload migrations and "sticky"
deployment drains, ensuring deployment scheduling rules meet strict regional and
compliance requirements.
- Build for Scalability: Design and implement the "next version" of Baseten’s capacity
management system to handle a 10x increase in GPU volume.
Financial Modeling: Leverage your understanding of unit economics to build ROI
models for GPU spend, ensuring Baseten scales profitably.
- Cross-Team Collaboration: Partner with SRE, Infra, and FDE teams to take discrete
operational tasks off their plate and verify "last mile" follow-through on infrastructure
changes.
- Incident Response: Lead capacity-crunch response by rapidly untainting and re-
coordinating workloads during high-pressure outages.
REQUIREMENTS
- Bachelor's, Master's, or Ph.D. degree in Computer Science, Engineering, Mathematics,
or a related field
- 5+ years of professional work experience in a high-growth environment, preferably at a
hyperscaler (GCP, AWS, Azure) or a specialized GPU provider
- Deep expertise in Kubernetes, including hands-on experience with taints, cordons, node
draining, and custom operators
- Demonstrated experience with Go or Python in a production-level environment
Strong financial literacy and the ability to model complex trade-offs between capacity
reliability and cost
- High tenacity and collaborative mindset
BENEFITS
- Competitive compensation, including meaningful equity
- (U.S. only) 100% coverage of medical, dental, and vision insurance for employee and dependents
- Flexible PTO policy including company wide Winter Break (our offices are closed from Christmas Eve to New Year's Day!)
- Paid parental leave
- Fertility and family-building stipend through Carrot
- (U.S. only) Company-facilitated 401(k)
- Exposure to a variety of ML startups, offering unparalleled learning and networking opportunities.
Apply now to embark on a rewarding journey in shaping the future of AI! If you are a motivated individual with a passion for machine learning and a desire to be part of a collaborative and forward-thinking team, we would love to hear from you.
At Baseten, we are committed to fostering a diverse and inclusive workplace. We provide equal employment opportunities to all employees and applicants without regard to race, color, religion, gender, sexual orientation, gender identity or expression, national origin, age, genetic information, disability, or veteran status.
We are an Equal Opportunity Employer and will consider qualified applicants with criminal histories in a manner consistent with applicable law (by example, the requirements of the San Francisco Fair Chance Ordinance, where applicable).

MISSION
Alan is scaling internationally (800+ employees, 100+ healthcare professionals, 5+ countries) and needs IT Engineers to build and own the internal technology platform every Alaner works on: identity and provisioning, endpoint and SaaS security, the tooling behind our clinics, and the automation that keeps IT from scaling linearly with headcount.
The scope below is what the team owns, not a checklist for one person. You'll be staffed on one or two of these areas at a time, according to your strengths and interests, and it will evolve through time based on company needs and personal appetite.
Staying close to users keeps us building the right things: you'll spend up to one day a week on IT support, seeing first-hand where friction lives and what's worth automating next.

- Own and extend automations on Alan Home, our internal provisioning engine
- Maintain, extend and improve helpdesk automation, SaaS provisioning flows, and onboarding/offboarding pipelines
- Own the meeting room AV and room-booking platform as a product, replicable across offices
🔑 IDENTITY & ACCESS
- Own the IT side of the employee lifecycle (onboarding, offboarding, mobility between jobs and countries) across Google Workspace, SSO/SAML and our SaaS ecosystem.
