About Nebius:
Nebius is leading a new era in cloud infrastructure for the global AI economy. We are building a full-stack AI cloud platform that supports developers and enterprises from data and model training through to production deployment, without the cost and complexity of building large in-house AI/ML infrastructure.
Built by engineers, for engineers. From large-scale GPU orchestration to inference optimization, we own the hard problems across compute, storage, networking and applied AI.
Listed on Nasdaq (NBIS) and headquartered in Amsterdam, we have a global footprint with R&D hubs across Europe, the UK, North America and Israel. Our team of 1,500+ includes hundreds of engineers with deep expertise across hardware, software and AI R&D.
The Role:
Nebius is growing quickly in Asia Pacific and Japan, and our Singapore office is the regional base for our go-to-market team. We are looking for a senior Executive Assistant and Office Manager who will be the right hand to the APJ General Manager, the operational backbone of the Singapore office, and a trusted partner to the Sales and GTM teams on the ground.
This is a hybrid role with three equal pillars: high-level executive support, hands-on office and workplace management, and day-to-day commercial support for the in-region sales and GTM organisation. You will free the GM to focus on growing the business, help the sales team move faster, and make sure colleagues and visitors experience a well-run, welcoming workplace.
Responsibilities:
Executive support to the APJ General Manager
Manage the GM's calendar, prioritising meetings across APJ, EMEA and US time zones.
Coordinate complex regional and international travel, including itineraries, visas, expenses and logistics.
Prepare meeting materials, agendas, briefing notes and follow-up actions.
Screen and manage correspondence, acting as a trusted point of contact for internal and external stakeholders, including customers, partners and senior visitors.
Support the GM's leadership meetings, offsites, customer events and regional business reviews.
Handle expense reports, invoices and other administrative tasks for the GM.
Handle confidential information with the highest level of discretion.
Sales and GTM team support
Act as the first point of contact for the Singapore-based Sales, Partnerships and GTM teams, coordinating requests for information and support.
Support CRM hygiene (Salesforce/HubSpot): data entry, report generation and pipeline tracking, in partnership with Sales Operations.
Coordinate the preparation of proposals, contracts and client-facing materials, and liaise with Finance, Legal and Operations on order processing and accuracy.
Assist with weekly and monthly sales performance reports, dashboards and KPI tracking, and help prepare leadership presentations.
Organise customer meetings, executive briefings, workshops and on-site visits, including room, catering, hospitality and visitor logistics.
Plan and run team events, offsites, kick-offs and regional GTM gatherings.
Support onboarding of new sales and GTM hires, including desk, access, equipment, system access, training schedules and materials.
Manage team communication channels (email, Slack) for announcements and updates, and provide ad-hoc support for strategic initiatives.
Office management and operations
Oversee the day-to-day operations of the Singapore office.
Manage relationships with landlords, building management and service providers, holding them to agreed service levels.
Coordinate maintenance and facilities issues, and escalate and resolve them promptly.
Manage office access, visitor protocols, and mail and courier handling.
Support seating plans, space usage and small-scale office improvements as the team grows, including future expansion or relocation planning.
Safety, security and compliance
Maintain a safe, secure and compliant office, including emergency procedures, fire safety, first aid and evacuation drills.
Coordinate with building management on security and access control.
Support business continuity and incident response for the Singapore office.
Keep records and documentation in line with local regulations (including MOM requirements) and Nebius policies.
Employee experience
Create a welcoming environment for colleagues and visitors, from arrival to day-to-day service.
Host visits from global colleagues and coordinate their travel and workplace needs.
Partner with HR and IT on new joiner readiness.
Collect feedback and suggest improvements to the workplace experience.
Budget, vendors and reporting
Manage the Singapore office budget, including purchase orders, invoice processing, cost tracking and forecasting support.
Work with Finance and Procurement on vendor onboarding, contracts and renewals.
Track office KPIs, recurring issues and costs, and report to the GM and the global Workplace team.
Stakeholder collaboration
Work closely with HR, IT, Security, Finance, Legal, Sales Operations and global Real Estate & Workplace teams.