- Grow our role-based access model: extend it to more tools and refine the permission groups, so access is granted by role rather than case by case
- Make employee lifecycle events reliable, fast and auditable end-to-end
- Own access reviews and least-privilege models; produce and maintain the evidence our auditors rely on
- Own SaaS procurement and license management: vendor relationships, renewals, and cost optimization across our stack
🔒 ENDPOINT & SAAS SECURITY
- Own the Mac fleet in Kandji: enrollment at scale, role-based blueprints, fleet compliance
- Cloudflare WARP, SaaS security controls
- Maintain and strengthen our ISO 27001 certification and drive ACPR and pentest remediation on the endpoint and platform scope
🩺 HEALTH PROFESSIONALS IT
- The IT layer behind Alan's clinics: practitioner tooling, equipment, access
- Role and permission automation for healthcare professionals, and their support and escalation process
🌍 INTERNATIONALISATION
- Make international expansion something IT accelerates, not something it slows down: a repeatable process where every new market (Canada, KSA, Armenia...) launches on our standard stack from day one
- Bring acquired entities onto that same platform
MILESTONES
First 3 months
- Acquire technical knowledge on Alan's platform: Alan Home, Google Workspace/SSO, Kandji, Cloudflare WARP
- Take one project end-to-end and ship a first increment
- Join the IT oncall team as technical escalation
First 6 months
- Own a workstream end-to-end
- Deliver one automation or hardening initiative end-to-end
- Take up documentation and automation on your scope and reduce significantly the bus factor on it
- Mentor IT teammates on your core expertise
First year
- Deliver measurable IT toil reduction on your scope
- Set the technical standards on your domain: how we build, document and review it
- Build strong cross-functional partnerships (Engineering, Security, Workplace, Clinic, People, Audit)
- Contribute to hiring and onboarding new teammates
3 years
- Lead major projects end-to-end across several communities
- Be the reference the team relies on across at least two domains
- Mentor the IT team and beyond, and scale IT without a linear increase in manual work
As the community grows, there is room to take on more responsibility: leading a crew, owning cross-community projects, mentoring, hiring.
WHAT WE'RE LOOKING FOR
Must-have - Technical/hard skills:
- 3+ years in IT engineering, platform, systems or corporate engineering, with real ownership of production-facing systems
- Depth in at least one area (platform & automation, identity, endpoint & security) and demonstrated range beyond it.
- You write code: not as a full-time software engineer, but Python, APIs and pull requests in a shared repo should feel normal
- Structured problem-solving: diagnoses methodically, asks the right clarifying questions, thinks about failure modes and rollback
- Comfort with regulated environments: health data, ACPR, ISO 27001, HDS
- Automation & AI appetite: uses AI tools smartly to accelerate their own delivery, with an instinct for what should be automated or delegated to AI rather than repeated
Must-have - Behavioral / soft skills:
- Ownership & autonomy: drives topics forward without hand-holding, including when they cross into someone else's perimeter
- Written communication: Alan is written-first; decisions get argued in public documents and challenged by people outside your team
- Pragmatic judgment: balances "perfect" vs. "good enough", decides with incomplete information
- Documentation culture: reduces bus factor through clear documentation and knowledge sharing
Nice-to-have skills / Bonus points if you have:
- Experience with an internal provisioning or IdP-driven automation platform
- Kandji or another MDM at scale
- Cloudflare Zero Trust / WARP, Datadog
- Audit remediation experience (ISO 27001, HDS)
- Multi-country rollouts, or IT integration after an acquisition
- Having mentored, coached or led a (small) crew
- Health or healthtech ecosystem familiarity

HEALTH CAN’T WAIT.
Not for symptoms to get worse. Not for a six‑month appointment. Not for a system to catch up. But that’s exactly how healthcare works today. You wait, until you can’t.
Alan exists to end the wait.
Health is a universal right, and we believe this right can only become real when it’s coupled with prevention. We need to stop treating health as something we repair and start treating it as something we build, every day. It’s not solely a question of willpower. It’s the healthcare system itself that needs to work for everyone, in a sustainable way.
So we are building the new standard in prevention insurance. Alan is the first company that integrates insurance, prevention, and care into a single, acclaimed user experience.
We are on an incredible journey to build a global leading company, with a unique culture https://alan.com/en/careers. We already partner with 40K+ companies of all sizes, serving more than 1M+ members, and have reached €800M+ in ARR.
Prevention as the new norm. That's what we're building with our team of 1000+ people. If it speaks to you: we're hiring across France, Spain, Belgium, and Canada. And beyond.