Act as the Singapore workplace representative in regional and global initiatives.
Communicate proactively about office changes, disruptions and events.
What we expect you to have
8+ years of experience as an Executive Assistant, Office Manager or similar, ideally supporting senior or C-suite leaders.
Experience managing office operations, vendors and facilities in Singapore or the wider APAC region.
Experience supporting a sales or commercial team, with working knowledge of CRM tools (Salesforce, HubSpot) and sales reporting.
Strong organisational skills and the ability to prioritise competing demands independently in a fast-paced environment.
Excellent written and spoken English, with the ability to build trust at all levels, from the C-suite to customers and visitors.
High discretion, maturity and sound judgement with confidential and sensitive information.
Proficiency in Microsoft 365 (especially Excel, PowerPoint and Outlook) and comfort with budgets, purchase orders and basic financial tracking.
A calm, proactive, service-minded and 'can-do' approach, including in high-pressure situations.

Bachelor's degree in business administration, hospitality, facilities management or a related field.
Benefits & Perks:
Competitive compensation
Career growth and learning opportunities
Flexibility and ownership
Collaborative and innovative culture
Opportunity to work on impactful AI projects

The role
THE ROLE
We are hiring a
Senior Backend Engineer
for two platform products:
Xsolla ID
is the identity and authentication platform behind sign-in, account management and SSO across Xsolla products.
Xsolla ZK
is Web3 wallet infrastructure: smart wallets and account abstraction on a zkSync-based L2.
Both products sit on users' most sensitive flows, logging in and signing transactions, and other Xsolla teams build on top of them.
WHAT YOU WILL OWN
The backend services of your product area end to end: design, implementation, release and production operation, including on-call
Architecture across services: service boundaries, integration contracts and data ownership. You make these decisions and justify them in writing
Reliability and security of critical flows: SLOs, failure handling, protection of user data and credentials
Service performance and cost under load
WHAT YOU WILL DO
Design and build services and APIs (REST, gRPC) for authentication, account management and wallet operations
Define service boundaries and integration contracts with other Xsolla teams
Design data models and storage; optimize schemas and queries
Build event-driven and asynchronous workflows
Own observability: metrics, logs, tracing and alerting, and act on what production tells you
Take part in on-call, incident response and post-mortems
Improve the engineering environment: CI/CD, infrastructure-as-code, testing
Review code
Set up and maintain AI tooling in the repositories (Claude Code, Codex, Cursor: rules, context, harness) so the team uses it effectively
Responsibilities
Language and platform
5+ years of commercial backend development
Go: idiomatic code, concurrency (goroutines, channels, context and cancellation), memory and performance profiling (pprof)
Data
Relational databases (PostgreSQL, MySQL): schema design, indexes, query plans, transactions and isolation levels, safe migrations
Caching (Redis): when to cache, invalidation, consistency trade-offs
Distributed systems
Service architecture and distributed-systems trade-offs: consistency, availability, idempotency, retries, failure modes
Asynchronous messaging and event-driven design (Kafka, RabbitMQ or NATS): delivery guarantees, ordering, reprocessing
APIs
Designing REST and gRPC APIs: versioning, backward compatibility, contract documentation (OpenAPI / Swagger, Protobuf)
Security and identity
Application security: common vulnerability classes (OWASP Top 10), secrets management, safe handling of user data
OAuth 2.0 / OIDC from the server side: flows, tokens, sessions
Operations
Containers and orchestration (Docker, Kubernetes) at the level of deploying and debugging your own services
Observability (we use Datadog; experience with Prometheus, Grafana, ELK / Graylog or OpenTelemetry also counts): metrics, logs, tracing and alerting; diagnosing incidents in production
Engineering practices
Testing: unit, integration, contract
Git, CI/CD (GitLab CI or similar)
AI-assisted engineering
Daily hands-on use of AI coding tools (Claude Code, Codex, Cursor) for development and review, including configuring them for a repository
English
Reading technical documentation in English
Nice to Have
Web3 backend experience: blockchain integration, wallet infrastructure, account abstraction
High-load systems
Cloud platforms (GCP, AWS or Azure) and infrastructure-as-code
NoSQL databases (MongoDB or similar)
Domain experience in gaming, e-commerce, fintech or payments
HOW WE WORK
Decisions in writing.