WHAT YOU WILL DO
- Employee experience — own the pre-boarding and onboarding operations end to end, and continuously improve the process so every new Alaner's first weeks feel smooth and well-supported.
- People operations — get hands-on with the fundamentals of HR and be the first point of contact for Alaners navigating day-to-day requests.
- Individual situations — shadow, then gradually own simple individual situations, learning how to guide leads and coaches through sensitive conversations with care and structure.
- Learning and development — coordinate and improve our training programmes for leads and coaches, help measure their real-world impact, and iterate based on what the data tells you.
- Automation and AI — spot what is still manual and should not be, then build the automations to fix it. We use Claude and Dust — you will too.
- Data and reporting — track key People metrics, turn them into clear insights, and make sure the team always knows what is working and what is not.
- Documentation — write and maintain clear, user-friendly documentation so Alaners can self-serve and leads can act with confidence without always needing to ask.
PERKS AND BENEFITS
- All the tools you need. Top of the range equipment: Macbook Pro, keyboard, laptop stand, monitor, and Bose noise-canceling headphones.
- Delightful healthcare insurance. Extremely comprehensive health insurance - 100% of the contribution covered by Alan for you and your family, for permanent contracts only.
- Transport. Country-specific commuter benefits.
- Learning & Training opportunities. A highly flexible Training policy free books and budget to attend and speak at conferences if the opportunity arises.

MISSION
Alan is scaling internationally (900+ employees, 100+ healthcare professionals, 5+ countries) and needs IT Operations Specialists to own device security, SaaS platforms, identity & access, and the daily IT experience of every Alaner, while contributing to build projects that remove operational toil.
IT at Alan is more than just a helpdesk. Operations and support ('Run') take roughly 60% of your time initially, while the rest goes toward owning project-based initiatives ('Build') tailored to your experience level.
As you ramp up alongside senior engineers, your focus will naturally shift toward more build-focused work with wider impact.
The scope below is what the team owns, not a checklist for one person. We staff people according to their strengths and interests, and it evolves over time.
SCOPE
🛟 SUPPORT & ONCALL
- Own L1/L2 oncall for 900+ Alaners across 5+ countries, with a clear escalation path to engineers
- Triage, communicate to users during incidents, and escalate appropriately
- Document recurring issues and reduce ticket volume through self-service
💻 DEVICE LIFECYCLE & ENDPOINT COMPLIANCE
- Own the full device lifecycle: procurement, zero-touch enrollment (Apple Business Manager, Kandji), repair, retrieval
- Maintain role-based Kandji blueprints and least-privilege configurations
- Contribute to device compliance across all countries (MDM, EDR, FileVault) and to audit evidence
- Own the physical side: laptop locker, hardware inventory, office equipment
- Take over day-to-day device operations as we bring them back in-house from our outsourced provider
🔑 IDENTITY, ACCESS & SAAS PLATFORMS
- Own onboarding and offboarding end-to-end, across both automated and manually-managed tools
- Administer Google Workspace, SSO/SAML, licences and access reviews
- Manage day-to-day vendor relationships and procurement on your scope
⚙️ BUILD
- Own a build project end-to-end, with a more experienced engineer to pair with and learn from
- Examples from the current roadmap: rebuilding the onboarding intake, the meeting room audiovisual equipment and room-booking revamp, the IT playbook for new offices, ISO 27001 / ACPR evidence collection
- Ship automation and self-service tooling that measurably reduces IT toil
MILESTONES
First 2 months
- Join IT oncall rotation (helpdesk) with buddy/shadowing support
- Discover Alan's processes, stack (Kandji, Apple Business Manager), SaaS ecosystem, and identity tools (Google Workspace, SSO, Alan Home)
- Handle most typical IT operations issues autonomously (equipment, SaaS access, account provisioning)
First 6 months
- Handle IT oncall shifts autonomously, solving most problems that do not require engineer input
- Own onboarding/offboarding workflows end-to-end
- Have wide knowledge of Alan's processes, equipment, and tools
- Ship a first project
First year