Significant technical decisions are written up as an RFC or ADR that lays out the options and trade-offs. We discuss the document, not a blank whiteboard.
AI is part of everyday engineering.
We use AI coding tools for development and review, and we treat configuring them for a codebase as real engineering work.
HOW WE HIRE
Intro call.
Your background, your motivation and the role.
Technical interview.

Bar raiser.
An engineer from outside the hiring team checks that you raise the overall engineering bar.
THE TEAM
You will work alongside product managers, designers, backend and frontend engineers, QA and DevOps.
BENEFITS
We are passionate about fostering a supportive environment for our team, so we prioritize the physical, mental, and emotional well-being of our employees and their families through a comprehensive Benefits Program. This includes medical, dental, and vision, PTO, and a personalized career roadmap for each employee. That makes you a key voice in shaping how we build and deliver ongoing value as a business.

Monitor usage patterns and identify optimization opportunities, proactively addressing underutilization across both our consumption-based and seat-based products to drive full value from contracted commitments
Serve as the customer's thought partner, enhancing their knowledge of Claude products by socializing Anthropic's product roadmap, driving awareness of new products, and engaging Product PMs as the voice of Japanese customers
Document and quantify customer value realized through business outcomes, ROI, and impact metrics to build compelling internal business cases for continued and expanded investment
Identify potential use cases and lines of business not currently onboarded, partnering with customers to discover new applications for Claude across different departments, teams, and workflows
Develop and execute change management strategies to drive end-user adoption and maximize value within customer organizations, including Train the Trainer programs, Center of Excellence development, and organizational enablement

How we're different
We believe that the highest-impact AI research will be big science. At Anthropic we work as a single cohesive team on just a few large-scale research efforts. And we value impact — advancing our long-term goals of steerable, trustworthy AI — rather than work on smaller and more specific puzzles. We view AI research as an empirical science, which has as much in common with physics and biology as with traditional efforts in computer science. We're an extremely collaborative group, and we host frequent research discussions to ensure that we are pursuing the highest-impact work at any given time. As such, we greatly value communication skills.
The easiest way to understand our research directions is to read our recent research. This research continues many of the directions our team worked on prior to Anthropic, including: GPT-3, Circuit-Based Interpretability, Multimodal Neurons, Scaling Laws, AI & Compute, Concrete Problems in AI Safety, and Learning from Human Preferences.

4. Departmental Administrative Support
- Assist in due diligence and preparation of business cases by researching and reporting on regional office statistics (e.g., desk counts, utilisation, attendance, capacity & commercials).
- Act as a key liaison for business case presentation and refinement.
- Maintain dynamic headcount forecasts to ensure space planning aligns with evolving business needs, particularly for high-growth regions.
- Monitor and document team shift patterns to inform workspace strategy (e.g., HVAC service requirements, after-hours access, and desk rotation models).
- Monitor and manage utilisation reports for Serviced Offices, along with onboard and offboard leaves to locations where we do not directly manage access control.
- Maintain the central digital repository for all property documentation (leases, contracts, floor plans, and insurance certificates), ensuring strict naming conventions, accessibility, and version control are met to ensure 100% audit-readiness.
- Schedule and prepare agendas, collate pre-read materials, and document meeting minutes for key real estate governance forums, proactively tracking action items to ensure timely closure by stakeholders.
- Managing the administrative aspects of the "joiner/leaver" process for office access where no assigned Workplace / People person is assigned.
- Act as the primary administrator for processing property-related invoices, performing the initial "first-pass" review to flag discrepancies against purchase orders (POs) and ensuring all costs are accurately coded before final submission to Finance.
5. Health, Safety & Physical Security Management
- Coordinate the global H&S audit schedule in partnership with SMEs, managing the central audit database, evidence library, action log, and training records to track progress and compliance.