- Be regarded as an expert on at least one topic beyond the oncall rotation (e.g. MDM, SaaS admin, compliance documentation)
- Contribute on device compliance improvements (MDM, EDR, FileVault) across all countries
- Ship automation or self-service projects that measurably reduce IT toil, with limited guidance
- Lead small to medium IT projects end-to-end
3 years
- Fully autonomous on the User Experience & Platform workstreams
- Lead medium to high-complexity IT projects end-to-end
- Mentor newer team members, reduce bus factor through documentation, automation and knowledge sharing
WHAT WE'RE LOOKING FOR
Must-have - Technical/hard skills:
- 1-3 years in IT operations (or strong internship / student association background in a tech environment): device management (MDM, ideally Kandji), SaaS administration, basic identity & access management (Google Workspace, SSO)
- Operational reflexes: can triage issues, communicate to users during incidents, and escalate appropriately. Has oncall or production support experience
- Automation & AI appetite: scripting basics (Python, Bash) or low-code, and an instinct for what should be automated or delegated to AI rather than repeated
- Documentation mindset: writes clear, structured documentation
- Learning velocity: Picks up new tools and processes quickly.
Must-have - Behavioral / soft skills:
- Written-First Communication: Clear, effective written communicator who instinctively documents workflows, shares knowledge transparently, and thrives in an asynchronous work culture.
- Empathetic Problem-Solving: Balanced user-first service mindset with operational pragmatism—delighting colleagues while diagnosing root causes rather than applying band-aid fixes.
- Autonomous Growth: Self-directed problem solver who takes early project ownership, learns rapidly alongside senior engineers, and actively seeks feedback to level up.
Nice-to-have skills / Bonus points if you have:
- macOS fluency: comfortable troubleshooting macOS, understands the Apple ecosystem (Apple Business Manager, DEP enrollment)
- Experience with Kandji specifically
- Exposure to security compliance frameworks (ISO 27001, SOC 2, HDS), even just awareness
- SaaS vendor management and/or license administration
- Interest in automation and coding (even from college/school projects)
- Experience in a fast-growing, multi-country tech company

We are looking for an experienced Partnership Manager to join our Accountant Partnerships team in France, specifically focused on building and developing relationships with accounting firms and accountant networks.
The core purpose of this role is to turn accounting firms into long-term Alan partners and advocates. You will help them recommend Alan to their clients, improve their day-to-day experience with health insurance and payroll administration, and generate qualified business opportunities for Alan’s Sales teams.
The accountant ecosystem represents a significant growth opportunity for Alan. France has approximately 22,000 accounting firms supporting around 3.5 million companies, and Alan’s existing Accountant Partnership channel has already generated significant ARR through a relatively small number of partners.
The team is now entering a new phase of development. We are hiring new Partnership Manager to help build a scalable, high-performing partner network and contribute to Alan’s ambition to make Accountant Partnerships a strategic growth channel.
Here is how your key outcomes will look like:
1. Build and grow a strong partner network: Identify, prioritise and develop relationships with high-potential accounting firms and networks.
2. Drive partnerships from discussion to activation: Lead partnership discussions, onboarding and launch, ensuring that Alan creates value for both accountants and their clients.
3. Activate partners and generate business opportunities: Build engagement plans, support partner enablement and work closely with Sales to turn recommendations into qualified opportunities.
4. Help scale the Accountant Partnerships model: Manage partner performance, share insights with internal teams and contribute to the development of scalable playbooks, tools and processes.
⭐ IS IT YOU WE’RE LOOKING FOR?
We’re looking for someone who combines strong partnership and commercial skills with the ability to build trusted relationships in a complex and evolving B2B ecosystem.
The ideal candidate will be comfortable managing partnerships from initial contact to activation and long-term development. They should enjoy working autonomously in an environment where there is still a lot to build.