- Support the weekly, monthly, quarterly, and annual reporting framework to surface risk trends and audit completion status, allocating audits to regional teams for execution.
- Own the scheduling, chasing, and evidence trail for the audit lifecycle, acting as the primary administrative point of contact to ensure smooth execution.
- Drive the audit lifecycle by ensuring all actions are identified, triaged, and managed to resolution, proactively identifying blockers and managing overdue items.
- Ensure regional teams interpret and apply the central H&S framework in accordance with local laws while maintaining the global baseline standards.
- Manage the integration of the H&S framework with wider Real Estate RACI to ensure clear accountability and prevent overlaps in responsibilities.
- Implement and maintain physical security policies and standards across all global office locations.
- Instruct periodic physical security risk assessments and audits to identify vulnerabilities and ensure compliance with security protocols.
- Oversee visitor management processes and physical security measures to safeguard personnel and assets.

HEALTH CAN’T WAIT.
Not for symptoms to get worse. Not for a six‑month appointment. Not for a system to catch up. But that’s exactly how healthcare works today. You wait, until you can’t.
Alan exists to end the wait.
Health is a universal right, and we believe this right can only become real when it’s coupled with prevention. We need to stop treating health as something we repair and start treating it as something we build, every day. It’s not solely a question of willpower. It’s the healthcare system itself that needs to work for everyone, in a sustainable way.
So we are building the new standard in prevention insurance. Alan is the first company that integrates insurance, prevention, and care into a single, acclaimed user experience.
We are on an incredible journey to build a global leading company, with a unique culture https://alan.com/en/careers. We already partner with 40K+ companies of all sizes, serving more than 1M+ members, and have reached €800M+ in ARR.
Prevention as the new norm. That's what we're building with our team of 1000+ people. If it speaks to you: we're hiring across France, Spain, Belgium, and Canada. And beyond.
At Alan, we want people to find the right product to take care of themselves, as early and as easily as possible. Getting a new pair of glasses usually means an appointment, a lost prescription, 47 frames tried on in a store, and a two-week delay. Most people put it off for months.
The Shop is how Alan members get glasses, lenses and well-being products in a few clicks, covered by their insurance when possible. Most e-commerce teams are incentivized to sell more. We're incentivized to get members the right product at the right time for their health.
We're looking for a fullstack engineer to join the Shop crew. One brief: help our members choose what is right for them, when it is right for them, in a few clicks. Everything else, we figure out together.
ABOUT THE SHOP CREW
The Shop crew is a fully autonomous product team that owns the whole lifecycle of the Shop: not just the code, but the whole business. Product managers, product marketers, ops specialists, designers, data scientists and engineers work side by side on one mission.
What we've built so far:
- An end-to-end optics experience: frames and lenses, virtual try-on, prescription scanning, and checkout priced against each member's coverage.
- One commerce platform behind the whole Shop and its three verticals.
- A growing well-being catalog: about 14 brands and 170 products today, thousands soon.
The Shop is growing fast: more products, smoother flows, and an experience that's more and more integrated into the rest of Alan for our members. The crew needs to grow too, and that means plenty of new opportunities for engineers.
WHAT YOU'LL DO
The Shop is one of the most varied crews in Alan Engineering. In the same week, you might:
- 🔌 Build integrations with our customized e-commerce back office, our in-house virtual try-on, suppliers and partner opticians.
- 🛍️ Ship member-facing flows: dynamic catalogs, purchase flows tailored to each member's coverage, prescription scanning, returns, and out-of-pocket purchases like lens upgrades and extra pairs.
- 🌿 Scale the catalog beyond optics, with discovery and personalized navigation that still work at thousands of products.
- ⚖️ Navigate legal ground: e-commerce rules, invoicing, France's 100% Santé reform, and supplier compliance. Selling medical devices is not like selling socks.
- 📣 Help products reach members in the Alan app, in campaigns, and through Mo, our AI health assistant. A shop that can't promote its products is just a warehouse.