You may be a great fit at Alan if you have/are:
- 5+ years of experience in partnerships, business development, account management or customer success in a B2B environment
- Experience managing partnerships throughout the full lifecycle, from prospecting and closing to activation and ongoing relationship management
- Experience managing a portfolio of partners, ideally in a fast-growing company
- Strong negotiation, communication, presentation and relationship-building skills
- A data-oriented mindset, with the ability to track performance and prioritise opportunities
- The ability to collaborate effectively with Sales, Marketing, Product, Data and Operations teams
- An entrepreneurial mindset, strong ownership and the ability to work autonomously
- Full professional fluency in French and professional fluency in English
Experience working directly with accounting firms, payroll providers, HR software or insurance companies would be a strong plus.
We are particularly interested in candidates who have experience with B2B distribution partnerships, where a third party recommends or distributes a solution to its own customers. Experience limited to technology integrations, co-marketing or visibility partnerships would be less relevant for this role.
For this opportunity, we are aiming to hire within the C0-D level https://alan.com/en/careers/a/salary-equity.
Everything else is a plus. We care about having a diversity of experiences, profiles and backgrounds in our team.

ABOUT BASETEN
Baseten powers mission-critical inference for the world's most dynamic AI companies, like Cursor, Notion, OpenEvidence, Abridge, Clay, Gamma, and Writer.
THE ROLE
We're looking for a hands-on Operations Manager to own the operational and analytical supply side of our GPU fleet. Key focus areas: GPU fleet lifecycle, health, observability, utilization monitoring, and remediation across our neocloud and bare metal environments.
We contract for a fixed amount of compute capacity. GPUs drift from healthy to unhealthy over time, and this role minimizes that downtime to keep the maximum number of GPUs healthy at any given moment.
This is an operator role, not people management. You'll drive execution through clear processes, metrics, reporting, vendor coordination, and cross-functional alignment.
RESPONSIBILITIES
- Drive suppliers to keep the maximum amount of the GPU fleet online and healthy.
- Maintain a live reconciliation of contracted vs. provisioned vs. healthy vs. utilized capacity, broken out by supplier and by cluster maximizing the number of healthy GPUs.
- Supplier-attributed fleet health accountability: own replacement SLAs, mean time to repair (MTTR), and RMA cycle times for every in-scope supplier.
- SLA monitoring, credit claims, and remedy enforcement: track SLA performance against contract terms, file and pursue credit claims, and drive remediation plans when suppliers fall short.
- Drive internal communications where suppliers need to perform maintenance to ensure all Baseten stakeholders are aware of activities that impact availability.
Scope and Approach
- Flexibility: this list covers the core of the role, not the limit of it. You'll be asked to take on adjacent work as the function evolves and as new gaps surface.
- Ownership mindset: we need someone who treats "whatever it takes" as a genuine operating principle, not a line in a job posting. If something falls outside a defined lane but inside the overall goal of closing the capacity gap, it's yours to pick up.
REQUIREMENTS
- 5 to 10+ years within infrastructure working within the compute lifecycle to maximize functional compute, ideally in a hyperscale, cloud, or large-scale compute environment.
- Direct experience managing GPU, server, or data center hardware supplier relationships. You understand fleet health, RMA processes, and how contracted capacity differs from delivered capacity.
- Highly analytical. You should be comfortable pulling your own data, building your own reports, and generating insights without waiting on someone else to hand you a dashboard.
- Comfortable with ambiguity. Part of the job is figuring out what should exist and building it.
- Strong cross-functional collaboration skills. You'll work closely with finance, infrastructure/engineering, legal, and security on a regular basis.
NICE TO HAVE
- Experience at a hyperscaler, neo cloud provider, or AI infrastructure company
- Familiarity with GPU hardware lifecycles (NVIDIA H100/H200/GB200 class systems), power/thermal constraints, and supply chain dynamics for compute.
- Experience running formal supplier corrective actions.

You will own Alan’s yearly flagship event, building on the success of Alan 10, and help make it an even stronger moment for brand, community, customers, prospects, partners, and the wider healthcare ecosystem. Beyond the flagship event, you will build the operating system that enables commercial and local teams to run high-quality events repeatedly and consistently.
It is a senior individual-contributor role that owns the global event system and makes other teams more autonomous and effective.
You will lead the global strategy and execution of Alan’s major Brand events, while owning the execution of local Brand events in France. You will create the playbooks, standards, templates, and measurement frameworks that allow teams across markets to deliver high-quality events without reinventing the wheel each time.
You will also contribute to the Brand team’s global community-event strategy, identifying the formats and moments that can make Alan more visible, credible, and memorable to the communities we want to influence.
You’ll equip local teams with the right local approach and assets, and support them as they adapt and run events in their markets.
MAIN RESPONSIBILITIES
1. Own Alan’s yearly flagship event
- Participate in the definition of the event’s purpose, audience, positioning, narrative, and success criteria.
- Build the event roadmap, budget, and production plan.
- Manage agencies, venues, suppliers, speakers, partners, and internal stakeholders.
- Coordinate content, creative, production, guest management, press, influencers, Sales, and local market teams.
- Design a high-quality guest experience before, during, and after the event.
- Connect invitations, registration, CRM tracking, attendance, and follow-up.
- Run rehearsals, speaker preparation, run-of-show management, and on-site execution.
2. Build Alan’s recurring event playbook
- Define the main event formats and their intended purposes, such as owned events, executive dinners, round tables, speaking opportunities, trade shows, and partner events.
- Create practical templates for briefs, timelines, budgets, approvals, execution, production, and follow-up.
- Help define the role of commercial teams before, during, and after the event.
- Create reusable content, event assets, checklists, and quality standards.
3. Support local teams on local events
- Help local teams choose the right format and define the desired outcome.
- Review briefs and plans, provide feedback, and raise the quality bar.
- Identify successful local formats that could be scaled globally.
4. Help shape and execute Alan’s community-event strategy
- Contribute with the Brand team to the Community building strategy
- Design recurring event franchises and formats.
- Build partnerships with relevant organizations, experts, customers, and opinion leaders.
- Run test-and-learn initiatives that can start locally and scale globally.
PROFILE & COMPETENCIES
We are looking for someone who has:
- At least 5 years of experience delivering events end to end, ideally in a Brand, B2B marketing or agency environment.
- A track record of creating original event concepts and formats, not only executing a brief.
- Strong editorial judgement: the right angle, speakers and content to make an event memorable.
- Brand creativity: a clear point of view on how an event expresses a brand.
- Experience running complex events with multiple stakeholders, agencies, suppliers and speakers (including profiles with special logistics and security needs).
- Strong production skills: planning, budgeting, vendor and risk management, rehearsals and on-site delivery.
- Experience building repeatable processes, playbooks or templates.
- A strong understanding of how events drive brand, community and commercial outcomes, and comfort with CRM, registration, lead capture and follow-up.
- Experience working with Sales, Marketing, PR, Creative and local market teams.
- Fluent in French
- Strong written and verbal communication skills in English.
- Based in (or willing to relocate to) Paris, and willing to travel across international markets.

And beyond.
⭐️ OPERATIONS AT ALAN
The Operations Community’s core responsibilities is to deliver at scale our insurance and health services : we build our platform and operational capabilities and run our processes to guarantee delight and efficiency.
As we anchor our Insurance position, diversify our offering with health and well-being related services in 4 different countries (France, Belgium, Spain and Canada), our operations are increasingly complex and our challenges ahead have never been as exciting!
Being an Ops at Alan means joining a team of 50+ talented, committed and passionate Ops across our countries, with a lot of interactions with Engineering, Product, Care and many other teams at Alan.
We have a mix of Builder profiles, focused on (re)designing and implementing our processes and Operations Experts who deliver those on a daily basis while improving them.
We want team members to deliver excellence to our companies and members and be ready to disrupt (and not only upgrade) the way we traditionally think about insurance or healthcare services.