- 📦 Work with ops on orders, deliveries and customer service, so a two-day delay never surprises a member.
You won't just write code. You'll question supplier contracts, debate marketing copy, and debug prescription-scanning logic. Some days it feels less like building software and more like running a small business. That's the point. And the impact is direct: when someone orders their glasses faster, they literally see better, sooner.
WHAT WE'RE LOOKING FOR
- 8+ years building scalable software, with full-stack experience across backend and frontend.
- A strong product mindset. You want to understand the why before the how, and you enjoy working with members, ops, legal and marketing.
- Ownership from start to finish: you frame the problem, ship the solution, and watch the numbers afterwards.
- Comfort with ambiguity and complex problems. You help shape the scope instead of waiting for a spec.
- Clear communication with non-engineers, in English (French is a plus, since our first market is France).
- Humility, curiosity, and a real interest in making healthcare more accessible.
BONUS POINTS
- Experience with e-commerce: catalogs, checkout, payments, order management, or a headless commerce platform like Saleor.
- Curiosity about where e-commerce meets healthcare.
- Experience with mobile (React Native) or with LLM-powered product features.
HOW WE WORK
- Our stack: React and React Native on the frontend, Python/Flask and PostgreSQL on the backend, all in one monorepo. Saleor powers our commerce back office.
- We deploy daily, and the engineers who make product decisions are the ones who build them.
- We use AI coding agents every day to move faster and focus on the hard problems.
- You own decisions, outcomes and a whole domain, and your incentive is to build what's best for members.
⭐ THE ENGINEERING TEAM ⭐
In our engineering team, we build the infrastructure, interfaces, and applications to provide first-class service to our members, health professionals, and even ourselves!
Being an engineer at Alan means joining a team of talented, committed and passionate engineers, with a lot of product interaction.
We move fast, with a lot of ownership, and are proud to tackle big problems!
Our process is very simple: those who make product decisions are the same ones who build them.
Our stack is React, Python/Flask, PostgreSQL in a monorepo. If you are not familiar with this stack but are a keen learner, it is totally fine. We deploy daily and believe in distributed ownership - you build it, you own it.

About Anthropic
Anthropic’s mission is to create reliable, interpretable, and steerable AI systems. We want AI to be safe and beneficial for our users and for society as a whole. Our team is a quickly growing group of committed researchers, engineers, policy experts, and business leaders working together to build beneficial AI systems.
About the Role
Anthropic manages one of the largest and fastest-growing infrastructure fleets in the industry — spanning multiple accelerator families, cpu families and clouds. The Capacity Engineering team is responsible for making sure all our infrastructure resources are accounted for, well-utilized, and efficiently allocated. We own the data, tooling, and operational systems that let Anthropic plan, measure, and maximize utilization across first-party and third-party compute.
As an engineer on Capacity Engineering, you will build the production systems that power this work: data pipelines that ingest and normalize telemetry from heterogeneous cloud environments, observability tooling that gives the org real-time visibility into fleet health, and performance instrumentation that measures how efficiently every major workload uses the hardware it’s running on. You will be expected to write production-quality code every day, operate alongside Kubernetes-native infrastructure at meaningful scale, and directly influence decisions around one of Anthropic’s largest areas of spend.
You’ll collaborate closely with research engineering, infrastructure, inference, and finance teams. The work requires someone who can move between data engineering, systems engineering, and observability with comfort — and who thrives in a high-autonomy, high-ambiguity environment.
This is a pipeline role feeding four areas.
Depending on your background and business priority, you’ll focus primarily in one, but the boundaries are fluid and the problems overlap:
Data platform
Pipelines that ingest occupancy and utilization telemetry from Kubernetes clusters, normalize billing and usage across cloud providers, and serve the BigQuery tables the rest of the org queries against. Correctness, completeness, and latency are the job, not a footnote. Consumers range from research engineers to finance to leadership, so it's product work as much as engineering: defining schema contracts, making data discoverable, and figuring out what people actually need.
Planning
Knowing what the fleet has, where it's going, and what's in the way. Making the state of the fleet legible and actionable in real time: cluster health tooling, capacity planning platforms, alerting on occupancy drops and allocation problems, and systemic fixes to scheduling and fragmentation. Kubernetes operations on one side, cross-team coordination on the other.
Efficiency
Measuring and improving how effectively every major workload uses the hardware it runs on. Instrumenting utilization across training, inference, and eval systems, building benchmarking infrastructure, establishing per-config baselines, and working directly with system-owning teams to close the gaps. The metric has to be good enough that the team on the hook for it agrees with the number.
Attribution and forecasting
Connecting what the fleet costs to what the business is doing with it. Reconciling CSP billing exports against vendor telemetry and internal systems with mismatched schemas, attributing spend to the workloads and teams that generate it, and turning inference demand signals and research roadmaps into a defensible compute plan. Efficiency metrics have to survive contact with finance: stripped of pure demand and unit-price effects, reproducible month over month, and legible to a CFO.
Key responsibilities
Build the planning and allocation stack — the tools leadership uses to allocate capacity, teams use to plan against their allocations, and the scheduler enforces. Cross-region and cross-provider placement, guardrails, queueing, occupancy KPIs.
Drive the efficiency programs: stranding and rightsizing, unused capacity recovery, and job-level utilization across training, inference, and eval. Establish per-config baselines and work with system-owning teams to close the gaps. Utilization improvements are worth enormous sums at our scale.
Own attribution and forecasting — reconcile billing across ten-plus providers against telemetry and internal systems, attribute spend to the workloads that generate it, and turn demand signals and research roadmaps into a defensible compute plan and supply pipeline.
Build the data platform underneath all of it: pipelines ingesting occupancy, utilization, and cost from a rapidly diversifying fleet into BigQuery, with real ownership of completeness, latency SLOs, and gap detection. Every new provider is a net-new integration.
Operate Kubernetes-native systems at scale — collection agents, workload labeling, and the taint/reservation/scheduling behavior that determines what capacity is actually usable.
Treat the output as a product, not a pipeline. Gather your own requirements, define schema contracts, and design for consumers ranging from research engineers to a CFO — including on-call and SLOs, because these surfaces are load-bearing for the company.
What you bring
A strong track record building and operating production systems. This is a hands-on engineering role with a devops flavor.
Python and SQL at production quality. Most pipeline code is Python; the presentation layer is BigQuery SQL, including table-valued functions and views. Both need to be idiomatic, well-tested, and maintainable.
Deep experience with at least one major cloud provider (Amazon Web Services, Google Cloud, or Microsoft Azure) and its operations
Experience with observability tooling stack, including Prometheus, PromQL, and Grafana, including writing recording rules and building monitoring that engineering teams rely on.
Ability to gather your own requirements and work across organizational boundaries in an ambiguous environment with limited direction.
Preferred qualifications
Experience with capacity planning, resource management, or cost attribution systems at a hyperscaler or in a large-scale machine learning environment. Time spent in product engineering and developer experience absolutely counts here.
Scheduling and packing efficiency experience, or profiling-driven optimization of large distributed workloads.
Multi-cloud data ingestion experience, especially normalizing billing exports, reservation APIs, on-demand capacity reservations, commitments, and vendor telemetry from providers with different billing arrangements.
Total cost of ownership and forecasting experience, including decomposing whether infrastructure growth is causal or correlated with business drivers.
Accelerator infrastructure familiarity. GPU metrics (DCGM), TPU utilization, Trainium power and utilization metrics, or experience with machine learning training and inference systems at the hardware level.
Experience building internal data products with self-service access, schema contracts, API serving, documentation, and discoverability. Not just pipelines, but thinking about how the data gets consumed.
Storage efficiency, retention, and lifecycle program experience at exabyte scale.
The annual compensation range for this role is listed below.

Not all strong candidates will meet every single qualification as listed. Research shows that people who identify as being from underrepresented groups are more prone to experiencing imposter syndrome and doubting the strength of their candidacy, so we urge you not to exclude yourself prematurely and to submit an application if you're interested in this work. We think AI systems like the ones we're building have enormous social and ethical implications. We think this makes representation even more important, and we strive to include a range of diverse perspectives on our team.