🌍 FOR THIS ROLE, YOU NEED TO BE BASED IN FRANCE, BELGIUM OR SPAIN 🌍
The Operations Expert works on a specific subset of services we deliver (eg. claim reimbursement, fraud, clinic to name a few) .
Their core responsibilities (+- 70/80% of the time) are to:
- Run our Insurance or Health services processes - that's why we call them Ops Runners internally 😉
- Ensure the day-to-day follow up and monitoring of our operations
- Flag risks and opportunities
In details, your missions are:
- Operating our processes: performing tasks like invoicing or claims treatment, growing and managing our network of providers, supporting internal teams (live and through documentation)
- Contributing to the definition & owning the best monitoring scheme to track volumes/efficiency/SLAs, and identify risks and areas of improvement, internally or with our service providers
- Supervising partnerships (e.g. teleconsultation, claim operators), participating in the negotiation rounds, daily communication to ensure business continuity
- Performing controls on our daily operations to make sure the correct decisions were made and to identify training needs (internally as well as externally)
- Escalating feedback, helping to prioritise and supporting initiatives to make our processes and services more delightful and efficient
Next to running and monitoring our operations, you implement continuous improvements to our processes (+-20/30% of the time). This can be in a variety of ways, e.g. working with product teams to automate certain processes, enhancing our external communication, auditing our processes, automating some process steps using automation tools, …
⭐️ OUR RUN ORGANISATION ⭐️
Our Operations Experts are organized in pools (3-7 runners) who are collectively responsible for running their scope. Examples of topics are:
Alan therapy: members can book a therapy session with psychologists. You maintain smooth relationships with our psychologists, ensure therapy demand matches the supply and contribute to several steps of their lifecycle at Alan (hiring, onboarding, invoicing, supporting booking management etc).
Claims: We provide a best-in-class claims experience, including our own optic care service. You treat claims and assist in decisions regarding our coverage. Additionally, you monitor the performance of external service providers to meet SLAs & perform quality controls. You ensure glasses get delivered on time, member satisfaction is high, our frame collection is attractive, collaboration with opticians is smooth and efficient, ….
Fraud: We run checks on claims submitted by our members, and build new ways of preventing fraud attempts. You investigate suspicious claims, prevent fraudulent payments or recover when we paid fraudulent claims.
Set up: We provide best-in-class experience to our Customers : a smooth on/offboarding of their employees and a seamless invoicing or billing. To do so, we continuously control & improve the quality of our processes : ensuring we have consistent information for invoicing, unlocking employee invite/removals in case of issue and supporting admin in case of payment issue or bankruptcy.
Note: We look for profiles able to embrace any challenge and jump in any pool ! Depending on Alan needs (and personal interests), an Operations Expert will join in a pool and can change and explore new scopes after some time. Do not hesitate to ask more concrete examples to the Operations Team Members you’ll meet during the process so they can share about their own scope.
⭐️ EXPERIENCE ⭐️
For this opportunity, we are aiming to hire within the A2-B1 level range https://alan.com/en/careers/a/salary-equity.

- Operated processes and services especially for companies during the scale up stage or in industrial/logistic industries
- Worked in Support functions (Customer Support, People Operations etc)
- Had a Customer facing Commercial experience, e.g. account manager or Customer Success Communications, such as Social Media, Internal/ External Communications
- Handled event coordination
⭐️ SKILLS ⭐️
- Passionate about delivering & optimizing top notch operations: not scared to get your hands dirty to get into technical processes, making them clear and delightful for our operators and members
- A keen problem-solver and challenger with a dig deep mindset: what drives you is member and customer satisfaction !
- Analytics skills, to be able to dive into our data
- Highly organised with exceptional follow-up skills, with strong attention to details
- Strong and structured in written and verbal communication in English as well as in French or Dutch
- Able to work and learn independently in a fast-paced environment
- Adaptable: you show flexibility and a strong ability to adapt to variable situations
- It’s even better if you have experience in the insurance or the healthcare industry