About the Role
We're hiring an Ops & Marketing Project Manager to be the organization backbone of a small, fast-moving team. Plans get made in Slack, work gets briefed in Notion, and the gap between those two is where things quietly die. You're the person who closes that gap.
This role sits primarily on the operations side of our home fragrance brand. You'll own wholesale operations end to end, and you'll be the one keeping product development, inventory, and production moving: chasing suppliers, holding timelines, building the project boards, and making sure nothing sits waiting on an answer nobody asked for.
You'll also own the marketing calendar and the project flow behind it. Our marketing team moves fast across website, paid, email, and creator work, and it needs someone who makes sure that once something is decided it has an owner, a date, a dependency map, and someone chasing it. You're not deciding what we launch. You're the person who knows the status of everything, without being asked.
We're an AI-forward company, and this is an AI-forward role. Claude is part of how this team works every day, not a side experiment. We expect you to build your systems, SOPs, trackers, and reporting with AI in the loop, and to keep finding the places where it takes busywork off your plate and off the plates of the people around you. You don't need a technical background. You do need real curiosity and the willingness to make it part of how you work.
What You'll Do
Own wholesale day to day: processing orders, charging payments, creating shipments and inbounds, and the customer service that comes with it
Create 3PL orders for suppliers, samples, and anything else needed
Write the SOPs as you go, so the function can be handed to a dedicated coordinator over time. Designing your own replacement here is part of the job, not a threat to it
Product Development, Inventory, and Production
Supplier follow-up, cost comparisons, timelines, and project boards across new products and packaging
Stay closely on top of production status and timelines, and flag slippage early enough that we can do something about it
Support inventory operations and learn the fundamentals of production from the team, with room to take on more here over time
The Marketing Calendar
Own a single calendar across brands and channels: website, paid creative, email and SMS, creator and UGC, promotions, and product launches
Hold the dates. Work backwards from the launch date rather than forwards from today, so creative, approvals, and builds land in the right order
Turn strategy into briefed work. When a plan arrives as ten line items with five names attached, you break it into owned tasks with real dates and confirm who has what
Catch collisions before they cost a day: duplicate briefs, two designers on the same asset, work blocked on an approval nobody requested
Run the weekly cadence. What shipped, what slipped and why, and what's at risk next week, published without being asked for it
Systems, Notion, and AI
Own Notion as the system of record for these areas: structure, templates, status hygiene, and getting people to actually use it
Build real systems where only informal structure exists today, then keep them alive. A board nobody updates is worse than no board
Use AI to build and run those systems, from drafting SOPs and briefs to pulling together reporting and tracking what's outstanding
Keep creator and partnership records, contracts, and payments accurate and moving, in step with finance and the partnerships team
Requirements
What We're Looking For
Exceptional organization. This is the single most important quality for this role
3+ years managing multiple concurrent projects across teams
Operations experience in e-commerce, consumer brands, wholesale, or supply chain
Direct marketing experience, ideally owning or running a marketing calendar across channels
You already use AI seriously in your own work, and you can show us how. We care more about how you think with it than which tools you've touched
Hands-on Notion experience. You've built databases and views that other people relied on, not just filled in someone else's
Experience working inside a CRM and keeping it clean and current (Folk, HubSpot, Salesforce, Klaviyo, or similar)
Strong follow-through. You're persistent with suppliers, vendors, and teammates until you get an answer
The instinct to surface problems early, with a recommendation attached
Strong written communication. Most of this job happens in writing, across time zones
Strong English communication skills
Strong Excel and Google Sheets skills, and comfort across Word, PowerPoint, and Google's suite of tools
Nice to Have
Wholesale or B2B operations experience, including basic customer service
Familiarity with Shopify, Cin7, Klaviyo, or Figma
Experience with product development or packaging timelines

💰 Competitive salary in USD
🕒 Flexible working schedule
